District Assessments

The District Assessments screen is where users can access, manage, and interact with assessments created at the district level and shared with them. From this screen, users can assign assessments to students, monitor participation, review results, and perform actions such as generating reports or exporting data.

Expand or collapse content Setting Profile Permissions for Administrative Users

The profile permissions for administrative users control whether administrative users can access the District Assessments screen, assign assessments, share assessments, and access reports within the district.

1. In the Users menu, click Profiles.

2.  From the Permissions tab, select Menu from the Permission Type pull-down. Select Admin from the Role pull-down. Select the applicable profile from the corresponding pull-down.

3. Click Submit.

4. Click the Assessment tab.

Users > Profiles > Assessments

5. In the Assessment Setup section, select the applicable check boxes for District Assessments.

District Assessments: Select the View check box to allow users to access the District Assessments screen. Select the Edit check box to allow users to create new assessments.

Show All Assessments: Select the View check box to allow users to view all assessments within the workspace in District Assessments, even if the assessment is not explicitly shared with the user.

Assign: Select the View check box to allow users to access the Assign tab in District Assessments, where assessments can be assigned to students.

Assign: Start Session: Select the View check box to allow users to access the Start Session button in the Student Assigned Activities table, which allows users to open a student’s assessment and submit responses on the student’s behalf.

Assign: Reopen Test: Select the View check box to allow users to reopen a submitted assessment from the Assign tab, providing the student with access to retake the assessment while preserving previous responses. This option is available only when the end date has not passed.

Bubble Sheets: Select the View check box to allow users to access the Bubble Sheets tab in District Assessments, where bubble sheets can be generated and processed for assessments.

Answer Key: Select the View check box to allow users to access the Answer Key tab in District Assessments, where answer key-only assessments can be created.

Scaling: Select the View check box to allow users to access the Scaling tab, where custom grading scales can be configured.

Reports: Select the View check box to allow users to access the Reports tab in District Assessments, where assessment data can be analyzed.

Reports: Discard: Select the View check box to allow users to access the Discard option in the Participation Report, which deletes a student’s submitted assessment and score and allows the student to retake the assessment.

Options: Select the View check box to allow users to access the Options tab in District Assessments.

Options: Test History: Select the View check box to allow users to access the Test History setting, which enables assessment results to be pushed to test history.

Options: Re-score Assessment: Select the View check box to allow users to access the Re-score Assessment button, which recalculates student scores after changes are made to assessment items.

Options: Portal Visibility: Select the View check box to allow users to control when and how assessment results are visible in the parent and student portals, including setting a release date and time and optionally releasing detailed item-level content.

Share: Select the View check box to allow users to access the Share tab in District Assessments, where assessments can be shared with other users.

Preview: Select the View check box to allow users to access the Preview tab in District Assessments, where assessment content can be viewed or edited based on sharing permissions.

Competency Band: Select the View check box to allow users to apply competency bands to assessments.

Print: Select the View check box to allow users to access print options for assessments.

6. Click Save to apply changes to profile permissions.

The profile permissions for teachers in District Assessments control which tasks teachers can perform with assessments that have been shared with them.  

1. In the Users menu, click Profiles.

2. From the Permissions tab, select Menu from the Permission Type pull-down. Select Teacher from the Role pull-down. Select the applicable profile from the corresponding pull-down.

3. Click Submit.

4. Click the Grades tab.

5. In the Assessment Setup section, select the applicable check boxes for District Assessment permissions.

District Assessments: Select the View check box to allow teachers to access the District Assessments submenu. The permissions set in this section also determine which tabs display in the Manage Assessments tab in the gradebook when assessments created by other teachers are linked to a gradebook assignment.

The District Assessments screen allows teachers to access assessments shared by administrative users. The permissions assigned in this section determine which actions teachers can perform on shared assessments. The Teacher Assessments screen is used to manage assessments created by the teacher, and permissions in that section control actions for those assessments.

Show All Assessments: Select the View check box to allow teachers to view all assessments in the workspace in District Assessments, even if the assessment is not explicitly shared with the teacher.

Assign: Select the View check box to allow teachers to access the Assign tab in District Assessments, where assessments can be assigned to students.

Assign: Start Session: Select the View check box to allow teachers to access the Start Session button in the Student Assigned Activities table, which allows teachers to open a student’s assessment and enter responses on the student’s behalf.

Assign: Reopen Test: Select the View check box to allow teachers to reopen a submitted assessment from the Assign tab, providing the student with access to the assessment while preserving previous responses.

Bubble Sheets: Select the View check box to allow teachers to access the Bubble Sheets tab in District Assessments, where bubble sheets can be generated and processed for assessments.

Answer Key: Select the View check box to allow teachers to access the Answer Key tab in District Assessments, where answer key-only assessments can be created.

Options: Select the View check box to allow teachers to access the Options tab in District Assessments.

Options: Test History: Select the View check box to allow teachers to access the Test History setting, which enables assessment results to be pushed to test history.

Tests must be set up in Test History by an administrative user before teachers can export assessment results to Test History.

Options: Re-score Assessment: Select the View check box to allow teachers to access the Re-score Assessment button, which recalculates student scores after changes are made to assessment items. Once marked, the assessment is rescored when the District Assessments Re-scoring job runs.

Options: Export to Gradebook: Select the View check box to allow teachers to access the Export to Gradebook option in District Assessments.

Share: Select the View check box to allow teachers to access the Share tab in District Assessments, where assessments can be shared with other users.

Preview: Select the View check box to allow teachers to access the Preview tab in District Assessments, where assessment content can be viewed or edited based on sharing permissions.

Print: Select the View check box to allow teachers to access print options for assessments.

6. Click Save to apply changes to profile permissions.

Expand or collapse content Searching for an Assessment

Users can search for assessments to quickly locate specific district assessments based on criteria such as subject, grade level, maturity, or language. The search tools help narrow results, making it easier to find and select the appropriate assessment for assignment, review, or reporting.

1. Access Assessment, then click District Assessments.

2. In the Search section, enter keywords in the Search text box.

    Matching assessment suggestions display as you type.

3. Select a suggested assessment to add it to your search criteria, if applicable.

4. If needed, use the Subject, Grade Level, Maturity, and Language filters to refine your search results

6. Review the list of assessments and select the desired assessment from the results.

The Assign tab is used to assign assessments directly to students across the district. From this tab, users can filter for specific groups of students, configure availability settings such as dates, times, and retake options, and assign assessments in bulk. This allows administrators to manage assessment delivery without relying on teachers to assign assessments to their classes.

Expand or collapse content Mass Assigning an Assessment to Students

1. From the Assessment menu, select District Assessments.

2. Find and select an assessment.

3. In the Assign tab, use the filters at the top to find the students you want to assign the assessment to.  Use the Courses, Sections, Periods, Teachers, Grade Levels, Schools, Exams, and Students pull-downs to refine your results.

Courses: Select a course to return students enrolled in that course. This is the primary filter used to identify students for assignment.

Sections: Select a section to narrow results to students enrolled in a specific section of the selected course.

Periods: Select a period to filter students based on when the course is scheduled during the school day.

Teachers: Select a teacher to return students enrolled in that teacher’s course or section.

Grade Levels: Select a grade level to filter students by their assigned grade.

Schools: Select a school to return students enrolled at a specific school.

Exams: Select a marking period exam to associate the assessment with that exam for grading and reporting purposes.

Students: Select one or more individual students to assign the assessment to specific students.

4. Click Filter to display a list of students who match the selected criteria.

    To reset the filters, click Clear.

5. On the left side of the screen, configure assessment options:

Start & End Date: Enter the date range during which the assessment is available to students. The start date is required.

Start & End Time: Enter specific times to control when the assessment becomes available and when it closes each day. If no times are entered, the assessment is available from 12:00 AM to 11:59 PM on the selected dates.

Include Weekends: Select to allow students to access the assessment on Saturdays and Sundays.

Restrict to Course Times: Select to limit access to the assessment during the student’s scheduled course periods.

Restrict to Specified Times: Select to limit access to only the start and end times entered above.

Retake: Select to allow students to retake the assessment.

Max Retakes: Enter the maximum number of retake attempts allowed. Leave blank to allow unlimited retakes.

Retakes are enabled for an assessment via Assessments > Exam Options.

15 Min Buffer: Select to allow students to access the assessment 15 minutes before and after their scheduled course time when Restrict to Course Times is enabled.

Use Text to Speech: Select to enable text-to-speech support for all students.

Time Limit: Enter the maximum amount of time students have to complete the assessment.

6. Click Mass Assign to apply the selected options to the students displayed in the results.

When Mass Assign is used, it will override any options selected for individual students.  Use Mass Assign prior to assigning dates, times, retake options, etc. that may be different for individual students.

7. Review the populated fields in the Students Assigned Activities table.

The assigned values display in yellow. You can update individual student rows as needed before saving.

8. Click Save.

9. Review the Mass Assigned Activities and Students Assigned Activities tables.

The Mass Assigned Activities table displays the course, school, and assignment options used when the assessment was assigned in bulk.

The Students Assigned Activities table displays each assigned student, including the student name, student ID, course, availability dates and times, and status.

10. To make changes to an assessment after it has been assigned, update the assessment's row in the Mass Assigned Activities table, then click Save.

11. To make changes for an individual student after the assessment has been assigned, update the student’s row in the Students Assigned Activities table, then click Save.

12. If applicable, click Start Session in the Students Assigned Activities table to open a student’s assessment and enter responses on the student’s behalf.

This option is available based on profile permissions. When responses are submitted using this option, the Submitted By column displays Admin.

13. After students begin or submit the assessment, review the Status and Date & Time Completed columns in the Students Assigned Activities table.

14. If applicable, click Reopen to reopen a submitted assessment for a student.

The Reopen button displays only when the user has the appropriate profile permission and the assessment end date is still in the future. When an assessment is reopened, the student’s previous responses are preserved.

Expand or collapse content Pushing Assessments to Marking Period Exams

The Assign tab can be used to push assessment scores to a marking period exam, such as a semester or final exam. By linking an assessment to a specific exam, student scores from the assessment are automatically applied to the selected marking period, helping streamline grading and reduce manual entry.

1. From the Assessment menu, select District Assessments.

2. Find and select an assessment.

3. On the Assign tab, use the filters at the top of the screen to locate the students to whom you want to assign the assessment.

Courses: Select a course to return students enrolled in that course. This is the primary filter used to identify students for assignment.

Sections: Select a section to narrow results to students enrolled in a specific section of the selected course.

Periods: Select a period to filter students based on when the course is scheduled during the school day.

Teachers: Select a teacher to return students enrolled in that teacher’s course or section.

Grade Levels: Select a grade level to filter students by their assigned grade.

Schools: Select a school to return students enrolled at a specific school.

Exams: Select a marking period exam to associate the assessment with that exam for grading and reporting purposes.

Students: Select one or more individual students to assign the assessment to specific students.

4. In the Exams pull-down, select the marking period exam to which the assessment scores should be applied

5. Click Filter to display the list of students who match the selected criteria.

6. Configure the assessment options as needed. See Mass Assigning an Assessment to Students for more information.

7. Click Mass Assign

8. Click Save.

9. After students complete the assessment, the assessment scores display in the selected marking period exam and are included in assessment reports.

Expand or collapse content Managing Bubble Sheets

The Bubble Sheets tab is used to generate, upload, and process paper-based assessments. To use the Bubble Sheets tab, Assessments must contain multiple choice questions only. From this screen, users can print bubble sheets for students, upload completed sheets for automatic grading, and review results and processing status. This allows assessments to be administered on paper while still capturing and analyzing results within the system.

1. In the Assessment menu, click District Assessments.

2. Find and select an assessment with multiple-choice questions only.

3. Select the Bubble Sheets tab.

4. In the Print Options section, use the pull-downs to select the Schools, Grade Levels, Teachers, Courses, Sections, Periods, and Students as needed.

5. Click Print.

6. Review the generated PDF of the bubble sheets.

7. Click the Download icon to download the bubble sheets, or click the Printer icon to print them.

Expand or collapse content Uploading Bubble Sheets

Completed bubble sheets can be uploaded or scanned into the system for automatic grading. Once processed, student scores display in the assessment reports and can be reviewed directly from the Bubble Sheets tab.

1. In the Assessment menu, click District Assessments.

2. Find and select the assessment.

3. Select the Bubble Sheets tab.

4. Option 1: To upload completed bubble sheets from your computer, drag the file or click Choose a file or drag it here to upload it.

4. Option 2: To scan completed bubble sheets, click Scan.

a. In the Scanner pop-up, select the scanner from the Scanner pull-down.

b. Select a Color option.

c. Select the file Format.

d. Enter a File Name.

e. Configure the scan options as needed:

Autofeeder: Select to scan pages using the scanner’s automatic document feeder.

Duplex: Select to scan both sides of each page.

Multi-Page PDF: Select to combine multiple scanned pages into one PDF file.

Show Scan Settings: Select to display additional scanner settings.

f. Click Scan.

g. Click Save to attach the scanned file to the assessment, or click Cancel to close the pop-up without saving.

5. Wait for the upload or scan process to appear in the Tasks section.

6. In the Scores section, select students from the pull-down.

7. Click Submit.

8. Review the student score information.

9. Review uploaded bubble sheets for students as needed:

    a. Click the Preview icon to open the uploaded bubble sheet.

    b. Click the Debugging icon to display issues encountered during scanning or processing.

    c. Click the Download icon to download a copy of the student's bubble sheet.

10. Review the Errors section for additional upload or processing issues, if applicable.

Expand or collapse content Using Answer Key Only Assessments

The Answer Key tab is used to create an assessment that only includes an answer key by uploading a PDF and defining the correct responses for each question. This option is useful when working with externally created assessments, allowing students to enter their answers in Focus while the system automatically scores the results based on the provided answer key.

Answer Key Only assessments support multiple-choice questions only. Standards cannot be attached to questions, and student tools such as calculators, highlighters, or text-to-speech are not available for these assessments.

An assessment with no questions must first be created in Create Assessments before the Answer Key Only assessment can be built in District Assessments. 

1. From the Assessment menu, select District Assessments.

2. Find and select the assessment with no questions.

3. Select the Answer Key tab.

4. In # of Questions, enter the total number of questions on the assessment.

5. In Answer Range, select the range of answer choices such as A–C, A–D, or A–E.

6. Option 1: To upload the assessment file, click Choose a file or drag it.

a.  Find and upload the assessment file

6. Option 2: To scan the assessment, click the Scanner button.

a. In the Scanner pop-up, select the scanner from the Scanner pull-down.

b. Select a Color option.

c. Select the file Format.

d. Enter a File Name.

e. Configure the scan options as needed:

Autofeeder: Select to scan pages using the scanner’s automatic document feeder.

Duplex: Select to scan both sides of each page.

Multi-Page PDF: Select to combine multiple scanned pages into one PDF file.

Show Scan Settings: Select to display additional scanner settings.

f. Click Scan.

g. Click Save to attach the scanned file to the assessment, or click Cancel to close the pop-up without saving.

6. Option 3: To take a picture of the assessment using your device, click Take.

a. Click Take Photo.

b. To take another photo, click Retake Photo; to upload the photo, click Upload.

7. Enter the correct answer for each question in the answer fields below.

8. Click Save.

9. Proceed to the Assign tab to assign the assessment to students.

Expand or collapse content Configuring Scaling

The Scaling tab allows users to adjust how assessment scores are converted into scale scores and letter grades after students have completed an assessment. From this tab, users can review score distributions, modify grading scale values, and re-grade assessments based on updated scaling criteria. This can be useful when adjusting score ranges to better reflect assessment difficulty or grading expectations.

1. In the Assessment menu, click District Assessments.

2. Find and select the applicable assessment.

3. Select the Scaling tab.

4. Review the Current Scale and Distribution columns to determine how scores are currently distributed across each grade level.

5. In the New Scale (User Input) column, enter the updated scale value for each applicable grade.

After new values are entered in the New Scale (User Input) column, the table on the right automatically updates to reflect how student scores will be recalculated using the revised scale. The updated table displays the adjusted Scale Score, Scale Percentage, and corresponding Scale Letter Grade for each student score based on the new scaling values. This allows users to preview how the modified scale impacts grading before clicking Re-grade All Exams.

6. Click Save Scaling to save the updated scale values.

7. Click Re-grade All Exams to apply the updated scale to submitted assessments.

8. To return the scale values to their original settings, click Re-set Scales.

Expand or collapse content Viewing Reports

The Reports tab provides access to built-in assessment reports that can be used to analyze student performance, assessment results, standards mastery, and testing trends. These reports help teachers and administrators review assessment data, identify learning gaps, monitor student progress, and make instructional decisions based on assessment outcomes. Users can generate reports for individual students, groups of students, standards, items, and overall assessment performance.

1. To access Assessment Reports, go to the Assessment menu, and select District Assessments.

2. Find and select an assessment.

3. Select the Reports tab.

4. Select District Reports to view broader reporting data across assessments, students, schools, grade levels, or groups. Select Assessment Reports to view reports tied to the selected assessment, such as assessment-specific performance, item, scoring, or standards data.

The District Reports tab provides access to reports that analyze assessment participation, performance trends, standards data, and other assessment metrics across multiple students, schools, grade levels, or assessments.

The Participation Report provides a high-level overview of assessment participation across schools, grade levels, courses, teachers, and students. This report can be used to monitor assessment completion activity, identify students who have or have not participated, and review overall participation trends for assessments.

1. To view the report, access the Assessment menu and select District Assessments.

2. Find and select an assessment.

3. Select the Reports tab, then select District Reports.

4. In the Report pull-down, select Participation.

5. Configure the report filters as needed:

Schools: Select the school(s) to include in the report.

Grade Levels: Select the grade level(s) to include in the report.

Courses: Select the course(s) to include in the report.

Teachers: Select the teacher(s) to include in the report.

Periods: Select the marking period(s) to include in the report.

Students: Select specific students or leave set to All to include all students.

Regions: Select the region(s) to include in the report.

6. Click Run Report.

7. A completion summary displays at the top of the report, showing how many students have completed the activity.

8. Use the table options to navigate pages, export or print the report, adjust filters, change the page size, or communicate with selected students. See Additional Features for more information.

9. Review the participation table to see student-level details, including student name, student ID, school, teacher, status, start time, completion time, and total time.

10. Select the Discard check box to discard a submitted assessment for a student, if needed.

11. Select the Release check box to release the assessment for a student, if needed.

Expand or collapse content The Live Proctor Report

The Live Proctor Report allows users to monitor student assessment activity in real time during an active assessment session. This report can be used to track student progress, view assessment status, monitor the question students are currently viewing, and manage assessments by pausing, resuming, or submitting student attempts as needed.

1. To view the report, access the Assessment menu and select District Assessments.

2. Find and select an assessment.

3. Select the Reports tab, then select District Reports.

4. In the Report pull-down, select Live Proctor.

5. In the Sections pull-down, select the section to view.

 The Sections filter is the only filter available for this report.

6. Click Run Report.

The report displays all students who have accessed the portal alert and begun the selected assessment. For each student, the report displays their name, current status (such as in progress, paused, or complete), the number of the question they are currently viewing, and their score if they have completed the assessment.

7. Use the search bar to locate a specific student, if needed.

8. Click the Refresh button to update the report.

9.  Select one or more students, then click the More Options menu at the top of the table to perform actions in bulk for the selected students.

Users can also click the More Options menu for an individual student to perform actions for a single student.

The following actions are available:

a. Select Go To to send students to a specific question within the assessment.

i. In the pop-up, enter the question number to send the students too.

ii. Click OK.

iii. After the question number is entered, students will be directed to the corresponding question number.

b. Select Pause to temporarily stop students' assessments and display a message to the students, informing them the assessment has been paused by an administrator.

c. Click Resume to resume a paused assessment and allow students to continue working on the assessment.

d. Select Submit and Exit to display a pop-up for students on their portal where the student(s) will be prompted to submit their assessment, and cannot proceed with the assessment.

Expand or collapse content Response Distribution Report

The Response Distribution Report provides interactive visualizations and detailed response data for assessment items. This report can be used to analyze student performance by question or standard, identify response trends, review correct and incorrect answer distributions, and evaluate how students performed across the assessment.

1. To view the report, access the Assessment menu and select District Assessments.

2. Find and select an assessment.

3. Select the Reports tab, then select District Reports.

4. In the Report pull-down, select Response Distribution Report.

5. Configure the report filters as needed:

Schools: Select the school(s) to include in the report.

Grade Levels: Select the grade level(s) to include in the report.

Courses: Select the course(s) to include in the report.

Teachers: Select the teacher(s) to include in the report.

Periods: Select the marking period(s) to include in the report.

Students: Select specific students or leave set to All to include all students.

Regions: Select the region(s) to include in the report.

6. Click Run Report.

7. The top section of the Response Distribution Report displays bars for each question in the assessment.

The bars reflect colors based on the following logic:

Green: Percent of students who earned full credit for their response

Yellow: Percent of students who earned partial credit for their response

Red: No credit/points earned.

Hover over the sections on a bar to see the raw student count that comprises the green, red, and yellow sections on the graph.

8. Select the Group By Standards check box to group the color-coded bars by assessment standard.

If multiple questions are aligned to the same standard, separate bars display for each question associated with that standard.

9. Click a color-coded bar to filter the bottom table and view response data for the selected question or standard. By default, values in the table display the raw count of students for each response category.

Question #: Displays the question number on the assessment.

Percentage Points Earned: Displays how many points over the total points were earned in green and how many points were not earned over the total points in red.

Correct: Displays the raw number of students who earned full points for the question.

Incorrect: Displays the raw number of students who earned zero points for the question.

Partial: Displays the raw number of students who earned partial points for the question.

Points Possible: Displays the total points possible for the item.

Total Responses: Displays the total number of responses submitted for the question.

Question Name: Displays in the format of [question number.x], where x represents the question number within the item.

Question Points: Displays the point value for each question within the item. Single-question items worth 1 point display as 1.

Response Options: Displays submitted response combinations for the question. For multiple choice questions, responses display as combinations such as A, B, C, or D. For multi-select questions, all submitted response combinations display. For non-traditional question types, values display as the point values earned by students.

No Response: Displays the raw number of students who did not submit a response for the question.

10. Click Display Percentages to display the percentages in the table in place of the raw numbers.

11. Use additional features to print, export, search, or further filter the report data as needed.

The Student Item Analysis Report allows users to analyze a test at the item level, including an analysis of student performance on standards. Student performance can also be compared to school and district performance.

1. To view the report, access the Assessment menu and select District Assessments.

2. Find and select an assessment.

3. Select the Reports tab, then select District Reports.

4. In the Report pull-down, select Student Item Analysis.

5. Configure the report filters as needed:

Schools: Select the school(s) to include in the report.

Grade Levels: Select the grade level(s) to include in the report.

Courses: Select the course(s) to include in the report.

Teachers: Select the teacher(s) to include in the report.

Periods: Select the marking period(s) to include in the report.

Students: Select specific students or leave set to All to include all students.

Regions: Select the region(s) to include in the report.

6. Click Run Report.

7. On the left, the top table displays a summary of the results for the assessment.

Standard: Displays the title of the standards attached to items on the selected assessment. Hover over a standard title to view the full standard description. Click a standard title to highlight only the items attached to that standard in the second table. Click the sort arrows to sort the table by standard.

# of items: Displays the number of items/questions attached to the standard. Click the number of items to filter the second table to only the items attached to the selected standard. Click the sort arrows to sort the table by number of items.

# of students: Displays a breakdown of student performance on the items attached to the standard. Each section displays the number of students performing within the associated performance level.

Performance Levels: Displays the percentage of students performing within each competency band color for the associated standard. Click the Color Legend icon in the top-right corner of the report to view the score ranges for each competency band color.

Average: Displays the average student performance for the associated standard. Click the sort arrows to sort the table by average.

8. On the right, the top table displays a school and district comparison bar graph. The colors serve as the visual indicator of student performance on the overall assessment, based on the competency band attached to the assessment. The percentages along the Y axis indicate the percentage of students performing in each performance level.

9. The table at the bottom reflects student scores on the assessment.

Student ID: Displays the student ID number.

Name: Displays the student name.

School Title: Displays the name of the school in which the student is enrolled.

Test Score: Displays the student’s overall percentage score for the selected assessment.

Score: Displays the student’s total number of correct and incorrect responses for the selected assessment.

Max Score: Displays the maximum score possible.

Item(s): Displays a column for each assessment item/question. The student’s response displays in the corresponding item column. Responses are highlighted in green for correct answers, yellow for partial credit, and red for incorrect answers. Click a student response to view the full question, student response, correct response, and scoring details.

10. To use the AI Assistant, click AI Assistant.

a. Option 1: Select a built-in prompt to instantly explore performance trends.

a. Option 2: Enter a custom question in the text box for on-demand insights based on the data in the report

11. To include students who have been assigned the assessment but have not yet completed it,  select Show All Students at the top of the page.

By default, the data in the table reflects students who have completed/submitted the assessment.

12. To display additional details on the visuals in the Student Item Analysis report, select Show Labels. This displays a legend identifying competency band titles and corresponding colors. When hovering over sections of the graph, tooltips show the number and percentage of students in each competency band.

13. To view the competency band color ranges used throughout the report, click Color Legend.

The Color Legend pop-up displays the percentage range associated with each performance color shown in the charts and tables.

Competency bands are set up via Assessment > Configurations > Competency Bands.

14. Use additional features to print, export, search, or further filter the report data as needed.

The Standard Insights Report provides a detailed analysis of student’s standard performance across multiple assessments. This report provides ad-hoc capability to analyze standard performance trends at the district, school, course and teacher level, along with a comparison of student subgroups based on system and locally stored student fields.

1. To view the report, access the Assessment menu and select District Assessments.

2. Find and select an assessment.

3. Select the Reports tab, then select District Reports.

4. In the Report pull-down, select Standard Insights Report.

5. Configure the report filters as needed:

Schools: Select the school(s) to include in the report.

Grade Levels: Select the grade level(s) to include in the report.

Courses: Select the course(s) to include in the report.

Teachers: Select the teacher(s) to include in the report.

Periods: Select the marking period(s) to include in the report.

Students: Select specific students or leave set to All to include all students.

Regions: Select the region(s) to include in the report.

6. Click Run Report.

7. View the visual in the center of the report to compare the overall average score for the selected assessment across the district and selected school(s).

8. View the standard visuals below to analyze student performance for each standard included on the assessment, along with performance comparisons by overall assessment, district, and school(s).

9. In the Drilldown section, click the colored dot next to a component to change the color used in the report visuals.

a. Select the preferred color from the color picker.

b. Click outside of the color picker to close it.

c. Click Run Report to refresh the report with the updated colors.

10. To change the order of the components in the visuals, click and drag a component into the preferred order.

11. To add a subgroup to the overall assessment visual, click Add Item in the first Drilldown section.

a. Select a subgroup, such as Course, Period, Grade Level, Section, Teacher, or Standard.

b. Click Run Report to add the selected subgroup to the visual.

12. To add a subgroup to the standard visuals, click Add Item in the second group of criteria in the Drilldown section.

a. Select the applicable subgroup, then click Run Report.

13. If Student is selected as a drilldown option, a separate bar displays for each student included in the report.

14. To break down student performance by student field data, select a field from the Student Fields pull-down at the top of the report, then click Run Report.

15. In the Custom Fields section of the Drilldown panel, select the student field chosen at the top of the report.

a. Select the applicable field value, then click Run Report.

16. To save a custom version of the report, click the Save button.

a. Enter a report title, then click Save again.

b. Use the saved report pull-down to select and load a saved version of the report.

c. Select Default to return to the original report view.

d. Click the Update icon to update a saved report with the current settings.

e. Click the Trash Can icon to delete a saved report.

The Assessment Reports tab provides access to reports for a specific assessment. These reports can be used to review detailed assessment results, including student performance, item analysis, standards mastery, scoring data, and response trends for the selected assessment.

Expand or collapse content Accessing the Standard and Scores Report

The Standards and Scores Report generates score data for students assigned to a particular teacher’s section. The Standards and Scores Report provides a detailed view of student performance by standard and overall assessment score.

1. To run the report, access the Assessments menu and select District Assessments.

2. Find and select an assessment.

3. Select the Reports tab, then select Assessment Reports.

4. In the Report Type pull-down, select Standards & Scores Report.

5. In the Configs pull-down, select the section to report on.

6. Click Run Report.

7. The Objective Mastery and Average Score by Item tables display.  

a. Objective Mastery: Displays students who have submitted the assessment, along with performance data for each standard measured on the assessment. Each column represents a standard included in the assessment. The first row displays the average performance for all students by standard, while the rows below display individual student performance for each standard. The Average column displays each student’s overall average across all measured standards on the assessment.

b. Average Score by Item: Displays student performance for each item on the assessment. Each column represents an assessment item/question. The first row displays the average percentage answered correctly for all students who submitted the assessment, while the rows below display individual student performance for each item. The Average column displays the overall assessment average for each student.

Click on a student's item score to see their response. See Manually Scoring an Item for more information.

7. Use the available options to filter the report by student name, refresh report data, reveal or hide student names, download the report, or print the activity.

Filter by Name: Enter a student name to filter the report results and display matching students only.

Refresh: Click to refresh and reload the report data.

Reveal Names: Enable the toggle to display student names in the report. When disabled, student names remain hidden and student order is randomized.

Download: Click to download the report data.

Print Activity: Click to print the report activity.

8.  Click the More Options menu to access additional options.

When an assessment is in progress, options include:

a. Preview Activity: Opens a preview of the assessment activity as it appears to students.

b. Finalize Activity: Finalizes the activity and completes the assessment session. Once finalized, assessment results and report data can fully populate.

c. Pause Activity: Temporarily pauses the activity and prevents students from continuing the assessment until the activity is resumed.

d. Resume Activity: Resumes a paused activity and restores student access to continue the assessment.

e. Retake / Reopen: Allows the activity to be reopened or permits students to retake the assessment.

f. Edit Properties: Opens the activity settings so users can modify activity details and configuration options.

g. Add/Remove Questions: Allows users to add questions to or remove questions from the activity.

h. Cancel Activity: Cancels the activity and stops the assessment session.

i. Delete Activity: Permanently deletes the activity and its associated activity data.

When an assessment is finalized, options include:

a. Preview Activity: Opens a preview of the assessment.

b. Resume Activity: Reopens the assessment activity and re-allows students to access the assessment.

9. Click on a student to see more details about their results by Objective and by Item.

a. Click the More Options menu to allow a retake for the student or to re-score the activity.

b. Click Back to Activity to return to the report for the whole section.

Expand or collapse content Accessing the Summary Report

The Summary Report generates a high-level overview of student assessment performance for a selected section. The report can be used to review overall assessment results, compare student performance, monitor completion status, and quickly identify trends or students who may need additional support.

1. To run the report, access the Assessments menu and select District Assessments.

2. Find and select an assessment.

3. Select the Reports tab, then select Assessment Reports.

4. In the Report Type pull-down, select Summary Report.

5. Configure the report filters as needed:

Schools: Select the school(s) to include in the report.

Grade Levels: Select the grade level(s) to include in the report.

Courses: Select the course/section to report on.

Teachers: Select the teacher associated with the assessment activity.

Periods: Select the marking period(s) to include in the report.

Students: Select specific students or leave set to All to include all students.

6. Click Run Report.

7. Summary metrics display at the top of the report:

Sessions: Displays the total number of assessment sessions included in the report.

Min Score: Displays the lowest overall assessment score.

Average Score: Displays the average overall score across all included students.

Max Score: Displays the highest overall assessment score.

8. Use the available report options as needed:

Search: Enter a student name to filter the report results.

Prev/Next: Navigate between report pages when multiple pages of results are available.

By Item: Displays student performance grouped by assessment item/question.

By Standard: Displays student performance grouped by assessment standard/objective.

9. In the student performance table, you can see the following information:

Name: Displays the student name.  Click the Name column heading to change the sort order of the student list.

Score: Displays the student’s overall assessment score. The color scheme indicates the following:

Green: Full point earned

Yellow: Partial points earned

Red: No points earned

Item or Standard Columns: Displays student performance for each assessment item or measured standard, depending on the selected report view.

Expand or collapse content Scoring an Item Manually

From the Standard and Scores report, users can review and manually score assessment items that require instructor evaluation, such as open-response or essay questions. This process can be used to assign or adjust scores, review student responses, and ensure scoring accuracy before finalizing assessment results.

1. In the Assessment menu, click District Assessments.

2. Find and select the assessment.

3. Click the Reports tab, then select Assessment Reports.

4. In the Report Type pull-down, select Standards & Scores Report.

5. In the Configs pull-down, select the section to report on.

6. Click Run Report.

7. In the Average Score by Item table, locate the item that needs to be manually scored.

8. Select the student’s score for the item.

9. Review the student’s response. If a rubric is attached to the item, the rubric will be displayed in the bottom right of the pop-up.

10. Select the different attempts to view the student’s response across multiple attempts of the assessment.

11. Enter or adjust the score.

12. Click the blue check mark to save the score.

13. To review additional responses for the same student, use the arrows next to the question to navigate between item responses.

14. To review responses from other students for the same item, select a student from the pull-down or use the arrows to navigate between student responses.

15. When reviewing a student's incorrect response, toggle on Show Key to reveal the correct answer for a question.

16. When you're done reviewing responses and adjusting scores, click ( X ) to submit new scores and return to the report.

A message will display that scores are being saved, and a confirmation message will display when all scores have been updated.

17. Click Refresh to see the new scores populate on the report.

From the Standard and Scores Report, users can print the activity and answer key.

The following item types are supported for printing at this time:

  • Multiple Choice
  • Inline Choice/Entry
  • Ext. Text, SCR and ECR
  • Gap Match 
  • Selectable Text
  • Match Table

Users can also print assessments and answer keys from the Print tab in District Assessments and Exam Options in Create Assessments.

1. In the Assessment menu, click District Assessments.

2. Find and select the assessment.

3. Click the Reports tab, then select Assessment Reports.

4. In the Report Type pull-down, select Standards & Scores Report.

5. In the Configs pull-down, select the section to report on.

6. Click Run Report.

7. Click Print Activity.

8. In the Print Activity pop-up window, configure the print options as needed:

a. Print Theme: Select the formatting style used for the printed assessment.

b. Use Dual Column Layout: When selected, prints the assessment in a two-column layout to reduce page count.

c. Shuffle Question Order: When selected, randomizes the order of questions in the printed assessment.

d. Include Unprintable Items: When selected, includes items that may not normally display well in print formats.

e. Print Assessment: When selected, generates a printable version of the assessment.

f. Print Answer Key: When selected, generates a printable version of the assessment answer key.

9. Click Generate.

10. Review the generated PDF before printing or distributing it to students.

The Options tab is where users can configure additional assessment settings related to scoring, reporting, competency tracking, and student access. From this tab, users can manage how assessment results are released, push scores to test history, assign competency bands, perform mass rescoring, and control assessment preview visibility. These options help ensure assessments are configured appropriately before being assigned or shared with students.

The Tagging section allows users to apply tags to an assessment for organization and filtering purposes.

Tags are set up via Assessment > Configurations > Tags.

1. In the Assessment menu, click District Assessments.

2. Find and select the applicable assessment.

3. Select the Options tab.

4. In the Tagging section, click the Tags pull-down.

5. Find the tag you want to assign.

a. Option 1: Enter a keyword in the Filter text box to search for a specific tag.

a. Option 2: Click a category on the right side of the pull-down to filter the available tags by category.

6. Select the check box next to each tag you want to assign to the assessment.

The selected tags are applied to the assessment and can be used to help search for and organize assessments.

In the Option tab, users can configure how assessment scores are stored in student test history records. Users can associate the assessment with a specific test part and score type to ensure assessment results are reported and tracked correctly within Focus.

Before an assessment can be pushed to test history, the test must first be configured in Standardized Test setup.

1. In the Assessment menu, click District Assessments.

2. Find and select the applicable assessment.

3. Select the Options tab.

2. In the Test History section, select the applicable test part from the Test Parts pull-down.

3. Select the applicable score type from the Score Types pull-down.

Once selected, submitted assessment scores will populate in the selected test part and score type in the student’s test history record.

Expand or collapse content Assigning Competency Bands

The Assigning Competency Bands section allows users to associate a competency band scale with an assessment. Competency bands can be used to group score ranges into performance levels, helping users interpret student results more consistently across assessments and reports.

Competency bands are set up via Assessment > Configurations > Competency Bands.

1. In the Assessment menu, click District Assessments.

2. Find and select the applicable assessment.

3. Select the Options tab.

4. In the Competency Bands section, select the applicable competency band from the pull-down.

5. Click Save.

The selected competency band will be applied to the assessment and used to display results in the Reports tab according to the associated performance levels and score ranges.

Expand or collapse content Portal Release Date/Time

In the Portal Release Date/Time section, users can control when assessment results become available in the Parent/Student Portal. Users can schedule a release date and time, choose whether detailed assessment content is visible, or prevent the assessment results from being released to parents and students altogether.

If the Portal Release Date/Time is not configured for the selected assessment, the assessment results will be published to the parent/student portal in real time as soon as the student submits the assessment.

1. In the Assessment menu, click District Assessments.

2. Find and select the applicable assessment.

3. Select the Options tab.

4. In the Portal Release Date/Time section, click Select date to choose the date when assessment results should display in the Parent/Student Portal.

5. Select the Specify time check box to enter a specific release time.

6. To release detailed assessment content at the selected date and time, select the Release Detailed Content At Above Date/Time check box.

7. To prevent the results from displaying in the Parent/Student Portal, select the Do Not Release to Parent/Student Portal check box.

Expand or collapse content Rescoring Assessments

In the Options tab, users  can re-score an assessment after questions have been changed or removed. Re-scoring updates student scores based on the current version of the assessment.

1. In the Assessment menu, click District Assessments.

2. Find and select the applicable assessment.

3. Select the Options tab.

4. In the Re-score Assessments section, click Re-score Assessment.

The assessment will be added to the re-score queue. Scores will be recalculated the next time the District Assessment Re-scoring scheduled job runs and may take up to an hour to complete.

Expand or collapse content Restricting Assessment Preview Access

The Restrict Assessment Preview Access section allows users to limit access to assessment preview content. When enabled, assessment previews are restricted to authorized users, helping protect assessment content from being viewed by unauthorized users prior to use.

1. In the Assessment menu, click District Assessments.

2. Find and select the applicable assessment.

3. Select the Options tab.

4. Select the Restrict Assessment Preview Access check box.

The Preview tab will no longer display for the selected assessment, even if the user’s profile permissions typically provide access.

Expand or collapse content Sharing an Assessment

The Share tab allows administrative users to share an assessment with teachers and other administrative users. Sharing controls who can access the assessment and determines whether users can view, assign, or edit the assessment content. Access is granted using tag groups, which define the users or groups who will receive the shared assessment.

1. From the Assessment menu, select District Assessments.

2. Find and select an assessment with a status of Operational.

4. In the View Only section, select one or more tag groups from the Tag Groups pull-down to allow users to view and assign the assessment without editing it.

Users with View Only access can proctor the assessment and run reports. The assessment does not display in Create Assessments, and users cannot modify the assessment or its items.

5. In the Edit section, select one or more tag groups from the Tag Groups pull-down to allow users to edit the assessment.

Users with Edit access can access the assessment in both District Assessments and Create Assessments. This option is typically used for collaborative assessment creation or updates.

6. To share the assessment’s items with the selected users, click Apply Saved Exam Tags to Items.

This allows users in the selected tag groups to view and edit the assessment’s questions in Create Questions.

7. If needed, click Remove Exam Tags From Items to remove item-level access that was previously applied.

8. In the Tag Group Settings section, select Allow Gradebook Import to allow shared users to import the assessment into the gradebook.

9. In the Assessment Timeframe section, enter a Start & End Date to define when the assessment is available.

10. Click Save.

Users can print an assessment as a Word doc or PDF. This is useful for paper-based testing, offline access, or sharing assessment content with others.

To access the printing options for an assessment, your profile must be set up with the Printing permission via Users > Profiles > Assessment > Assessment Setup > District Assessments.

1. In the Assessment menu, select District Assessments.

To access the District Assessments submenu, your profile must be set up with viewing and editing permissions via Users > Profiles > Assessment.

2. Find and click on the assessment you want to print.

4. Option 1: To generate and download a Word Doc of the assessment, click Print to Word in the Print Assessment section. Then, you can share the Word file, open the assessment in Word to make edits, or print a physical copy of the assessment.

Users can print an answer key as a Word file or PDF. This is useful for offline access or sharing the answer key with others.

To access the printing options for an answer key, your profile must be set up with the Printing permission via Users > Profiles > Assessment > Assessment Setup > District Assessments.

1. In the Assessment menu, select District Assessments.

To access the District Assessments submenu, your profile must be set up with viewing and editing permissions via Users > Profiles > Assessment.
