We've optimized our background processes to ensure customer data remains accurate and consistent between the Community Store and your ERP system.

Automated Customer Data Updates

Enhanced Syncing: The scheduled sync job now automatically updates ERP customer profiles with their Residence Address and Main Phone number directly from checkout data.

Duplicate Prevention: We've implemented smarter logic to prevent the creation of duplicate contacts, keeping your database clean and organized.

Smart Filtering: The system now supports selective updates, ensuring only necessary changes are pushed to the ERP without overwriting critical existing data.

Standardized State Codes: To maintain data integrity, all State information captured during the Community Store checkout is now enforced as a 2-character code (e.g., "TX" instead of "Texas") before being stored.

We've streamlined the Purchase Order approval process to give you better visibility and organized record-keeping.

Purchase Requests & Orders

PO PDF Attachments: Approval notification emails now include the Purchase Order PDF as a direct attachment. You can now review the full details of the order without needing to log back into the system.

Improved File naming: We've updated the PDF naming convention to automatically use the PO Number. This makes it much easier to identify, save, and search for specific orders within your inbox or local files.

FOCUS-56144- Warehouse | Add View All Permission to Courier Requests

Warehouse & Courier Request Enhancements

We've added a new visibility feature to streamline how Courier Requests are managed across your team.

Courier Request Visibility

"View All Users" Access: Users can now view courier requests created by others through a new View All Users button, available on both the Drafts and Request History tabs.

Permission-Based Control: Access to this button is managed via profile permissions, allowing administrators to grant "View All" capabilities only to specific roles or supervisors.

Improved Collaboration: This update makes it easier for teams to track pending shipments and historical requests without needing to switch between individual accounts.

How to enable: Administrators can toggle this new permission within the Profile Permissions settings for the Warehouse/Courier module.

Accounts Payable Enhancements

We've introduced more granular control over how your financial data appears on printed documents, specifically for Internal Account (IA) operations.

New Feature: IA Purchase Order Privacy

Independent Allocation Visibility: You can now choose to hide allocation details specifically on Internal Account (IA) Purchase Orders.

Customizable Settings: This new toggle operates independently from your existing District PO settings. This allows you to keep allocations visible on District orders while maintaining privacy on IA orders (or vice versa), providing better flexibility for different department needs.

How to update: Navigate to Accounts Payable Settings to adjust the visibility for IA Purchase Orders.

Purchase Request Interface Improvements

We've made a small but impactful change to the Purchase Request interface to ensure your data remains clear and easy to read.

Enhanced Column Readability: We've updated the Description column to enforce a larger minimum width. This prevents the column from shrinking too much on smaller screens or crowded tables, ensuring your item descriptions stay legible without disrupting the rest of the page layout.

FOCUS-55967- Accounts Payable | Profile Permissions for Upload Invoice File Added to Separate AP Invoices and Internal Account Invoices

Accounts Payable Permissions

We've added more precise control over who can upload documents, allowing for better separation of duties between standard and Internal Account (IA) workflows.

New Feature: Profile-Based Upload Permissions

Granular Upload Control: You can now manage the visibility of the Upload Invoice File button via user profiles.

Separated Permissions: The ability to upload files can now be controlled independently for:

  • Regular AP Invoices
  • Internal Account (IA) Invoices

Enhanced Security: This ensures that users only see the upload tools relevant to their specific role and department, reducing errors and improving workflow security.

How to update: To adjust these settings, visit Profile Permissions and look for the new "Upload Invoice File" toggles under the Accounts Payable section.

FOCUS-55504- Budgeting/General Ledger| Add Element Exclusion Drop Downs for Payroll Budget Planning

This system enhancement to ERP>Budgeting/General Ledger>Payroll Budget Planning>Scenarios introduces new drop-down multi-select fields to the Scenarios tab. The new fields are titled Center, Function, Fund, Object, and Project, and contain account elements that, when checked, will be excluded from budget projections.

FOCUS-56547- T&A | Add geofencing

Geofencing for Clock-Ins

Focus has replaced IP-based restrictions with new Geofencing logic. Districts can now define allowed clock-in areas by coordinate and radius. A new system setting gives districts the choice to strictly prevent clock-ins outside the fence or to permit them with a warning flag for administrative review. This update provides more flexible and accurate location verification for all mobile and desktop time entries.

FOCUS-56711- Applicant Tracking district facility postings incorrectly appearing for users

This system improvement to ERP>Human Resources>Applicant Tracking>Postings ensures users who have district-level accounting access, but not full HR permissions, are not incorrectly being granted visibility into the district-wide pool of postings and applicants, which includes data from all locations.

ESS Job Postings: New "Job Posting Type" Filter

A new Job Posting Type filter has been added to the Job Postings page in Employee Self-Service (ESS). This fifth filtering option allows applicants to further refine their search for open positions, making it easier to distinguish between different categories of employment.

FOCUS-56358- HR > Employee Address | State Field not updating as expected

Address Management Fix: USA State Updates

Resolved a bug that prevented the "State" field from updating correctly on address records where the country was set to "USA." This update includes an automated database migration to fix all existing records affected by this issue. Users can now update state information for domestic addresses without encountering saving errors, ensuring accurate mailing and reporting data across the system.

Supplement Setup: "Number of Pays" Field Removal

The "Number of Pays" field has been removed from the Supplement Setup page. As this field is no longer used in the current payroll calculation logic, it has been retired to streamline the setup process. This change ensures the interface remains up-to-date and reflects only the settings required for accurate payroll processing.

FOCUS-56093- T&A | Adjust object masking priority

Time and Attendance: Adjusted Object Masking Priority

Improved the account code masking logic to prioritize Premium Overtime over Special Request masks. When an entry qualifies for both, the system will now correctly apply the Premium OT object mask. This fix ensures that overtime hours are mapped to the correct financial accounts during the payroll assignment process.

FOCUS-55191- Online Enrollments: Status Updates for Deny and Return

Updates Online Enrollments to clarify and separate form outcomes. The previous "Denied" status has been renamed to "Returned" (Sent Back) to reflect forms sent back for edits and resubmission. A new "Denied" status has been added for permanently rejecting forms, preventing further edits or resubmission.

A new Deny action is available alongside Send Back, allowing administrators to reject submissions with an optional reason. Both Returned and Denied forms move to processed areas, while only Returned forms remain editable and can be resubmitted.

Applicant Tracking & EAF Integration

We've overhauled the Job Posting interface to reduce clicks and ensure that critical position data--like hours and funding--flows seamlessly into the Employee Action Form (EAF).

Streamlined Job Postings

Direct Position Selection: We've removed the multi-position pop-up. You can now select Positions and Jobs directly from the main posting page, making the creation process faster and more intuitive.

Synchronized Hours: A new Hours/Day field has been added to all job postings.

  • This field automatically pulls the default value from Position Control.
  • It remains fully editable if you need to override the default for a specific posting.

Editable Allocation Strips: We've introduced an Allocation Strip section for every position in a posting.

  • This defaults to the account strings defined in Position Control.
    • You can modify these allocations directly within the posting.

Improved Workflow Accuracy

EAF Integration: Any values entered or overridden in the Hours/Day and Allocation fields will now automatically carry over to the EAF, eliminating manual data re-entry and reducing clerical errors during the hiring process.

Resolves an issue where students continued to receive messages from classes they were no longer enrolled in. Communication is now correctly restricted to active enrollments, ensuring students and their contacts only receive messages for current classes.

FOCUS-56608- Gradebook Adds 50% Custom Grade Option

Enhances the Teacher Gradebook by adding a new 50% custom grade option alongside the existing Zero and Excluded types. This option automatically applies half credit for an assignment, ensuring consistent calculation of points, percentages, and GPA across the gradebook.

FOCUS-56589- Advanced Report: New Search Fields Has Photo, Photo Date

Enhances Advanced Reports by adding two new fields: "Has Photo" and "Date Photo Loaded." The Has Photo field indicates whether a student has a profile photo, and Date Photo Loaded displays when the photo was uploaded, providing better visibility into student photo data.

FOCUS-56568- Third Party Systems: Split "Future Enrollments Active" into Separate Teacher & Student Settings

Splits the "Future Enrollments Active" setting into two independent options: Future Teacher Enrollments Active and Future Student Enrollments Active. This allows districts to control whether future enrollments are considered active separately for teachers and students, with corresponding updates applied to the enrollments API.

FOCUS-56561- School Choice: Resolve Evaluate Placement Allowing for Multiple Accepted Records

Resolves an issue where the Evaluate Placement screen allowed multiple records to be marked as accepted for a student. The system now enforces a single accepted record per student, aligning with behavior in other School Choice areas and preventing conflicting placements.

FOCUS-56558- Addresses & Contacts: Country Code Enhancement to Contact Detail Phone Rows

Enhances Addresses & Contacts by adding a dedicated country code field for phone numbers and improving validation. U.S. numbers (+1) must be entered as 10 digits, while international numbers allow flexible length but must be numeric only. This ensures cleaner data entry and better support for global contact information.

FOCUS-56527- Communication Queue Email Batch Size Increase

Increases the number of emails sent per batch in the Communication queue from 200 to 500. This improvement enhances email delivery performance and reduces the time required to send large communications.

FOCUS-56521- Take Attendance: Tooltip for Attendance Entry

Enhances the Take Attendance screen by adding a tooltip that displays who recorded the attendance for a student. When attendance has already been taken by another user (e.g., admin or teacher), hovering over the attendance code now shows the user who entered it, providing greater transparency and context for teachers reviewing attendance records.

FOCUS-56497- Scheduled Job: Email Notification Date Accuracy

Improves email notifications for Scheduled Jobs by correcting how the job start date is displayed. Start times now reflect the actual execution date instead of defaulting to "today," ensuring accurate reporting for overnight and prior-day job runs.

FOCUS-56493- Teacher Gradebook: Use Attendance Code Colors

Enhances the Teacher Gradebook to display attendance using the colors configured in Attendance Setup. If no color is defined for a code, the system defaults to the standard red or yellow indicators.

FOCUS-56487- School Choice Computed Field Displays Zero Values

Improves computed field display in School Choice by ensuring values of "0" are treated as valid and displayed correctly. Previously, zero values could be interpreted as empty and not shown; this update ensures accurate reporting and visibility of all computed results.

FOCUS-56482- Rollover Safeguard for Do Not Enroll Setting

Enhances student rollover by ensuring that if a student's rolling retention option is set to a Do Not Enroll value, any previously created enrollment records for the next school year are automatically removed. This prevents unintended enrollments and keeps rollover data aligned with current settings.

Improves the Add a Student duplicate search to correctly include applicants from prior school years.

FOCUS-56442- Student Info: Add Florida ID to Primary Info Tab

Adds the Florida Education Identifier (FLEID) to the Primary Info tab on the Student Info screen for customers in Florida. The field now appears in the General section between Local ID and SSN, improving visibility of key student identifiers.

FOCUS-56439- School Choice Allow Cancellation After School Year Start

Adds a new School Choice preference, "Allow parents to cancel school choice assignments after the first day of school?", available per application type and school year. When enabled, parents can cancel applications even after the school year has begun. By default, existing behavior remains unchanged, and cancellations are restricted after the first day unless this setting is turned on.

FOCUS-56411- Course Catalog: Add Duplicate Course Button

Adds a Duplicate option to Scheduling > Course Catalog, allowing users to create a copy of an existing course. This helps streamline course setup by reusing existing configurations and reducing manual data entry.

FOCUS-56377- Mass Add Log Records Restricted View and Display Improvements

Improves the Mass Add Log Records screen by ensuring computed log field values display consistently and restricted view permissions are properly enforced. Users now see accurate computed values (such as teacher names), and visibility is correctly limited based on user role, with teachers only seeing their own records and administrators seeing all applicable entries.

Improves the appearance of the Grades Detailed View by removing table and cell borders for non-CTE schools, creating a cleaner and more streamlined layout. Border styling is retained for CTE schools to preserve header formatting where required.

FOCUS-56278- Mobile App Inclusion Teacher Filtering Update

Updates the Community Mobile App so inclusion (co-teacher) users only see their assigned students on the Overview tab, instead of all students in the primary teacher's class. This update also adds Gradebook access for inclusion teachers, including their co-teaching sections.

FOCUS-56277- Add View Standard Grades to the Teacher Menu

Adds a new View Standard Grades report for Teacher profiles, available under Reports > Grades when the permission is enabled. This report allows teachers to view student standards grades by term and export the data to print or spreadsheet formats for easier review and analysis.

Adds a new "Use as Student Mobile Badge" option to the Student ID Badge setup. When enabled, the mobile app displays the student badge using the same layout and settings as the Print ID Badge, ensuring consistency between print and mobile views.

FOCUS-56206- Summer School Programs Feature

Introduces a new Summer School Programs feature that allows districts to manage summer offerings and assign students directly from Student Info. Districts can configure programs with associated schools, courses, grade levels, start dates, and enrollment codes under Setup.

Students can be assigned to one or more programs, with statuses including Approved, Declined, Pending Parent, and Pending School. When a program is marked Approved, the system automatically creates an enrollment record for the selected summer school and adds associated course requests for the student.

Additional functionality includes configurable communication templates for each status, which are sent when records are saved, and support for managing multiple program assignments per student.

A new system preference, "Allow Parents to Accept Summer School Programs," enables parent interaction. When a program is set to Pending Parent, a portal alert is sent (if enabled), allowing parents to approve or deny the program directly. Approval triggers enrollment and course requests, while denial updates the status accordingly.

New permissions are available to control access for both administrators and parents, supporting setup, assignment, and approval workflows. This feature streamlines summer school planning, enrollment, communication, and parent engagement in a single workflow.

Adds a Toggle Columns option to the Test History Report.

FOCUS-56176- District Reports Portal Alert Styling Options

Enhances District Reports by adding built-in styling options for Portal Alerts. Users can now apply text styles (bold, italic, underline) and a highlight color to alert links directly from the District Reports screen, eliminating the need to use HTML in report titles.

These options are available when Portal Alert is enabled and allow multiple styles per alert. Changes are reflected on the portal immediately, improving visibility and helping users quickly identify important reports.

FOCUS-55914- Edit Rules & Workflow: Allow Signature fields in Linked Fields

Enhances Edit Rules & Workflow by allowing signature fields to be used in Linked Fields. Administrators can now show, hide, or set values for signature fields based on defined criteria, and users will be prompted to provide a signature when required.

FOCUS-55858- Florida Postsecondary Adds AEFLS Link for WDIS Reporting

Adds a new AEFLS link to the student header for Florida postsecondary customers, providing quick access to the WDIS AEFL Schedules report. This allows users to easily navigate from the student schedule to the new report, where WDIS test data is now maintained. The link opens in a new tab and is only visible to users with the appropriate permissions. Existing functionality for other states remains unchanged.

FOCUS-55779- Document Management Redacted and Unredacted View Options

Enhances Document Management by allowing users with the View Unredacted Files permission to access both redacted and unredacted versions of documents. For files with redactions, the View button now includes a dropdown with options to view either version. Users without this permission continue to see only the standard View option, which opens the redacted file.

FOCUS-55757- Communication: Inbox/Sent/Archive Performance Improvement

Optimizes the queries used for Communication Inbox, Sent, and Archive views to improve performance, especially for users with large message volumes.

FOCUS-55729- Add a Student: Parent Add a Student Middle Name Length Permission

Ensures the Maximum Length for Middle Name on Add a Student system preference is enforced when parents add a student through the portal. Middle names that exceed the configured limit are now blocked with an error, while valid or blank entries continue to be accepted.

FOCUS-55721- Hall Pass Timeframe Restrictions Enhancements

Enhances Hall Pass restrictions by replacing the "Max number of student passes per day" system preference with a more flexible Timeframe Restrictions configuration. Schools can now limit student passes by Period, Day, Quarter, Semester, or Full Year, providing more granular control over pass usage.

Additional controls allow restrictions to be applied at the location level, with configurable pass limits per timeframe. Existing settings are migrated to the new structure, and all restrictions work together to enforce limits based on the most restrictive applicable timeframe.

FOCUS-55031- New Online Applications Email Settings and Status Enhancements

Enhances Form Publishing by consolidating email configuration into a new Email Settings modal, replacing multiple columns with a cleaner, centralized interface. All notification types (approval, returned, denied, continuation, reminder, completion, and custom) can now be configured in one place.

Adds support for Returned (Sent Back) and Denied statuses, allowing districts to define email subjects and templates for these actions.

Also improves notification behavior by ensuring portal alerts and emails are sent correctly when forms are approved or returned, and standardizes job application emails to send only once across both new and legacy applications.

FOCUS-54648- New Preference for Default Student Page

Adds a new preference that allows users to select their Default Student Page (e.g., Student Summary, Schedule, Grades, etc.) when opening a student record. This can be set in My Preferences or as a default user preference, with Student Info remaining the default. When selecting a student from the student dropdown, the system will open the user's preferred page if they are not already on a student screen. Available options are limited to the pages the user has permission to view, providing a more personalized and efficient navigation experience.

FOCUS-53800- Communication: Send SMS as Push Notification, Send as SMS if Unread for an Hour

Enhances the Communication platform by prioritizing push notifications over SMS for users with the mobile app. When an SMS is sent, the system first attempts to deliver a push notification. If the message is not viewed within one hour, the SMS is then sent.

Key updates include:

  • Push notifications are sent to all registered devices for a user, with SMS fallback after one hour if unread
  • Emergency messages bypass the delay and send both push and SMS immediately
  • Reading the message in the app or web prevents the SMS from being sent
  • Clicking a push notification opens the conversation and scrolls to the relevant message
  • Compose screen messaging indicates when push notifications will be used instead of SMS
  • Communication Reports include a new "SMS Combo" type to reflect push + SMS behavior, with updated icons and delivery details

These changes improve delivery efficiency, reduce unnecessary SMS usage, and provide a more seamless messaging experience.

Improved performance when loading form approval data in the parent portal by optimizing the query used to retrieve approval form options. This change reduces slow load times when users have many form approvals.
