The Placement tab in Student Info is designed for Postsecondary institutions to record and track student outcomes related to program completion, employment, and financial aid reporting. This tab consolidates key data points used in IPEDS, Gainful Employment, and other state and federal compliance reports. It allows districts to document program-level details such as credential attainment, employment in the field of study, and financial information tied to the students enrollment and award year.
Selecting the correct information here helps ensure accurate calculation of financial aid eligibility and reporting for IPEDS, Gainful Employment, and other compliance requirements.
The fields available within the Placement tab vary depending on which Student Fields are enabled and your permissions to create, delete, view, or edit fields via Users > Profiles > Student Fields.
1. In the Students menu, click Student Info.
2. On the Search Screen, enter search criteria to locate the student and click Search.
3. In the search results, click the student's name.
4. Click the Placement tab.
In the Supplemental Reporting Fields section enter/select the following details:
5. Select the applicable Student Status from the pull-down, which indicates the student's dependency classification for financial aid purposes. Options include:
- Dependent: The student is considered financially dependent on a parent or guardian for determining financial aid eligibility and calculation of the Student Aid Index (SAI).
- Dependent rejected, no SAI calculated: The student was classified as dependent, but the financial aid calculation was rejected or not completed, so no SAI was generated.
- Independent: The student is considered financially independent from parents or guardians for financial aid purposes, and SAI is calculated based solely on the students (and spouses, if applicable) information.
- Independent rejected, no SAI calculated: The student was classified as independent, but the financial aid calculation was rejected or not completed, resulting in no SAI.
6. Select the applicable Living Arrangements for the student from the pull-down. This field indicates the student's primary living situation during the award year and is used for financial aid and reporting purposes.
- Lives independently: The student maintains a separate residence and is financially responsible for themselves, living apart from parents or relatives.
- Lives with parents or relatives: The student resides with parents or other family members and may be financially dependent on them.
7. Enter the student's Pell COA (Cost of Attendance) in the provided text box. This field represents the total cost of attending the program for the award year, including tuition, fees, room and board, and other allowable expenses, and is used for financial aid calculations and reporting.
8. Enter the student's Total Family Income in the provided text box, which represents the combined income of the student and, if applicable, their family, for the award year. It is used to determine financial aid eligibility and for reporting in FA Worksheets, IPEDS, and Gainful Employment compliance.
9. Select the Aware Year from the pull-down to indicate the academic year for which the financial aid and placement information applies. This field ensures that all data entered is correctly associated with the appropriate school year for reporting and compliance purposes.
10. Enter the applicable Program Number in the provided text box, which identifies the specific academic program or course of study the student is enrolled in.
11. Press the Enter/Return key to save the line of data, then click the Save button at the top of the screen.
In the Placement Info section enter/select the following details:

13. Select te applicable option from the Certificate Seeking pull-down, which indicates the student's status regarding program completion or credential pursuit. Options include:
- First-Time: The student is seeking a certificate for the first time in the selected program.
- Non-Certificate: The student is enrolled in the program but is not pursuing a formal certificate.
- Other: The students certificate-seeking status does not fit into the above categories.
14. Select the student's Employment status from the pull-down to indicate their current work situation during or after program completion. Options include:
- Employed: The student is currently employed in any capacity.
- Refused: The student declined to provide employment information.
- Seeking/Unknown: The student is seeking employment, or their employment status is unknown.
- Unavailable: Employment information is not available for the student.
15. Select Yes or No to indicate whether or not the student is In Feild of Interest from the pull-down.
16. Select the student's Licensure Exam status from the pull-down to indicate their progress on any required professional or program-related licensing exams. Option include:
- Passed: The student has successfully passed the licensure exam.
- Taken: The student has taken the exam, but results are not yet recorded or verified.
- Waiting: The student has not yet taken the exam but is scheduled or awaiting a testing opportunity.
17. Select the students Cohort Year from the pull-down, which identifies the academic year in which the student first enrolled in the program.
18. Press the Enter/Return key to save the line of data, then click the Save button at the top of the screen.
There are additional fields below the Supplemental Reporting Fields and Placement Info sections; complete these fields as needed.
19. Select the students Credential Level from the pull-down to indicate the type of academic credential or degree the student is pursuing or has earned.
20. Select the student's Program Attendance Status During Award Year from the pull-down to indicate their enrollment outcome for the specified award year.
- Enrolled [E]: The student remained enrolled in the program during the award year.
- Graduated [G]: The student successfully completed and graduated from the program during the award year.
- Withdrew [W]: The student withdrew from the program during the award year.
21. Select the student's Enrollment Status from the pull-down to indicate their course load at the start of the program. Options include:
- Full-Time [F]: The student is enrolled in a full-time course load as defined by the institution.
- Half-Time [H]: The student is enrolled in a half-time course load.
- Less Than Half-Time [L]: The student is enrolled in fewer than half of a full-time course load.
- Three-Quarter Time [Q]: The student is enrolled in a three-quarter-time course load.
22. Enter the student's Private Loan Amounts in the provided text box to indicate the total dollar amount of private loans the student has received for the program or award year.
23. Select the Medical or Dental Internship/Residency check box to indicate whether the student is participating in a medical or dental internship or residency program as part of their academic program.
24. Click Save to apply any changes made or data entered.
