Attendance Calendar (Students)

The Attendance Calendar allows users to review attendance data in a calendar format based on a selected timeframe. Upon being generated, users can click on specific dates in order to review attendance by period and make edits, as needed.

This screen requires the Attendance Calendar permission via Users > Profiles > Attendance tab: If View and Edit are enabled, the profile can view attendance data and edit attendance codes for scheduled periods. When View is enabled, users can also access the Attendance Calendar from both the Attendance Chart and the Absence Summary screens. If the profile has View only permission, users cannot edit attendance codes.

1. From the Attendance menu, click Attendance Calendar.

2. If searching for specific students by name or student number, type the information directly into the Student Search text box.

To return search results for all students, leave the Student Search text box empty.

3. For a more advanced search and the ability to define a specific subset of students, click More Search Options and select a search option.

Apply as many search options, as needed.

4. To run the parameters against a Student Group, select the applicable group from the corresponding pull-down.

5. Select the Search All Schools check box to include students from all schools in your search.

6. Select the Include Inactive check box to include students who do not have an active enrollment record at the selected school or all schools (if Search All Schools is selected).

7. Select the Previous Years check box to include previous year of inactive data in your search, when Include Inactive is enabled.

8. Select the Use Most Recent Enrollment check box to use the most recent enrollment records when conducting a search with Include Inactive enabled.

9. Click Search.

1. From the list of resulting students, click the Student to view attendance data in a calendar view.

2. Select an option to adjust the Report Timeframe, such as the entire School Year, the current marking period i.e. 3rd 9 Weeks, Month to date, This week, Semester 1-2, Last week, Last 30-90 days, Last 2-4 School Years, or create a Custom Timeframe.

3. To use a custom date range, select Custom, and enter or select the start and end dates of the report timeframe.

4. Select the View All Student Attendance check box to view a students attendance records across all schools they've attended.

5. Select the Show Attendance from All Schools check box to display attendance records for all schools the student has been enrolled in during the selected Report Timeframe.

6. Click Go to update the report.

From this screen, you can review the Attendance Summary Cards, which provide a snapshot of the selected student's attendance activity for the selected date range. The cards display totals for Absences, Tardies, Unexcused Absences, Days Present, Late Check-Ins, and Early Releases, along with additional metrics such as weekly, monthly, and quarter-to-date totals. Depending on the attendance type and district configuration, the cards may also display attendance percentages, period counts, or minute totals.

7. Click an Attendance Summary Card to open a detailed modal displaying the underlying attendance records for that category. Depending on the selected card, the modal may include additional summary information, such as attendance code totals, along with detailed records for the selected date range.

a. Clicking ABSENCES to view a summary of absence information for the selected date range, including the total number of days absent, periods absent (or minutes absent, depending on district configuration), attendance percentages, and a legend showing each attendance code with its corresponding count. You can also review detailed absence records, including the date, section, attendance code, attendance title, and other related information. Click Close to close the pop-up window.

8. Click Hide to hide the Attendance Summary Cards.

9. Click Add Absence to add absence records to the student from the Add Absences screen.

10. While reviewing the Attendance Calendar, you have the option to click Summary in order to navigate to Absence Summary. You also have the option to view the Attendance Chart by clicking Chart.

11. In the Attendance Calendar, you can review the attendance codes for each day in a calendar format. While the color can help you decipher the students attendance, you always have the option to hover over each attendance code for more information. Note: The color and code displayed represents the Daily attendance code.

Each district sets up attendance codes via Attendance > Attendance Setup. The district enters each attendance codes Title, Short Name, Sort Order, Type, Color, etc. Therefore, the colors shown in the above examples may differ from district to district.

Depending on your profile permissions, you may or may not have the ability to edit attendance from this screen. If you have View and Edit permissions, then you will also be able to edit student attendance. This permissions is set via Users > Profiles > Attendance tab > Attendance Calendar.

12. Click on a date to view and edit attendance codes. When clicked, you can review attendance recorded for each period in the student's schedule.

Click the arrows icon to sort the periods by attendance taken or by attendance not taken.

13. Click the pencil icon to edit the attendance code for the selected period. Note: The attendance code displays above the period.

14. Select the applicable attendance code from the pull-down.

15. Option 1: Click the pencil icon and edit the attendance codes for as many periods as needed for the selected date. When finished, in order to save the selections, click Done.

15. Option 2: To close the attendance pop-up window without saving data or making changes, click the x.

The Lunch Counts displayed are determined by the district's Attendance Setup > Codes > Lunch Count and may vary between districts.

1. From the list of resulting students, click the Student to view lunch data in a calendar view.

8. Click on a date to view and edit lunch codes. When clicked, you can review lunch recorded for each period in the student's schedule.
