Absence Summary

The Absence Summary report allows you to review school-wide attendance information over a specified date range, as well as a breakdown of attendance data per student.

1. From the Attendance menu, click Absence Summary.

2. Enter the search criteria, and click Search.

Conducting a search navigates to a new Absence Summary screen where you can set different parameters for reviewing the students attendance.

The colors set for each attendance code via Attendance Setup > Codes tab > Attendance tab displays as customized by the district.

3. The Absence Summary report includes a Report Timeframe pull-down at the top of the report. Only Attendance data within this Timeframe will populate the report. You can select the entire School Year, any other marking periods, Last 30-90 days, Last 2-4 School Years, or create a Custom Timeframe.

4. You have the option to choose whether you'd like to see the attendance by day or by period. This option will default to Daily. Use the pull-down to select a period instead.

The Daily attendance code cannot be edited because it is based on Period attendance codes combined.

5. Once a time frame has been set and a period selected (or daily), click Go.

Directly beneath the Report Timeframe are the number of Days Possible.

In the attendance summary, you will see the Student name, Student ID, the students Grade level, and attendance codes used at the school; the codes displayed in the image shown are specific to the school and may not reflect the codes used at your school.

Scroll to the right to see all listed attendance codes. The Total for each column is also listed in the last row of the report.

6. Click on a Student in order to view and/or edit a breakdown of his/her attendance. For more information on viewing a specific student's absence summary, see The Absence Summary Breakdown per Student.

Clicking the student name and opening the individual student's Absence Summary is beneficial if more than one period of attendance in a day must be updated. Changing the attendance code for any period will update the daily attendance code.

The colors set for each attendance code via Attendance Setup > Codes tab > Attendance tab displays as customized by the district, as shown in the image above.

1. Click on a Student in order to view and/or edit a breakdown of his/her attendance.

Clicking the Student name generates an Absence Summary for the selected student, as shown in the image. From this screen, you have the ability to review the student's daily attendance displayed by period. The Report Timeframe pulls in the dates selected on the previous Absence Summary screen, but can be changed as needed.

From this screen, you can review the Attendance Summary Cards, which provide a snapshot of the selected student's attendance activity for the selected date range. The cards display totals for Absences, Tardies, Unexcused Absences, Days Present, Late Check-Ins, and Early Releases, along with additional metrics such as weekly, monthly, and quarter-to-date totals. Depending on the attendance type and district configuration, the cards may also display attendance percentages, period counts, or minute totals.

2. Click an Attendance Summary Card to open a detailed modal displaying the underlying attendance records for that category. Depending on the selected card, the modal may include additional summary information, such as attendance code totals, along with detailed records for the selected date range.

a. Clicking ABSENCES to view a summary of absence information for the selected date range, including the total number of days absent, periods absent (or minutes absent, depending on district configuration), attendance percentages, and a legend showing each attendance code with its corresponding count. You can also review detailed absence records, including the date, section, attendance code, attendance title, and other related information. Click Close to close the pop-up window.

3. Click Add Absence to add absence records to the student from the Add Absences screen.

4. Click Hide to hide the Attendance Summary Cards.

a. Click Show to redisplay the Attendance Summary Cards.

5. While reviewing the Attendance Summary, you have the option to click Chart in order to navigate to Attendance Chart. You also have the option to view the Attendance Calendar by clicking Calendar.

The Total Days Possible, Total Full Days Attended, Total Full Days Absent, Enrollment Dates, and Total ADA (Year 202X) all display by default.

If your district has elected to Show minutes missed in Student Absence Summary (via Setup > System Preferences > Attendance tab), you will also see Total Instructional Minutes Missed (minutes missed from late absences, late check-ins, and early releases), Time Missed due to Absences, Time Missed due to Late Check-ins, and Time Missed due to early Release.

The Absence Summary displays Date, Daily code, Comment, Time In, Time Out, Reason, Parent Absence Request details, Fill All Periods, attendance codes for periods.

When checking in or out using the kiosk or the Late Check In/Early Release screen, the Time In and Time Out columns in the Absence Summary are updated. Updating the Time In and Time Out columns in the Absence Summary will update the corresponding Entry and Release columns on the Late Check In/Early Release screen. Editing the Time In or Time Out directly in the Absence Summary will also create a corresponding kiosk entry.

The Comment column also displays pertinent information, such as Kiosk or the Reason entered upon being checked in or out.

Note: These columns are only editable if you have the Modify Time In/Time Out permission enabled via Profiles > Attendance tab.

There are also totals for each code listed at the bottom of the Absence Summary chart under ABSENCES.

6. With editing permissions, you have the ability to enter a comment. Click the Comment field and type your message.

Comments that exceed the visible width of the column are truncated. Hover over the comment cell to view the full comment in a tool-tip.

7. Edit the Time In and Time Out, if applicable.

8. Option 1: If a parent has submitted an absence request that has been processed, click View Details to view more information.

a. The pop-up window displays where you can view details about the absence request. See Viewing Processed Requests for details.

b. Click Close when your review is complete. Clicking close allows you to return to the Absence Summary screen.

8. Option 2: If a parent has submitted an absence request that is still pending, click Review to view details.

a. The pop-up window displays where you can view details about the absence request. If the request is still pending, you can complete the required information and Deny or Approve the request. See Processing Parent Absence Requests for details.

9. Hover over each code for detailed information about the course, period, date, etc.

The Absence Summary only allows selection and modification of current school year attendance codes. Any existing record that used an outdated code will display a visual tag (e.g., 2024-2025) next to it.

10. If needed, select an attendance code from the Fill All Periods pull-down to populate all periods with the selected code.

11. Click the period fields to adjust individual attendance periods, such as 01, 02, etc. Once, enabled, select the applicable attendance code from the pull-down.

When setting a future date to N/A, the period attendance record is removed and the daily code for the student is set to present. When setting a previous date to N/A, the period attendance records are set to the default code and the daily code is changed accordingly.

If attendance is logged based on an hourly attendance method, you will also have the option to enter the amount of time present in addition to the attendance code.

12. Click Save to apply any changes made.

Expand or collapse content Printing the Absence Summary Report

1. In the Attendance menu, click Absence Summary.

2. Conduct a student search to find the applicable student.

3. Edit the Report Timeframe as needed, and select the student from the list.

4. Click Print.

5. In the print preview, select the Letterhead to apply the selected letterhead to the printout, and select the Small Font check box to generate the data using a smaller font.

6. Click the Printer icon to print the data.

If the student has been flagged as a Protected Student, a warning message displays on the Absence Summary screen: DO NOT RELEASE STUDENT INFO. The warning message displays for all users. For more information about how to set up a Protected Student, see Student Fields: Protected Student.

The setting, Show minutes missed in Student Absence Summary enabled via Setup > System Preferences > Attendance tab, calculates and displays Minutes missed from late check-in/early release in the report when using the late check-in/early release functionality.
