Referral Log

The Referral Log summarizes the discipline history of a student and is used primarily for official meetings such as Manifestations or court hearings.

Setting the Referral Log Criteria

1. In the Discipline menu, click Referral Log.

2. At the top of the screen, enter search criteria for the students you want to view on the Referral Log.

If the Default User Preferences and/or My Preferences setting, "Use Legacy Search," is enabled, you have the option to use the legacy search or to use the new search.

In the Student Search, to use the original search screen, click Use Legacy Search. See Setting the Referral Log Criteria Using the Legacy Search for more information.

Note: The Legacy Search has been removed in version 12.0.57.

3. Select a Letterhead Template to print the log on a specific school or district letterhead.

4. In the Options section of the screen, select Include All Referrals from All Years and All Schools if needed.

5. Select Include Unprocessed Referrals to include referrals that have not yet been processed (reviewed by an administrator).

6. Select Include Referral Log Graphs to include visual breakdowns of referral data--including Action Days, Discipline Code, Location, Time, Weekday, and Month--at the top of the log.

In order for the Location graph to display, the alias of the Location referral field must be "location." In order for the Time graph to display, the alias of the Incident Time field must be "incident_time."

Upon updating to version 12.0.96, a migration will run to automate this setup:

  • If no Incident Time field exists, the migration creates one with the alias incident_time.
  • If exactly one Incident Time field already exists, the migration automatically updates its alias to incident_time.
  • If multiple Incident Time fields exist, the migration will not modify these fields automatically. In this scenario, the correct field must have the alias manually set to incident_time.

The alias for the Location field must be manually set to location.

7. If the minor infractions functionality is enabled for your school (Setup > System Preferences > General tab > "Enable Minor Infractions"), select Include Minor Infractions if you would like to include minor infractions on the report.

8. Under Include in Referral Log, select each referral field to include on the log.

9. To save the settings as the default for this letterhead, click Save Settings.

When this letterhead template is selected in the future, these settings will be automatically selected.

10. Click Search.

Viewing the Referral Log

After setting the report criteria and clicking Search, the students returned in the search are listed.

1. Select the checkbox next to each applicable student, or click Select All at the top of the screen to select all students in the list.

2. Click Get Referrals.

The PDF preview is generated with each student's log starting on a separate page. This can be saved to your computer or printed.

3. Click Return To Focus to go back to the Referral Log screen.

4. To remove any of the options selected, click the X next to the option.

5. Click Search Again to go back to the Referral Log search screen.
