Graduation Rate Report

The Graduation Rate Report provides districts a comprehensive tool for monitoring and analyzing student progress towards graduation by allowing users to track whether students are "On Track" or "Behind" in their journey, as indicated by status columns that reflect each student's current standing based on their accumulated credits and GPA.

The Graduation Rate Report determines a student's status based on their GPA and cumulative credits, not directly on specific graduation requirements like course completion. This is important because it could explain why some students are marked as "On Track" even if they are missing required courses.

The "Populate Graduation Requirements Summary" scheduled job must be run to generate the graduation summary data needed for the Graduation Rate Report.

1. In the Grades menu, click Graduation Rate Report.

2. Select the Cohort year from the pull-down.

3. Select the Schools you'd like to include in the report from the pull-down. The pull-down defaults to All schools. You can run the report for All schools, select multiple schools, or select one school for which to run the report.

You will only be able to select schools you have permissions to view.

4. Click Submit.

Graduation Rate Report

The report displays the School and Graduation Rate. The Behind, Dropout, EOY Error, Graduated, Missing, Non-Graduate, On Track, and Transfer Out of Cohort columns indicate the number of students who meet each status. This view is designed to give administrators a quick snapshot of how each school is performing in terms of graduation readiness, helping to identify which schools may need additional support or intervention.

Below is the logic used to calculate the number of students flagged as Behind and On Track:

Behind: If the Student has a student_gpa_calculated.gpa < 2.0 AND if in a 24-credit program:

grade 09: student_gpa_calculated.cumulative_credits is 0

grade 10: student_gpa_calculated.cumulative_credits < 6.0

grade 11: student_gpa_calculated.cumulative_credits < 12.0

grade 12: student_gpa_calculated.cumulative_credits < 18.0

Otherwise:

grade 09: student_gpa_calculated.cumulative_credits is 0

grade 10: student_gpa_calculated.cumulative_credits < 4.5

grade 11: student_gpa_calculated.cumulative_credits < 9.0

grade 12: student_gpa_calculated.cumulative_credits < 13.5

On Track: If the Student has a student_gpa_calculated.gpa >= 2.0 AND any student_gpa_calculated.cumulative_credits

5. Click Pivot to add additional fields to the report, including Grade Level, Drop Code, 504 status, Race, ELL (English Language Learner) status, ESE (Exceptional Student Education) status, and more.

These additional fields allow for a deeper analysis of student progress by filtering and grouping students based on various attributes. It's particularly useful for understanding how specific student populations are performing and identifying trends or disparities that might require targeted interventions.

a. From the Pivot pop-up window, select the additional columns that you'd like to include in the report by selecting the applicable check boxes.

b. Click the four dots icon and drag the column to re-arrange the order of the columns that are being added to the report.

c. Click Done to apply changes.

d. Click Submit to run the pivoted report.

The new report displays the additional columns selected and their application per School, Grade Level, ELL, etc. depending on the columns selected and the number of students Behind, On Track, etc.

e. Click Pivot again to edit or remove the additional columns/information. Click Submit to refresh the report.

6. Click the School name to view a detailed report of all students at the school and the statistics.

The detailed school report displays the student ID, Student name, Grade Level, Drop Code, Race, ELL, ESE, 504, Graduation Program, Credits, GPA, Weighted GPA, Passed ELA, Passed Alg 1, Diploma Type, Cert. of Completion, and the student's Status.

a. You can view the school report for All students or students who meet a certain status by clicking the corresponding filter buttons at the top of the report.

b. Click the Student name to open the student's record in Student Info.

c. Click the white X to close the student report.
