Student Analytics

The Student Analytics report provides a comprehensive view of student demographic data for the selected school(s) and filters. This report allows users to analyze enrollment trends and student population distributions across key categories such as grade level, ethnicity, gender, lunch status, and program participation (including Gifted, IEP, and ELL). Users can also view breakdowns of student subgroups and identify patterns across the student population. By interacting with the charts and filters, administrators and staff can quickly analyze demographic trends, monitor subgroup representation, and support data-informed decision-making.

This feature requires the purchase of the add-on Analytics module.

1. In the Students menu, click Student Analytics.

2. Option 1: The report automatically runs for all students in the selected school (school selected in the header pull-down). To view the report for all students, continue to the next step where you can set additional report filters.

2. Option 2: To run the report for individual student(s), be sure the Student icon is selected, then select the applicable students from the pull-down.

2. Option 3: Select the Student Group icon and select the student group(s) from the pull-down to run the report for select students assigned to the student group(s).

3. Select the desired field(s) from the Student Fields pull-down to add additional student data columns and reporting categories to the analytics table and charts. Selected fields can be used to further analyze and group student data throughout the report.

4. Select the desired option from the Compare Years pull-down to compare current student analytics data against prior school years. Available options include None, 1 Year, 2 Years, 3 Years, 4 Years, and 5 Years.

a. If a comparison year option is selected, select an Effective Date from the pull-down to determine when student enrollment data is captured for each school year comparison. Available options include First Day of School and Last Day of School.

5. Select the All Schools check box to run the report for all schools in the district. When selected, the report updates to include student data across all accessible schools and may display additional school-level breakdowns, such as By School Level, By School Type, By Region, and By School.

6. Select from the following filters to determine which reports are displayed:

  • Grade Level: Displays a report showing student data grouped by grade level.
  • Ethnicity: Displays a report showing student data grouped by student ethnicity categories.
  • Primary Exceptionality: Displays a report showing student data grouped by students primary exceptionality classifications.
  • Gender: Displays a report showing student data grouped by student gender.
  • Lunch Status: Displays a report showing student data grouped by lunch eligibility categories (e.g., Free, Reduced, Paid).
  • Gifted: Displays a report showing student data for gifted and non-gifted students.
  • 504: Displays a report showing student data for students with and without a Section 504 plan.
  • IEP: Displays a report showing student data for students with and without an Individualized Education Plan (IEP).
  • ELL: Displays a report showing student data for English Language Learner (ELL) and non-ELL students.

The following options display when All Schools is selected:

  • By Region: Displays a report showing student data grouped by district-defined regions.
  • By School Type: Displays a report showing student data grouped by school type.
  • By School Level: Displays a report showing student data grouped by school level (e.g., elementary, middle, high).
  • By School: Displays a report showing student data grouped by individual school.

7. Click the settings icon to add numbers, percentages, and to sort data visuals alphabetically.

a. Select the Display Numbers check box to display numeric values directly on supported charts and graph visuals.

b. Select the Display Percentages check box to display percentage values on supported charts and graph visuals.

c. Select the Sort Alphabetically check box to sort chart labels and visual data categories alphabetically. When cleared, visuals return to their original data order.

The report displays the number of Students that meet the selected criteria.

Based on the selections made, you wil see different reports:

  • Grade Level: Displays a report showing students grouped by grade level.
  • Ethnicity: Displays a report showing student data grouped by student ethnicity categories.
  • Primary Exceptionality: Displays a report showing student data grouped by students primary exceptionality classifications.

Hover over any of the bar graphs to display the number of students enrolled in the selected grade level, such as 326 students in 11th grade.

There are also reports that display for Gender, Lunch Status, Gifted, IEP, and ELL, as shown below.

  • Gender: Displays a report showing student data grouped by student gender.
  • Lunch Status: Displays a report showing student data grouped by lunch eligibility categories (e.g., Free, Reduced, Paid).
  • Gifted: Displays a report showing student data for gifted and non-gifted students.
  • IEP: Displays a report showing student data for students with and without an Individualized Education Plan (IEP).
  • ELL: Displays a report showing student data for English Language Learner (ELL) and non-ELL students.

Hover over any of the bar graphs in the displayed reports to view student details, such as 661 students enrolled at the selected school(s) are Male.

There may also be additional charts depending on the student fields selected. In this example, 504 Plan was selected.

The following reports display with All Schools selected:

School Breakdown:

  • By Region: Generates a report displaying student data grouped by district-defined regions.
  • By School Type: Generates a report displaying student data grouped by school type (e.g., traditional, charter, magnet).
  • By School Level: Generates a report displaying student data grouped by school level (e.g., elementary, middle, high).
  • By School: Generates a report displaying student data grouped by individual school.

Hover over any bar in the report to view the value for the selected metric (e.g., H- High, 18,171). The example shown explains that 18,171 students are enrolled in high school.

If you elected to compare school years, all reports are broken down by school years.

Click the school year in the legend to remove that school year data from the report. Click the year again to add the breakdown for that year back to the report. Note: Making these changes to the report, only impacts the singular report.

The last report is broken down by student and includes the following columns (including any filters selected to generate all reports): Student name, Student Id, Grade level, Gender, Ethnicity, Lunch Status, IEP, ELL, Gifted, 504, School, and any selected student fields.

8. Click the View to open Student Info.

The Student Analytics reports are interactive. Clicking on any data point or metric (such as a bar in a chart) updates all reports, KPIs, and tables to reflect the selected criteria, allowing you to quickly refine and explore student data.

Follow the steps provided in The Student Analytics Report then follow the steps below to customize each of the reports.

1. When viewing any of the demographic reports listed above, click a bar in the chart to filter the data. All reports displayed, such as the Ethnicity report, regenerates to reflect the selected criteria. In this example, the reports are currently filtered to display data for Grade Level 10 students.

2. To update the reports, click a demographic value in any chart, such as White in the Ethnicity report. This applies a filter and refreshes all reports to display data only for the selected group. Any previously applied filters (such as Grade Level 10) will remain in place until cleared.

3. To remove a filter from the student reports, click the applied filter again, such as 10 in Grade Level. The selection is cleared, the bar returns to light blue, and all reports update to display all grade levels (if applicable).

You can add as many filters as you'd like and clear them as you go to customize student reports.

4. Click Clear Filters to remove all filters at once.

1. In the Students menu, click Student Analytics.

2. Apply all report filters and generate the report. See The Student Analytics Report for details.

3. Click the Printer icon.
