FOCUS-54994- Accounts Payable | PCard to PO with Multiple Reference Numbers

This enhancement to ERP > Purchasing/Accounts Payable > Purchase Request/Order and ERP > Purchasing/Accounts Payable > Internal Accounts Purchase Request/Order enables users to link a purchase order containing multiple reference numbers to an imported Purchase Card Requisition.

When the purchase order is linked:

  • If the totals match, the reference lines and their allocations will be merged into the P-Card purchase order.
  • If the totals do not match, the system will display an error message indicating that the link cannot be completed.

FOCUS-54952- Accounts Payable | Debit & Credit on Non-PO Invoice Imports

Added Debit and Credit as available fields in the import for Purchasing/Accounts Payable > Invoices > Non-PO Invoices. This enhancement allows districts to override the default general ledger accounts during the import process.

FOCUS-54839- Accounts Payable | Prevent Deleting Non-Draft Purchase Order

This system improvement in ERP > Purchasing/Accounts Payable > Purchase Requests/Orders > Drafts prevents non-draft Purchase Orders (POs) from being deleted. If a PO is submitted in one window while the Drafts tab is open in another window, and a user attempts to delete that PO from the Drafts view, the system will display a warning and block the deletion.

FOCUS-54611 - Transportation | Add Setting to Validate Trip Date

This system improvement to ERP > Transportation > Setup > Misc introduces a new field titled "Validate Trip Date." This field allows districts to specify the minimum number of days in advance that a trip must be submitted.

Additionally, a new profile permission has been added under ERP > Setup > Profiles > Transportation called "Override the Validate Trip Date Setting." This permission allows authorized users to bypass the minimum advance submission requirement when necessary.

FOCUS-54579- Fixed Assets | Inventory Location Update

This improvement in ERP > Fixed Assets > Manage Assets > Current Asset prevents the system from incorrectly detecting a change to an asset's department when the department is inactive or obsolete. Users can now update asset information, such as location, and save the record without receiving a department-related error.

FOCUS-53324- Setup | Add Ability to Rollover 1098-T Settings

Adds a new Rollover 1098-T Settings button under ERP > Setup > Settings > 1098-T. This feature allows administrators to quickly copy configuration settings from the prior year into the new year.

Extended Leave Case: Unpaid Leave Mapping

A new setting in HR > Leave Maintenance > Unpaid Leave (leave case) allows districts to designate which leave bucket should be charged when an employee's paid balance is exhausted during an extended leave process (ESS > Employee Request > Leave case). This ensures that any time taken beyond an employee's accrued balance is automatically and accurately recorded as unpaid leave.

System enhancement in Setup > Settings > Payroll > 'Leave Request for Sub - Number Of Days Prior'- This setting will be defaulted to 30 days

Using this setting will enable you to assign a sub to a leave record paid on a previous run.

FOCUS-54892- HR|Profile Permission for viewing SSN for Active Employees vs Inactive Employees

New profile permission added on the ERP side to control viewing of the full SSN for active and inactive employees. Users without this permission--but who still have access to the SSN employee field--will only see the last four digits.

A new feature on the ERP > Budget > Payroll Budget Planning page allows users to exclude specific projects from the budget projection process. This enhancement provides districts with the flexibility to remove non-recurring project costs from their next-year forecasts, ensuring a more accurate and representative payroll budget.

FOCUS-54186- Time & Attendance | Substitutes

A new Substitute Clock-In feature has been added to the Time & Attendance module to simplify tracking when employees work as substitutes. If a pay type is configured in Leave Maintenance > Subs, employees in that pay type will now see a Substitute button when clocking in. Selecting this option allows the employee to choose the individual they are substituting for.

Additional configuration settings for the Substitute feature are available in HR > Time & Attendance Setup > Settings, including options for object masking and half-day thresholds.

Updates have also been made in Time & Attendance Setup > Special Request:

  • All previous Sub For options have been renamed to Cover For.
  • New fields have been added for Hour Multiplier and Time Considered.

These Special Request configurations can be utilized in HR > Position Control > View > Time & Attendance, where a new setup allows administrators to define half-day and full-day substitute rules.

When a substitute clocks out, the system automatically calculates the hours worked:

  • If the total hours exceed the configured half-day threshold, the Full-Day Special Request is applied.
  • If the hours are below the threshold, the Half-Day Special Request is applied.

Organizations that prefer not to use the new half-day/full-day configuration can continue using the Cover For option to record when substitutes are covering for other employees.

The Employee Self Service Leave Request form has been updated to prohibit users from entering a start date that precedes their job's start date. This validation ensures that leave is only requested for valid periods of active employment.

FOCUS-55349- Mobile App: Grades View Alignment Improvement

Improves how grades are displayed in the mobile app when course information includes long combinations of period, rotation day, section, teacher, and grade values. The layout has been adjusted to ensure grades display fully and are no longer truncated in the interface.

FOCUS-55325- Set Next School Job Doesn't Prefer Zoned School Based on Gradelevel Sort Order Consistently

This branch updates the Set Next School scheduled job logic used during rollover. Previously, when a student's address zoned to multiple schools and the current school also qualified for the student's next grade, the job prioritized the current school, even if another zoned school had a lower (higher priority) grade-level sort order.

With this change, the job now selects the zoned school with the lowest numerical grade-level sort order when multiple schools qualify for the student's next grade. The student's current school is only selected if there is a tie in sort order.

FOCUS-55318- Grade Levels: Removes Save Button for View Only Permissions

Updates the Grade Levels screen so the Save button is no longer displayed for users whose profiles only have view permissions.

FOCUS-55302- Grad Req. Report: Biliteracy Seal Remove 'Or Higher' from Score (FL)

Updates the Florida Graduation Requirements Report so that nationally recognized foreign language assessment scores displayed in the Biliteracy Seal section no longer include the text "Or Higher."

FOCUS-55297- Graduation Req. Report: Biliteracy Seal Level I-1 Incorrectly Silver for ACTFL (FL)

Updates the Florida Graduation Requirements Report to correctly evaluate ACTFL Latin Interpretive Reading Assessment (LIRA) scores for the Biliteracy Seal. Previously, an I-1 score could incorrectly qualify a student for the Silver level. The report now applies the proper minimum score logic so that I-1 no longer meets the requirement, ensuring accurate determination of Biliteracy Seal eligibility.

FOCUS-55290- Graduation Req. Report: Recognize Course History Credits for Scholar without course_period_id (FL)

Resolves an issue in the Florida Graduation Requirements Report where completed courses stored in Course History were not being considered for Scholar Designation requirements.

FOCUS-55283- Courses & Sections: Fixes Course Length Not Copying from Course Catalog

Resolves an issue where the Course Length value defined in the Course Catalog was not consistently carried over when adding courses in Courses & Sections. Course Length now copies correctly from the Course Catalog and displays consistently across scheduling screens, including the Master Schedule Report.

FOCUS-55264- Community App: Changes Completed Forms to List by Completed Date Descending

Updates the Community Mobile App so completed forms are now listed in descending order by completion date. This ensures the most recently completed forms appear first, providing a more intuitive and consistent experience when reviewing submitted forms.

FOCUS-55263- Unsubmitted Applications Remain Visible After Applicant Enrollment Changes

Updates Online Enrollments so that unsubmitted applications remain visible even if the student's Applicants school enrollment has been dropped.

FOCUS-55259- Student Summary: Resolve SSRS Report Card Display

Improves support for published SSRS report cards within Student Summary. Report links under the Summary and student Portal Block Reports tab now respect permissions and display correctly.

FOCUS-55258- Advanced Reports: Prefer Graded Sections for Period X Gradebook Grade Fields

Improves Advanced Reports logic for Period X Gradebook Grade fields when students are scheduled into multiple sections during the same period. The report now prioritizes graded sections when determining which section's gradebook value to display.

FOCUS-55253- Exclude Communication and Print Letters from Contact Highlighting Feature

Removes highlight formatting from Address Contact Fields when those fields are used in Communication messages or Print Letters/Send Email outputs. Contact highlight indicators continue to display in Student Info, Student Summary, and Advanced Reports, while communication and printed outputs now render contact information without the highlight styling.

FOCUS-55245- Gradebook Reports: Adds Back Exporting Functionality to 'Missing Grades'

Restores the export functionality on the Gradebook Reports "Missing Grades" report.

FOCUS-55240- Student Fields: Resolve Restricted View Setting Not Respected

Improves security for fields configured with Restricted view and edit permissions. Users with restricted access now only see records they created, preventing visibility into entries created by other users while still allowing them to create new records and view their own entries as intended.

FOCUS-55230- Attendance Minutes Rounding for Kiosk Check-In/Out

Improves the way attendance minutes are calculated when students check in or out during a period. The system now rounds kiosk timestamps to the nearest minute before calculating Minutes Present and Minutes Absent, preventing the check-in or check-out minute from being counted twice. This results in more accurate attendance minute calculations for districts using minute-based attendance.

FOCUS-55228- Create Duplicate Button on Application Editor

Updates the Application Editor by renaming the "Copy Layout" button to "Duplicate Form" to better reflect its functionality. Additional safeguards have been added to prevent users from saving blank forms or duplicating forms without a title, with warning messages displayed when required information is missing.

FOCUS-55224- Expired Forms Remain Visible in Online Enrollments

Updates the scheduled job Update Expired Forms to ensure submitted forms and applications that expire before being processed remain visible in Students > Online Enrollments. Expired records are no longer removed from the Unprocessed Applications or Unprocessed Forms queues, allowing administrators to review and process submissions even after the configured end date has passed.

Improves the calculation and rounding of Units displayed on the Student Requests screen when marking periods are not defined.

FOCUS-55198- Staff Fields Stability in Communication and Print Letters

Resolved an issue where certain staff-related fields could trigger errors when used in areas such as Communication and Print Letters. The update prevents these fields from attempting to reference school year values tied to user enrollment data, ensuring messages and templates that include staff fields process and send correctly.

This branch implements an improvement to the initial load time of the School Choice Report.

FOCUS-55188- Courses & Sections: Resolves Add Course Not Carrying Credits Over from Course Catalog

Resolved an issue where Credits per Course History Term defined in the Course Catalog were not correctly carried over when adding a course through Courses & Sections. The system now accurately copies the credit value from the Course Catalog, ensuring course setup remains consistent between the catalog and newly created courses.

FOCUS-55186- Mass Add Log Records School Year Import Matching

Improved the Mass Add Log Records import process so School Year values can be recognized using the option label, value, or code rather than requiring an exact option code match. This update prevents valid School Year values from defaulting to the first available year during import and improves accuracy when importing log records that include School Year data.

FOCUS-55184- USPS Address: Store Validation, Validation Report and Scheduled Job Enhancements

Enhanced USPS address validation by storing validation results to prevent repeated checks and adding a USPS indicator on address cards to show when an address has been validated. A new USPS Address Report provides visibility into validated, invalid, and unprocessed addresses, and a USPS Batch Validation scheduled job allows districts to validate addresses in controlled batches through the API to help avoid rate limits.

FOCUS-55169- New Online Enrollment Processing Respects Application School Year

Improved the processing logic for New Online Enrollment applications so that Unprocessed Applications and related portal alerts only appear in the school year specified on the application. Applications are now queued for processing in the correct school year, ensuring administrators review and process requests in the appropriate enrollment cycle.

The Relationship field in Addresses & Contacts is now clearly identified as required by displaying a red asterisk next to the label for Parents in the Parent Portal or New Online Application.

Improves transcript credit calculations by ensuring credits are only calculated from marking periods flagged for Course History. This update prevents quarter or non-course-history marking periods from affecting totals, ensuring credits attempted, earned, and cumulative credits match the student's official course history record when generating transcripts.

Resolves an issue in Legacy Online Applications where translated dropdown values containing special characters were incorrectly encoded, causing conditional show/hide rules to fail.

Updates the printed version of the Student Summary to display key student details from the header section, including photo, student name, student ID, local ID, and grade level. The print layout has also been simplified by removing the category navigation tabs, ensuring the output focuses only on the student's summary information for a cleaner and more readable printout.

Resolves an issue where students checking in during the first minute of the first period could appear to have duplicated attendance minutes.

FOCUS-55061- Graduation Req. Report Prioritizes Completed Courses Over Scheduled Courses

Improves the Graduation Requirements evaluation logic to ensure completed course history is prioritized over currently scheduled courses when determining subject area credit fulfillment. This update resolves cases where earned credits were incorrectly attributed to other requirement areas, ensuring graduation requirement calculations accurately reflect completed coursework.

FOCUS-55055- Scheduled Jobs: Job Removing Minutes for Student Period (MO)

Improves the Calculate Attendance Minutes from Check In/Out scheduled job to prevent valid attendance minutes from being unintentionally cleared during recalculation. The update adds an additional safeguard so that minutes are only cleared when they will be properly recalculated, ensuring attendance minutes remain accurate for periods associated with dropped courses and preventing discrepancies between manual recalculation and nightly scheduled processing.

FOCUS-55054- Communication: Workflow Trigger Message Issue When a Template is Marked to Send as School

Communication templates configured with the Send as School option now function correctly when triggered from other areas of the system. Messages generated from templates through features such as Workflow Triggers will properly send using the school as the sender when this option is enabled.

FOCUS-55018- Student Groups Failing Course Count Improvement

Improves the accuracy of the "# of Failing Courses" value displayed on Students > Student Groups > View Students. If the selected marking period has not yet ended and no final grade has been posted, the system now evaluates the current Gradebook average to determine whether a course should count as failing.

FOCUS-55014- Communication: Add Title Tooltip to Lists

Improves usability in the Communication module by adding tooltips to message titles when displayed in the list bar view. Hovering over a title now displays the full message title in a tooltip, making it easier to view longer titles that may be truncated.

FOCUS-55004- Referral Action End Date Preserved Across Calendar Years

Improves the handling of referral actions that span multiple attendance calendar years. The End Date on the Action Log is now retained when the action extends beyond the current calendar year, and the Length of Action is correctly governed by the configured minimum and maximum values for the selected action code.

FOCUS-54880- Add A Student Enrollment Now Prompts Applicant Withdrawal Across School Years

Improves the Add a Student enrollment process to ensure the Withdraw from Applicant School option appears when enrolling a student who is currently enrolled in an applicant school, even when the selected school year differs from the student's enrollment school year. This update prevents situations where students could inadvertently be enrolled in two schools simultaneously by ensuring the withdrawal prompt is consistently displayed during enrollment.

FOCUS-54859- Standard Grades Report Cards Print Long Load Time

Enhanced processing for standards-based report cards significantly improves print and PDF generation times for schools with a large number of standards.

FOCUS-54848- Ohio Grad Requirements: Add Alternate Competency Support

Enhances the Graduation Requirements Report for Ohio districts by supporting alternate competency pathways. Students with valid entries in the GQ Student Program Record logging field will now automatically satisfy competency requirements when specific program codes are present. Program code 520205 satisfies the English Language Arts II competency, while program code 520210 satisfies the Algebra I or Integrated Math I competency.

FOCUS-54643- Hall Pass Visible on Parent Portal

This update enhances the Hall Pass module by giving districts greater control over parent visibility of hall pass destinations. A new checkbox, "Visible on Parent Portal," has been added to Setup > Hall Pass Setup > Location Categories, allowing schools to determine whether passes associated with a specific location category appear in the Parent Portal.

The checkbox is enabled by default for all existing and newly created location categories to preserve the current behavior. When unchecked, hall passes created under that category will no longer display in the Parent Portal, while remaining fully visible to students, teachers, and administrators based on profile permissions. Passes also continue to appear in all internal Hall Pass reports and analytics.

This enhancement provides districts with the flexibility to protect sensitive destinations, such as counselor visits, while maintaining internal accountability and reporting.

FOCUS-54598- Implement Restricted Edit for Mass Update Log Records

Updates Mass Add Log Records to respect logging field permissions during Mass Update actions. When Restricted Edit permissions are applied, users can only update log entries they originally created. The system now displays warning messages to inform users when their permissions prevent editing records created by other users, ensuring updates align with existing access controls.

FOCUS-54589- Add CC Validation to Emailing Report Cards & Progress Reports & Print Letters

Improves email validation when sending Report Cards, Progress Reports, and Print Letters. The CC field is now validated for proper email formatting before messages are sent. If an invalid address is entered, the system displays an error and prevents the email from being sent, ensuring successful delivery when valid email addresses are provided.

FOCUS-54524- Student Schedule: Resolves Lunches Not Appearing on Student Schedule

Student schedules now correctly display lunch periods when using numerical rotation day labels. Previously, lunches were not printing properly for schools with number-based rotation setups.

FOCUS-54465- Transcript Test History Achievement Level Descriptors

Transcripts that include Test History now display Achievement Level descriptors alongside standardized test scores when available. This update improves clarity by showing both the numeric score and its corresponding performance level, making transcript test results easier to interpret.

FOCUS-53557- Workflow Trigger Portal Alerts Persist After Login

Updates the timing logic for portal alerts generated by Student Workflow Triggers. These alerts are now calculated based on activity since the user's previous login rather than the current login, ensuring alerts generated earlier in the day remain visible after logging in and providing users additional time to review and act on them.

FOCUS-52794- System Preferences: New Preferences for Add a Student & Apply Validations

This update adds new system preferences that enforce consistent validation when adding students across Add a Student, parent authentication (/auth), and online applications (/apply). New preferences include "Maximum length for student first name," "Maximum length for student middle name," "Maximum length for student last name," "Restrict name fields to English alphabet characters, apostrophes, and hyphens," "Maximum Age for Add a Student," and "Minimum Age for Add a Student." These validations apply to the initial student entry step and work alongside existing custom field validations to help districts maintain cleaner and more accurate student data.

FOCUS-50676- Referrals Search Widget: Add Date Inputs

Improves Advanced Reports discipline filters by allowing users to search for students with zero referrals or minor infractions within a specified timeframe. The date range now automatically defaults to the start and end of the current school year, reducing manual entry and making it easier to identify students with no disciplinary records during the selected period.

FOCUS-49729- Communication: Support Attachments in Email Replies & Resolve Message Content

Enhances the Communication platform to support attachments in email replies. When recipients reply to system messages with attached files, the attachments are now processed and included in the corresponding message within Focus.

FOCUS-48691- Choice: Run Lottery Filtering & Interface Improvements

Enhances the Run Lottery screen in the School Choice module with a redesigned interface and new filtering options that allow districts to run more targeted lottery executions. The three separate lottery buttons have been consolidated into a single Run Lottery action with a required App Type selection (SPA, Choice, or Magnet), and program selection now dynamically filters based on the selected application type.

Additional optional filters allow lotteries to be limited by Priority ranking, Projected Grade level, Choice number, and Percentage of Remaining Seats. These filters provide districts with greater control over which applications are included in a lottery run while maintaining the original behavior when no filters are selected. Programs may be run individually or collectively based on selection, and capacity limits can be applied proportionally by grade level using the percentage option.

Updates SSS progress monitoring permissions so users with the profile permission "Post Progress Monitoring outside the Grade Posting Window" can continue updating the current progress period even when posting windows are locked. Future progress periods remain read-only until their posting window opens, ensuring proper control over when progress monitoring entries can be edited.

FOCUS-55167- SSS: Accommodations Column Misalignment in Print and Edit Views

Improved the layout of the Accommodations/Modifications step within SSS IEP events. Column headers across all accommodation tabs are now properly aligned with their associated data when viewing locked events and when printing, ensuring consistent and easier-to-read presentation of accommodation details.

FOCUS-53708- SSS: Auto-Generated Caseload with Transfer Updates and Teacher of Record Field Customization Request

This update enhances Caseload and Services by automatically adding or removing students from a teacher's caseload based on their active schedule assignments when the Auto-Generate Caseload setting is enabled. Students are now dynamically associated with the appropriate teachers of record as schedules, enrollments, or sections change, reducing manual caseload management. The process is handled through a scheduled job, supports clear add/drop alerts for teachers, and optionally displays the Teacher of Record column for improved visibility and oversight.

FOCUS-53324- Setup | Add Ability to Rollover 1098-T Settings

Adds a new Rollover 1098-T Settings button under ERP > Setup > Settings > 1098-T. This feature allows administrators to quickly copy configuration settings from the prior year into the new year.

FOCUS-50149- IPEDS Add Outside Overage Checks Amounts to Other Payment Amounts

Updates the Financial Aid tab of the IPEDS report so that Outside Overage Checks are included in the student count and total aid awarded calculations for Group 1 and Group 2. These amounts are now incorporated into Section 1: Part B and Section 1: Part C totals while preserving the existing calculation logic, ensuring the report accurately reflects all award amounts provided to students.
