FOCUS-58483- Expenditure/Revenue Report | Previous Year Budget Drill Down & BM # Column

Users with the appropriate profile permissions can now drill down into budget maintenance revisions from previous fiscal years directly from the Expenditure/Revenue Report. Previously, the drill down was limited to the current fiscal year. Additionally, a new BM # (Budget Maintenance Request Number) column has been added to the drill down popup for easier identification of individual budget revisions.

See Expenditure/Revenue Report > The Expenditure/Revenue Report for more information.

FOCUS-58392- Accounts Receivable | Invoice Import Now Supports Vendor/Customer Fields with Additional Text

The AR Invoice Import has been enhanced to correctly process expense invoice files where the Vendor/Customer field contains both the ID and descriptive text (e.g., "S12345 John Doe"). Previously, the import required the vendor column to contain only the vendor number, causing files exported with additional details to fail. The import now resolves the Vendor/Customer using the prefixed ID while maintaining all existing import functionality.

FOCUS-58368- Manual Journals | P-Card Requisition Linked Record Type & Display Fix

A new P-Card Requisition option has been added to the Linked Record Type dropdown on Manual Journals. This dedicated type filters search results to show only approved P-Card requisitions (those without a purchase order), and correctly displays the requisition number and vendor name throughout the workflow. Previously, users had to select "Purchase Order" when linking a Manual Journal to a P-Card requisition, which caused the requisition number to be lost when an approver opened the Edit Draft screen from Pending Approval  displaying only vendor information instead. The linked record now retains and displays the requisition number correctly in Pending Approval, Edit Draft, and PDF printouts.

See Manual Journals > Creating Manual Journals and Internal Account Manual Journals > Creating Manual Journals  for more information.

FOCUS-58342- Accounts Receivable | Same-Day Payment Comments Now Copied to Refunds

When processing a refund in Accounts Receivable, any comments entered on the original payment transaction on the same day as the refund are now automatically copied to the refund transaction. Previously, comments added to a payment were not carried over when a refund was created, requiring users to manually re-enter them. The copied comment text is retained accurately on the refund, with no duplicate comments created.

See Accounts Receivable > Point of Sale > Transaction Report: Refunds and Voids > Refunds for more information.

FOCUS-58252- Accounting Strip Widget | Improved Caching Performance

The Accounting Strip Widget now uses incremental (delta) cache updates instead of invalidating and re-downloading the entire accounting strip dataset when changes are made. Previously, any modification to accounting strips, elements, or budget data would clear the full cache, forcing the widget to reload all data from scratch on the next page load. Now, only the specific rows that were added, changed, or removed are updated in the local cache. This significantly improves load times for pages that use the Accounting Strip Widget, particularly in districts with large chart-of-accounts configurations.

FOCUS-58147- Purchasing / Accounts Payable | Negative Budget Permission Now Split by Fiscal Year

The "Negative Budgets  Non P-Cards" profile permission has been separated into two distinct permissions:

  • Current Year & Prior Years controls whether users can create transactions that exceed the budget for the current or past fiscal years.
  • Future Years controls whether users can create transactions that exceed the budget for upcoming fiscal years.

This gives districts the flexibility to allow purchase orders and invoices to be entered for a future fiscal year before a budget has been formally adopted, while still enforcing budget checks for the current year. P-Card and Resale Inventory negative budget permissions are unchanged.

After upgrading, all profiles and users that previously had the original permission will automatically receive the new Future Years permission  no manual configuration is required. Administrators can then adjust Future Years access independently as needed.

See Setup > Profiles > Permissions Explained > Menu > Admin > Purchasing/Accounts Payable, Purchasing/Accounts Payable > Purchase Requests/Orders > Creating a Purchase Request/Order > Allocations, and Purchasing/Accounts Payable > Internal Purchase Requests/Orders > Creating a Purchase Request/Order > Allocations for more information.

FOCUS-58015- Budget Planning | Expanded Description Display Options

The "Show Element Descriptions" check box in the Accounting Strip Filter on District Budget Planning (Current Scenario) has been replaced with a new "Show Descriptions" dropdown. This dropdown mirrors the control already available on the Exp/Rev Report and offers five display modes:

  • None: Shows element codes only, with descriptions available on hover.
  • Show Element Descriptions: Displays "code: description" inline in each element column.
  • Split Element Descriptions: Shows the element code plus a separate description column per category.
  • Show Strip Descriptions: Adds the accounting strip's description column.
  • Both: Combines inline element descriptions with the strip description column.

Previously, users could only toggle element descriptions on or off. The new dropdown provides more granular control over how description information is displayed in budget planning grids.

See Budgeting/General Ledger > District Budget Planning > Creating a Budget Scenario for more information.

FOCUS-57426- Approval Flow | Substitute Approvers Now Respect Assigned Accounting Strip Elements

A new setting, "Restrict Approval Flow Subs to Approval Flow Elements" (ERP > Setup > Settings > Misc), gives districts greater control over how substitute approvers interact with purchase request approval tiers. When enabled, a substitute approver's action only satisfies the portion of an approval tier that matches their assigned accounting strip elements (e.g., cost centers). Approvals for elements outside their scope remain pending for the appropriate approver, ensuring each cost center is reviewed by the right person.

When disabled, substitute approvers continue to clear the entire approval tier as before.

This update also includes improved approval chain tooltips that accurately reflect pending substitute approvers and cleaner display of substitute approver names after approval.

See Settings > Misc tab > Misc section for more details.

FOCUS-56811- Bus Requests | Printout Now Shows Estimated Miles and Cost Before Trip Completion

The Print Unofficial bus request printout previously displayed $0.00 for cost and 0 for miles when the trip had not yet been completed by an administrator. This occurred because the printout only referenced the final post-trip values, which remain empty until the Complete Bus Request tab is filled out.

The printout now uses a fallback approach:

  • Before trip completion: Displays "Estimated Miles" and "Estimated Cost" using the values entered on the original request.
  • After trip completion: Displays "Total Mileage" and "Final Cost" using the finalized values, exactly as before.

Additionally, the Code field in Add Bus Request Facility is now required for each entry and must be unique across all new entries.

See Transportation > Setup > Destination Facilities, Transportation > Outside Bus Requests > Creating a Bus Request Draft, Transportation > Internal Bus Requests > Creating a Bus Request Draft, Transportation > Bus Requests > Creating a Bus Request Draft for more information.

FOCUS-58378- Direct Deposit | HR Lock for Employee Self Service

A new "Lock" option has been added to the Direct Deposit screen, allowing HR administrators to prevent employees from modifying their direct deposit information through Employee Self Service (ESS). When the lock is enabled on an employee's active direct deposit record, the employee will see a read-only notice stating that direct deposit has been locked by Human Resources, and will be unable to edit existing entries, add new lines, or submit change requests. The lock can only be applied when exactly one active direct deposit record exists for the employee. Any previously submitted ESS requests can still be approved through the normal workflow. To use this feature, the "Lock" permission must be enabled under Setup > Profiles > Employee Fields.

See HR > Employee > Primary Info > Direct Deposit and ESS > Employee Requests > Request Employee Information Change for more information.

FOCUS-58372- Run Payroll | FLSA Default Changed to "No" for Misc Pay and Adjustments

The FLSA (Fair Labor Standards Act) flag on the Misc Pay and Adjustments screens in Run Payroll now defaults to "No" when no pay code is selected. When a Misc Pay or Adjustment code is selected, the FLSA value will automatically default to the setting configured for that code under Settings > District Codes. This change applies to both the current and legacy payroll run screens, ensuring consistent and accurate FLSA defaulting across all payroll entry workflows.

See Payroll > Misc Pay and Adjustments for more information.

FOCUS-58158- Employee | Notes Column Added to Deductions Tables

A new Notes column has been added to the employee deductions tables, including Taxes, Calculated by Job, and Calculated by Employment sections. Users can now enter and edit freeform notes directly on each deduction record. Previously, there was no dedicated field for tracking notes on individual deductions, requiring workarounds to document important details. The Notes column follows the same editable behavior as the existing Description column.

See HR > Employee > Deductions for more information.

FOCUS-58013- Centennial Positive Pay | Added Configurable Status Style for Issued and Voided Items

Added a new setting that allows districts using Centennial Bank Positive Pay to choose between numeric status codes (10 = Issued, 11 = Voided) and alphabetic status codes (I = Issued, V = Voided) in the exported Positive Pay file. The setting can be configured independently for Accounts Payable and Payroll check runs.

See Setup > Settings > Miscellaneous > Check Printing for more information.

FOCUS-57394- Payroll Checks | Reissue Button Added

A new Reissue button has been added to the Check Voids and Reallocations screen. When a payroll check fails to process  for example, due to incorrect bank information  users can now reissue the check directly from the history view. The system voids the original check and creates a reimbursement entry on the selected payroll run for the specific check amount, ensuring the employee receives the correct payment without needing to create a new payroll run.

  • The Reissue option is available per check and prompts the user to select a target payroll run and reimbursement code before creating the reissue.
  • Only checks that have not already been voided or reconciled are eligible for reissue.
  • The reimbursement amount reflects the exact check selected, rather than the full run amount.

See Check Voids and Reallocations > Check History for more details.

FOCUS-55920- Payroll | Setting for Hourly Leave Payout

A new Leave Hourly Payout setting has been added to the Payroll tab under Setup > Settings, allowing districts to enable or disable hourly leave payout calculations. When set to "No," leave hourly payout entries will not be generated during payroll calculation and will not appear on the Proof Register report. This setting defaults to disabled for all districts except those where it was previously in use.

See Setup > Settings > Payroll > Reporting Information, EIN, Inactive Employees, and Payroll Calculation for more information.

FOCUS-55627- Employment Agreement Maintenance | Option to Include Secondary Email

A new Include Secondary Email check box has been added to the agreement creation screen in Employment Agreement Maintenance. When enabled, agreement notifications and reminder emails are sent to both the employee's primary (work) email and their secondary (personal) email on file under Employee > Contact.

Behavior:

  • Checked:The agreement notification is sent to both the primary email (under Primary Info) and the secondary email (under Contact), if one is available.
  • Unchecked:The agreement is sent only to the primary email, matching the previous behavior.
  • The checkbox is greyed out when a Pay Type, Contract Type, or Facility is selected. It becomes available when an individual employee is selected.
  • Send Reminder also respects this setting, delivering reminder emails to both addresses when applicable.

See Human Resources > Employment Agreement Maintenance > View/Create Agreements for more information.

FOCUS-53706- Slots/Steps | Shift Differential, Temporary Hourly Supplement & Referendum Pay Support

New columns and configuration options have been added to Slots/Steps to support shift differential pay, temporary hourly supplements, and referendum pay scenarios.

New Columns on the Slots/Steps grid (for non-Salary types):

  • Supplement Allocation (Base): Opens a Wild Card Allocation popup to define how the base supplement amount is distributed across accounting strips.
  • Supplement Allocation (Blended Overtime): Opens a Wild Card Allocation popup to define how blended overtime supplement amounts are distributed.(Only available when Salary Days is set to 1.)
  • Work Hours Only: Controls which hours the supplement applies to:
    • Exclude Paid Holidays, sick and vacation hours Deducts non-worked time from the supplement calculation.
    • All working hours Applies the supplement to all working hours regardless of leave type.
  • Allow Overtime: Yes/No toggle controlling whether overtime hours are eligible for the supplement.

Behavior:

  • The Blended Overtime allocation column becomes available when the slot is configured with a Salary Days value of 1.
  • Wild Card Allocation popups allow flexible accounting strip distribution for both base and blended overtime supplements.
  • When Work Hours Only is set to exclude non-worked time, vacation days and leave days are deducted from the supplement calculation for salaried employees.

See Maintenance By Fiscal Year > Slots/Steps for more details.

FOCUS-58435- Login Page: Mobile App Login Page Templates

Extends the Login Page Editor to support a dedicated Mobile App template. Administrators can now configure a separate login experience for the Community Mobile App through Setup > Single Sign-On > Login Page by selecting the new Mobile template type. This allows districts to tailor mobile login page content and branding independently from their desktop login pages. When a Mobile template is configured, the Community Mobile App uses that template for its login experience. If no Mobile template exists, the app automatically falls back to the Default login page template.

See Single Sign On > Login Page for more information.

FOCUS-58427- Imports: New Caret-Delimited File Format Option

Enhances the Imports module by adding support for caret-delimited (^) files. A new Caret Delimited option is now available in the File Format (Type) selector, allowing districts to import data files that use the caret character as the field delimiter. This eliminates the need to manually convert files exported from external systems that use caret-delimited formatting before importing them into Focus.

See Imports > Importing a File for more details.

FOCUS-58395- Student Contact Highlight Alert Icon Outlines

Enhances contact display throughout the system by improving the visibility of contact flag icons when contact highlighting is used. When a contact is assigned a highlight color, the associated contact flag icons are now outlined to ensure they remain clearly visible against the colored background. This improves readability while preserving the existing contact highlighting and flag functionality. Contacts without a configured highlight color continue to display using the standard styling.

FOCUS-58326 - Safety Management Reunification Reporting Enhancement

Enhances the Safety Management Reunification process by excluding students who have self-reported that they are Off Campus during an active safety event.

When student reporting is enabled, students who indicate they have already left campus are no longer included in the Reunification Status Report, allowing staff to focus reunification efforts on students who remain on campus or whose location still requires attention. Students who report themselves as safe but do not indicate they have left campus continue to appear in the reunification workflow as expected.

See Safety Management (Admin) and Safety Management (Teacher) for more information.

FOCUS-58306- Positive Behaviors: Adds Sort Order

Adds a new Sort Order field to Discipline > Positive Behavior Awards, allowing districts to control the order in which positive behavior options are displayed.

Positive behavior awards now appear in the order defined by the configured sort order, making it easier to prioritize commonly used awards and organize behavior options in a consistent manner throughout the Positive Behavior workflow.

See Positive Behaviors for more information.

FOCUS-58245- Password Recovery Experience Improvements

Simplifies the password recovery process by allowing users to create a new password directly during password reset, eliminating the need for a temporary password.

When users complete the password recovery workflow, they are now prompted to create and confirm a new password immediately from the password reset page. Upon successful submission, the new password is saved and the user is automatically signed in. This streamlined experience reduces the number of steps required to regain account access while continuing to honor existing password policies, including complexity requirements, password history restrictions, and force password change settings.

FOCUS-58130- Elementary Scheduler Student Identification Enhancements

Enhances the Elementary Scheduler by displaying additional student information on scheduling cards to help staff distinguish between students with similar names.

Student cards now display the students middle name when available. In addition, either the Student ID or Local ID will be displayed based on the users Student Listing preferences, providing additional context when scheduling and reviewing students.

FOCUS-58123- Safety Management Communication Pause Messaging

Refines the communication pause notifications displayed during active Safety Management alarm events by tailoring the message to the users role.

Administrative users continue to see messaging that explains emergency and priority communications can still be sent during an active safety event. Parents, students, and teachers now see a simplified notification indicating that communication is temporarily paused due to the active safety event, without referencing emergency or priority message options that are not available to those users.

See Communication (Teachers) > Composing Messages and Communication (Parents/Students) > Composing Messages for more information.

FOCUS-58103- Hall Pass Module: Add Location Restriction Label

Enhances the Hall Pass module by allowing districts to define custom restriction messages for individual hall pass destinations.

A new Restriction Label field has been added to Hall Pass Setup > Locations. When a student exceeds the configured pass limits for a specific location, the system can display a location-specific message instead of the standard hall pass restriction notice. This allows schools to provide more meaningful guidance to students when pass requests are denied.

Locations without a custom Restriction Label continue to display the existing default restriction message. Custom restriction messages are displayed consistently across both student hall pass requests and Classroom Hall Pass Kiosk workflows.

See Hall Pass Setup > Locations for more details.

FOCUS-57995- Grace Period for Attendance Thresholds

Adds a new Grace Period (Days) setting to Attendance Thresholds, allowing districts to delay threshold processing for recent attendance events.

When a grace period is configured, attendance records that fall within the specified number of school days are temporarily excluded from threshold calculations. Once the attendance record ages beyond the grace period window, it becomes eligible for normal threshold processing, including attendance letters, referrals, and other configured threshold actions.

Grace periods can be configured for both Daily and Period attendance thresholds and are available at both the district and school threshold configuration levels. This enhancement provides districts with additional flexibility to account for attendance corrections, excuse processing, and other administrative workflows before attendance threshold actions are triggered.

See Attendance Setup > Attendance Thresholds and District Thresholds and Scheduled Jobs for more information.

FOCUS-57824- FAST Report Demographic Charts and KPI Dashboard [Florida]

Enhances the FAST Report by adding demographic breakdown charts and KPI summary cards similar to those available in the Graduation Rate Report.

The report now includes visual summaries for key student demographic groups, allowing users to quickly analyze FAST performance data across categories such as lunch status and other student populations included in the report. New KPI cards provide at-a-glance performance metrics and support year-over-year comparisons through growth indicators and trend arrows.

When reviewing school-level data, users can drill into individual schools to view school-specific KPI summaries and student populations. Selecting an individual student updates the KPI cards and displays a detailed score breakdown for that student. The charts and KPI cards automatically adjust based on the selected FAST subject area and available data.

See FAST Report (Admin) and FAST Report (Teachers) for more details.

FOCUS-57743- School Choice: Import Programs

Adds a new Import option to School Choice Setup > Programs, allowing districts to create and update School Choice programs through a spreadsheet import process.

FOCUS-57676- Portal Find a Student: Add Most Recent Enrollment

Enhances the Find a Student portal block by adding a Use Most Recent Enrollment search option when searching inactive students. When enabled, searches for inactive students can return results based on the students most recent enrollment record, making it easier to locate students who have withdrawn or changed enrollment status.

Desktop

See Portal > Find a Student/User (Admin) for more details.

FOCUS-57554- Scheduling: Mass Requests Requirement Validation

Enhances Scheduling > Mass Requests by validating course eligibility requirements before course requests are added to students. Mass Requests now evaluates course prerequisites and grade level requirements during processing. Students who do not meet the defined requirements are automatically skipped, while eligible students continue to receive the requested course. Upon completion, the results message reports how many course requests were added and how many students were skipped due to unmet requirements.

See Mass Requests > Mass Adding Requests to a Group of Students for more information.

FOCUS-57500- Attendance Calculation by Bell Schedule Percentage

Adds a new Calculate By option to Attendance System Preferences: Percentage of Bell Schedule Minutes. When selected, districts can define attendance thresholds using two new settings:

  • Percent of Bell Schedule Minutes to Count as Full-Day Present
  • Percent of Bell Schedule Minutes to Count as Half-Day Present

Instead of relying on fixed minute thresholds, attendance is calculated as a percentage of the total instructional minutes defined by the students bell schedule for that day. This allows districts with variable schedules, early-release days, or grade-level-specific bell schedules to calculate attendance consistently based on the actual instructional time available.

See System Preferences > Attendance tab > By Minutes for more details.

FOCUS-56753- New Scheduling Restriction for Out-of-Field Teachers (Florida)

Adds a new profile permission, Allow Saving Out of Field Teachers, to control whether users can assign teachers who do not meet certification requirements for a course. When this permission is disabled, users are prevented from assigning Out-of-Field teachers across Scheduling areas (Courses and Sections, Master Schedule Report, Teacher Schedules, and Scheduler tools). Attempting to do so displays an error message and reverts the change.

See Profiles > Admin > Scheduling tab and System Preferences > Scheduling tab > Automatically determine Highly Qualified status for class sections" description for more information.

FOCUS-56643- Gradebook Reports: Option to Select Grade From a Previous Course In Transferred Students Report for Student From Another District Through Focus Transfer [Florida]

Enhances the Transfer Student workflow by allowing teachers to apply transfer grades using course history imported through Focus Transfer.

When adding a transfer grade, teachers can now select a course from the students previous district as the source for the initial transfer grade, even when no prior sections exist in the receiving district. If the current course number matches a transferred course from the previous district, the corresponding course is automatically selected by default to streamline the transfer process.

Teachers can still choose to exclude the transfer grade when appropriate. This enhancement simplifies grade transfers for students entering from another Focus district and helps ensure prior coursework is accurately reflected in the receiving teachers gradebook.

See Focus Transfers > FAQs for details.

FOCUS-56350- Lunch Count Reporting and Grade-Level Controls

Adds a new Lunch Count Report under the Attendance menu for schools using the Enter Lunch Count Totals Instead of by Student attendance preference. The report provides school and district staff with visibility into submitted lunch counts, including teacher-level totals, school totals, and district-wide summaries. Lunch count categories are grouped by attendance code title, allowing matching lunch options across schools to roll up into shared district totals.

A new Lunch Count Grades Eligible setting has been added to Setup > System Preferences > School Preferences > Attendance, allowing districts to define which grade levels participate in lunch count collection. This provides additional flexibility for schools that take attendance multiple times per day while limiting lunch count entry to applicable grade levels.

The update also introduces a once-per-day lunch count submission process. Teachers can submit lunch totals during attendance entry, and the system validates that submitted lunch counts align with the number of students marked present before allowing attendance to be saved. District and school administrators can review lunch totals through the new reporting interface, including school-level and district-wide summaries.

See Users > Profiles > Attendance tab (Admin) and Lunch Count Report (Admin) for more information.

FOCUS-56074- New Community App Student Login As Option

Users with permission to log in as students can now access a new Login As Community option from Student Info and the student selector. This option appears alongside the existing Login As functionality and opens the Community mobile app experience as the selected student, allowing authorized users to review the student-facing mobile app view directly. Users can restore their own session from the Community app and return to the standard Focus browser session when finished.

See Student Info > Viewing Student Information (Admin), Searching for Students > Quick Student Search From Any Screen (Admin), Portal > Student/User Quick Search (Admin), and Using the Mobile App for Administrators > Logging in as a Student for more details.

FOCUS-55833- Document Management: Consolidate Import Student & Staff Files into Unified Import Files Page with NEW School Uploads

Consolidates Import Student Files and Import Staff Files into a new centralized Import Files page and adds support for importing files directly to School records.

The new Import Files page provides a single workflow for importing files to Students, Staff, and Schools, with available import types controlled by profile permissions. Existing student and staff import functionality remains available, while a new Import School Files permission enables file imports for school records.

Users can select the target record type, choose the identifier used for matching records, and import files into either file upload fields or logging field file uploads. For school imports, files can be matched using either Focus School ID or School Number. Existing functionality for custom file upload fields and logging field uploads is retained across all supported record types.

This enhancement simplifies file management by providing a single import interface while extending document import capabilities to school-level records.

See Import Files and Profiles > Setup tab > Import Files for more information.

FOCUS-55373- Proficiency Gradebook: Support Shared Assignments

Enhances the Shared Assignments report to support teachers using the Proficiency Gradebook.

When importing a shared assignment, teachers using proficiency-based grading can now select the applicable standard directly from the Shared Assignments report. Assignments must have a standard selected before they can be imported, ensuring the assignment is properly aligned with proficiency grading requirements and appears correctly within the receiving teachers gradebook.

This enhancement applies only to Proficiency Gradebooks. Traditional gradebooks continue to use the existing shared assignment workflow without any changes.

See Proficiency Gradebook > Options and Gradebook: Categories & Assignments > Shared Assignments for details.

Expand or collapse content CTE

FOCUS-57998- CTE: Gainful Employment Reporting

Adds a new Gainful Employment report under the Billing menu to support federal Gainful Employment reporting requirements for adult CTE programs.

The report consolidates student, program, billing, financial aid, and placement data into a reporting format designed to support Gainful Employment compliance and data collection. To support reporting requirements, new Gainful Employment configuration options have been added throughout the Postsecondary system, including program setup, funding sources, placement tracking, fee templates, and product lists.

New settings allow districts to identify Gainful Employment-eligible programs, assign financial aid reporting codes, designate fees and funding sources that should be excluded from Gainful Employment calculations, and track required enrollment and placement information. The report combines this information into a centralized reporting tool and includes save functionality to support ongoing data review and reporting workflows.

See Billing > Gainful Employment, Accounts Receivable > Funding Sources > Funding Sources, Billing > Product Lists > Adding an Item to the Internal Products List, Adding an Item to the District Products List, Billing > Managing Fee Templates > Managing Fee Templates, Scheduling > Modify Programs > Modify Programs, and Student Info: Placement (Postsecondary) > Adding Student Placement Details for more information.
