ELL Analytics

The ELL Analytics screen provides a comprehensive view of English Language Learner (ELL) data across the selected school(s) and applied filters. Users can analyze ELL student populations, program participation, and trends over time through interactive charts and summary metrics. The report also includes demographic breakdowns, allowing users to examine ELL data by grade level, ethnicity, gender, and other student groups to support data-informed decision-making and program evaluation.

This feature requires the purchase of the add-on Analytics module.

Expand or collapse content The Student Data Report

The Student Data tab provides a detailed view of ELL student information, allowing users to analyze how ELL populations are distributed across key data points such as program status, demographics, and important dates. Using the report type selection, users can group and display ELL data in different ways to identify trends, monitor compliance requirements, and better understand student program participation. All reports are interactive and update based on the selected grouping, providing a flexible way to explore ELL data.

1. In the Students menu, click ELL Analytics.

2. The screen defaults to the Student Data tab.

3. Select the All Schools check box to run the Student Data report for all schools in the district, to which you have access.

The All Schools check box doesn't display if you don't have access to more than one school.

4. Select the report type from the pull-down to determine how ELL data is grouped and displayed throughout the report. Available options include:

  • By Selected ELL Value: Displays a report based on the selected ELL data field or value.
  • By LY Students has ELL Plan (Y/N): Displays a report grouped by whether LY (formerly ELL) students have an active ELL plan.
  • By ELL Students with Accommodations (Y/N): Displays a report grouped by whether ELL students have accommodations.
  • By Grade Level: Displays a report grouped by student grade level.
  • By Home Language: Displays a report grouped by students primary/home language.
  • By Country of Birth: Displays a report grouped by students country of birth.
  • By ELL Exit Date School Year: Displays a report grouped by the school year in which students exited ELL services.
  • By Student Plan Date (Month): Displays a report grouped by the month of the students ELL plan date.
  • By Current School Year Re-eval Dates (Month): Displays a report grouped by the month of students re-evaluation dates for the current school year.

5. Option 1: The report automatically runs for all students in the selected school (school selected in the header pull-down). To view the report for all students, continue to the next step where you can set additional report filters.

5. Option 2: To run the report for individual student(s), be sure the Student icon is selected, then select the applicable students from the pull-down.

5. Option 3: Select the Student Group icon and select the student group(s) from the pull-down to run the report for select students assigned to the student group(s).

6. Click the settings icon to add numbers, percentages, and to sort data visuals alphabetically.

a. Select the Display Numbers check box to display numeric values directly on supported charts and graph visuals.

b. Select the Display Percentages check box to display percentage values on supported charts and graph visuals.

c. Select the Sort Alphabetically check box to sort chart labels and visual data categories alphabetically. When cleared, visuals return to their original data order.

ELL Analytics

The report displays Active LY Students, LP to be Tested, KG-LY Students, LY Missing Accommodations, LF Exited Prior Year, LF Monitoring Students, LF Students, LF Exited > 2 Years Ago, LF > 2 Years and Missing Monitoring Date, and LA Exited > 4 Years Ago.

Based on the selections made, you wil see different reports:

By Selected ELL Value:

Hover over any bar in the report to display the number of students included in the data point (e.g., [LA]  Years 3 & 4 Follow-Up, 747 students). This indicates that 747 students are in the monitoring phase during Years 3 and 4 after exiting ELL services (LY status), where their academic progress is still being tracked.

The last report is broken down by student and includes the following columns of data: Student name, Student ID, Hrade Level, Enrolled School, FLEID, DEUSS, ELL Status, Home Language, Parent Language, ELL Entry Date, ELL Plan Date, and ELL Reevaluation Date.

7. Click the Student name to open Student Info.

Expand or collapse content The Monitoring & Planning Report

The Monitoring & Planning tab in the ELL Analytics screen provides a focused view of LY (formerly ELL) students with upcoming ELL plan due dates for the current school year. This report displays plan due dates grouped by month, allowing users to easily monitor timelines, track upcoming compliance requirements, and ensure timely completion of required ELL plan updates across all students and schools.

1. In the Students menu, click ELL Analytics.

2. Select the Monitoring & Planning tab.

3. Select the All Schools check box to run the Monitoring & Planning report for all schools in the district, to which you have access.

The All Schools check box doesn't display if you don't have access to more than one school.

4. Select the report type from the pull-down to determine how ELL data is grouped and displayed throughout the report. Available options include:

  • LY Students ELL Plans Due This Year by Month: Displays a report showing the number of formerly ELL (LY) students with ELL plans due during the current school year, grouped by month.
  • By Student Plan Date (Month): Displays a report grouped by the month of the students ELL plan date.
  • By Current School Year Re-eval Dates (Month): Displays a report grouped by the month of students re-evaluation dates for the current school year.

Hover over any bar in the report to display the month and number of students included in the data point (e.g., Jan, 15 students). This indicates that 15 LY students have ELL plans due in January of the selected school year.

Expand or collapse content Adding Filters to Regenerate Reports

The ELL Analytics reports are interactive. Clicking on any data point or metric (such as a bar in a chart) updates all reports, KPIs, and tables to reflect the selected criteria, allowing you to quickly refine and explore student data.

Follow the steps provided in The Student Data Report and/or The Monitoring & Planning Report then follow the steps below to customize each of the reports.

1. When viewing any of the ELL reports listed above, click a bar in the chart to filter the data. All reports displayed, such as the By LY Students Has ELL Plan (Y/N) report, regenerates to reflect the selected criteria. In this example, the reports are currently filtered to display data for By Selected ELL Value: [LF] Two year followup.

2. To update the reports, click a demographic value in any chart, such as Spanish [SP] in the By Home Language report. This applies a filter and refreshes all reports to display data only for the selected group. Any previously applied filters (such as [LF] Two year followup) will remain in place until cleared.

3. To remove a filter from the ELL reports, click the applied filter again, such as Spanish [SP] in By Home Language. The selection is cleared, the bar returns to light blue, and all reports update to display all grade levels (if applicable).

You can add as many filters as you'd like and clear them as you go to customize ELL reports.

4. You can also click any of the data points listed at the top to apply that filter, such as LY Missing Accommodations.

Click the data point at the top again, to remove the filter.

5. Click Clear Filters to remove all filters at once.

Expand or collapse content Printing ELL Reports

1. In the Students menu, click ELL Analytics.

2. Select the applicable tab to run and print said report.

3. Apply all report filters and generate the report. See The Student Data Report and/or The Monitoring & Planning Report for details.

4. Click the Printer icon.

5. Follow your computer's prompts to print the report.
