FOCUS-59307 - ERP | Delegate Permissions

ERP | New Scoped Permissions for Approval Flow Substitute Management

Three new profile permissions are now available under ERP > Setup > Profiles to give administrators more granular control over who can manage approval flow substitutes -- without requiring full approval flow edit access.

  • My Substitutes - Allows users to view their own approval flow substitute records from the Setup menu. Users with this permission can see their substitutes but cannot make changes.
  • Manage My Own Substitutes - Allows users to create, update, or delete their own substitute records without needing access to the full approval flow configuration.
  • Manage Substitutes For Others - Allows users to manage substitute records for any staff member.

Additional Actions Available via My Substitutes:

Users can also be configured as delegates for the following workflows directly from the My Substitutes page:

  • P-Card Processing (requires the user to be named as a P-Card Processor on the applicable bank account)
  • Budget Maintenance submit a budget revision or duplicate a previous request.

FOCUS-59722- Purchasing/Accounts Payable | Setting to Include the Line Number in the PO Printout

ERP > Purchasing/Accounts Payable > Purchase Request/Orders -- Optional Line Numbers on Printed POs

A new optional setting has been added that allows line numbers to be displayed on printed Purchase Orders, making it easier for finance users to reference and communicate specific line items.

  • New setting: Include Line # on Printed POs - Available under Finance > Setup > Settings > Accounts Payable, this checkbox is off by default. When enabled, each line item on the printed PO is assigned a sequential number (001, 002, etc.) that matches the line numbering shown on the PO editing screen
  • Automatic column handling - The layout adjusts automatically to accommodate optional columns such as Stock Warehouse and State Tax, ensuring the Total row colspan remains correctly aligned regardless of which columns are active
  • Applies to all print paths - Line numbers appear consistently across both the manual print option and the auto-email-to-vendor PDF output

FOCUS-59605- Setup | Budget Rollover Exclusions

ERP > Setup > Rollover > Budgets -- Excluded Budget Handling During Re-Roll

Budgets tied to projects marked as excluded from rollover are now visible in the Expense Budget Rollover screen. Previously, these budgets were hidden from the rollover table entirely. They now appear with an "Excluded" indicator and distinct muted row styling so finance users can see the full picture at a glance.

Additionally, when a re-roll is performed and excluded budgets are included in the selection, any previously rolled budget data for the target fiscal year is automatically removed rather than retained. This ensures the Expenditure/Revenue Report reflects accurate rolled budget totals and reconciles correctly with the Budget Roll screen -- no more stale data lingering after a re-roll.

  • Excluded budgets now display in the rollover table with an "Excluded" column and grayed-out row styling
  • Re-rolling an excluded budget clears its prior rollover journal entries for the target fiscal year
  • Non-excluded expense, revenue, and internal budgets continue to roll as normal

Accounts Payable | Support Partial Fixed Asset Import Receiving

Fixed asset receiving in Purchasing/Accounts Payable now supports partial quantity imports. When importing fixed assets against a purchase order line item, users can import fewer assets than the total ordered quantity, save the partial receipt, and return later to import the remaining assets.

Previously, any import that didn't exactly match the full ordered quantity would throw a misleading error indicating you could not receive more than was ordered -- even when attempting to import fewer items.

  • Import a partial set of fixed assets against a PO line item and save -- no error will occur
  • The system tracks which assets have already been received and excludes them from subsequent import runs
  • On a follow-up import, only the outstanding (unreceived) assets are eligible -- already-received assets are automatically filtered out
  • Validation is applied only against the remaining quantity still due, not the original total

FOCUS-58796- Warehouse | FuelMaster Import Journal Description and Aggregation

ERP > Warehouse > FuelMaster Import Journal Description and Aggregation

Two new opt-in settings have been added to give districts greater control over how FuelMaster import data is grouped and described when generating manual journal entries. Both settings are district-scoped and default to off, so existing behavior is fully preserved for all other districts.

  • New setting: Include MJ Automatic Description - When enabled, each journal line generated from a FuelMaster import automatically receives a descriptive label (e.g., "Vehicle TRK2542 - 164.0 gallons Unleaded") instead of a blank description, making it easier to identify individual vehicle transactions in the manual journal
  • New setting: Aggregate MJ Rows by Vehicle ID/FuelCard #, Allocation, and Fuel Type - When enabled, import rows are grouped at the vehicle level (by Vehicle ID or FuelCard#, accounting allocation, and fuel type) rather than by accounting strip alone. This ensures that different vehicles sharing the same accounting strip each produce their own separate expense journal line, rather than being merged into a single entry
  • Both settings are managed via new checkboxes on the FuelMaster Import settings tab and are independent of one another -- however, enabling the auto-description setting will also activate vehicle-level grouping, as descriptions are only meaningful at the vehicle level

Purchasing/Accounts Payable | Add Profile Permission to Allow Deleting PunchOut Line Items

A new profile permission -- "Delete Line Items on PunchOut Drafts" -- has been added to ERP > Setup > Profiles under Purchasing/Accounts Payable. This permission gives administrators granular control over which users can delete line items on PunchOut draft requests.

  • When the permission is enabled, a red delete button is displayed on each PunchOut draft line item row, allowing the user to remove individual line items
  • When the permission is disabled, the delete button is hidden -- users cannot delete PunchOut line items regardless of other permissions
  • Deleting a line item on a pending PunchOut PO also requires the separate "Edit Pending POs" permission; the deletion takes effect upon resubmission
  • All non-PunchOut request types (Standard, P-Card, Blanket, Warehouse, Stock Warehouse) are unaffected by this new permission

FOCUS-57061- Setup Accounts Payable | Add PO Type Column to Maximum Invoice Variances

Setup > Accounts Payable - Maximum Invoice Variances: PO Request Type Support

The Maximum Invoice Variances table has been enhanced to support PO Request Type-specific rules, giving districts finer control over which variance thresholds apply to different types of purchase orders. Four new columns have been added to the variance configuration table, with all existing rules automatically migrated to preserve current behavior.

  • New column: PO Request Type - Each variance rule can now target a specific PO Request Type (e.g., Standard, Blanket) or apply to all types (leave blank for "All Types" / wildcard behavior). When a specific type is set, the rule only enforces on invoices tied to a matching PO type
  • New column: District / Internal checkboxes - Each rule can now be scoped to district invoices, internal invoices, or both, giving districts the ability to apply different variance thresholds depending on the accounting context
  • New column: Active checkbox - Rules can be toggled active or inactive without deleting them. Inactive rules are excluded from invoice variance enforcement
  • Duplicate rule prevention - The system now blocks saving a new active rule that would conflict with an existing active rule sharing the same PO Request Type, amount bracket, and overlapping District/Internal coverage. A validation message is displayed and the duplicate is not saved
  • Backward compatibility - All existing variance rules are automatically migrated with District, Internal, and Active checked, so current enforcement behavior is fully preserved after upgrade

FOCUS-57055- Accounts Receivable | Receipt Report Improvements

ERP > Accounts Receivable > Reports > Receipt Report -- Refund Columns & Page Size Enhancements

The AR Receipt Report has been updated with new refund visibility columns and a configurable page size selector on both the General and Detailed report views, giving finance users better insight into refunded transactions directly within the report.

  • New column: Refunded Amount (General Report only) - Displays the total refunded amount aggregated at the receipt level. Only appears when refund data exists for the report results
  • New column: Refunded Date (General Report and Detailed Report) - Displays the refund date associated with each receipt (General Report) or each allocation (Detailed Report). Only appears when refund data exists
  • Page Size selector - Both the General Report and Detailed Report now include a page size dropdown, allowing users to control how many rows are displayed per page. Pagination continues to function correctly after changing the page size
  • Footer totals - The Refunded Amount column includes a Current Page Total and Grand Total in the report footer, consistent with other financial columns. The Refunded Date column footer is intentionally blank
  • Export support - Both new refund columns are included in report exports

Purchasing/Accounts Payable - Add-on Multi Select and Breakdown Options on Fixed Asset POs

Added the ability to assign add-on line items to multiple fixed assets on a purchase request/order, with flexible breakdown options by Quantity, Percentage, or manual Amount entry.

  • Add-on Breakdown Selection - When a line item is marked as an Add-on, a "Select" button appears in the Breakdown column. Clicking it opens a popup listing all fixed-asset line items on the PO, where users can select the assets and choose how to allocate the add-on cost.
  • Quantity Method - Distributes the add-on amount proportionally based on the quantity of each selected fixed asset.
  • Percentage Method - Distributes the add-on amount based on each fixed asset's percentage of the total.
  • Amount Method - Allows manual entry of the add-on amount for each selected fixed asset.
  • Submission Validation - The PO cannot be submitted until all add-on breakdowns are completed (Select button must be green). An error message is displayed if any breakdown is incomplete.
  • Asset Deletion Handling - If a fixed-asset line item is deleted from the PO, the related add-on breakdown resets and must be re-completed.
  • Read-Only After Final Approval - The Select button is disabled once the PO reaches Final Approval status.
  • Migration Support - Existing POs created with the previous single-asset add-on assignment load correctly under the new multi-select model.

FOCUS-50981- Fixed Assets | Request Maintenance Pick Up

Fixed Assets > Manage Assets > Transfer Requests - Pickup Type Support

Transfer Requests now support Pickup Types, giving districts the ability to specify how a fixed asset should be picked up as part of the transfer workflow. This feature is controlled by a new setting and integrates with a dedicated Pickup Types maintenance table.

  • New setting: Use transfer request pickup types - A new toggle has been added under Fixed Assets Settings to enable Pickup Type selection on transfer requests. When disabled, transfer behavior remains unchanged
  • New field: Pickup Type - When "Use transfer request pickup types" is enabled andRequest Pickupis set toYes, a Pickup Type dropdown appears on the transfer request form. Users can select from configured pickup types to indicate the method of asset pickup
  • Conditional display - The Pickup Type field only appears when Request Pickup is selected. If Request Pickup is not chosen, or no Pickup Type is selected, the transfer proceeds as normal with no impact to existing behavior
  • New maintenance table: Pickup Types - Administrators can configure available Pickup Type options under Fixed Assets > Maintenance > Pickup Types

FOCUS-59783- Payroll Checks | Reissue Button Added

On the Payroll > Check Voids and Reallocations page, users can now void and reissue an individual direct deposit check for employees who have multiple direct deposit accounts in a single payroll run, without affecting the other checks in that run. When the "Reissue" button to clicked, a reissue popup allows the user to select a target run and reimbursement code, and the reissued amount is placed into that run as a reimbursement. Both the void and the reissue now generate corresponding journal entries: an ACH Return entry dated to the actual void date, and an Employee Net Reissue entry when the reissue run is posted. Both entries are visible on the Journal Report and the employee's Check History.

FOCUS-59769- HR > Employee Action Form > Change Allocation

The Employee Action Form for Change Allocation now displays both a From Allocation and a To Allocation section. The From Allocation shows the current allocation and is read-only, while the To Allocation field is editable, allowing users to enter the new allocation for submittal. This mirrors the existing behavior of the Change Position action type, which similarly presents From and To fields for comparison and entry.

The Payments (formerly Benefit Payments) and Carrier Payments tabs have been moved from the main employee navigation page and are now accessible under the existing "Benefits" tab (also on the employee page). This consolidates benefit-related information in a single location for easier navigation.

FOCUS-59425- Time & Attendance | Reopen posted time when payroll record is deleted

When a timesheet, overtime, or miscellaneous compensation record tied to a clock-in is deleted from payroll and no other active payroll record of those types still references that clock-in, the clock-in and its associated period are automatically reopened and their posted status is cleared. This allows the timecard to be returned to T&A for corrections and reassigned to Run Payroll once changes are complete. Additionally, once a payroll run has been committed, its records become read-only and can no longer be edited, deleted, or reversed, ensuring that finalized payroll data remains protected.

FOCUS-58630- Time & Attendance | Add data repair to cron job

A new setting, Automatically sync out-of-date data, is available under Time & Attendance Setup. When enabled, the Automatically Generate Time And Attendance Records scheduled job will nightly re-sync Time & Attendance records that have become out of date, such as when pay schedules are updated after records have already been generated. This resolves conditions that previously caused missing pay schedule date errors on the ERP dashboard and in School Department Payroll Entry, failures to load timecard details, and clock-in records being associated with incorrect pay runs. The scheduled job can also be run on demand to correct existing out-of-sync records. If the setting is not enabled, existing behavior is unchanged.

FOCUS-58370- ESS | Add cancel leave auto approval set up option

A new setting in ERP Setup under Employee Self Service allows cancel leave requests to be automatically approved upon submission while still notifying the employee's manager. When this setting is enabled, employees no longer need to wait for manager action to have an approved cancel leave request processed, and their leave balance is restored immediately. The manager continues to receive a notification for awareness even though no approval action is required. When the setting is disabled, cancel leave requests follow the existing workflow and require manual manager approval before taking effect. Standard leave requests are not affected by this setting and continue to require manager approval regardless of how it is configured.

FOCUS-52488- Employment Agreement Maintenance > View/Create Agreements

Employment Agreement Template Enhancements

The Employment Agreement Maintenance module now supports creating agreement templates for employee supplements in addition to wage records. Additional fields are available when building templates, including Certificate Number, Facility, Job Title, Step, Start Date, End Date, Hours Per Day, Contract Days, and Contract Salary for wage record templates, and Step, Start Date, End Date, and Contract Salary for supplement templates. Users can also rename existing templates, make templates inactive, and rename agreements after creation. When creating agreements, users can now select any fiscal year rather than being limited to the current year.

FOCUS-59881- Acceleration Reports: Passed by Industry Certification Logic Improvement

The Acceleration Report now correctly identifies students who passed a course by Industry Certification. Previously, some students who received an Industry Certification, as reflected in Final Grades, GPA, and Class Rank, were not marked in the Passed by Cert column of the report. The column now accurately reflects those students' certification status.

FOCUS-59879- Assessment Studio - Add tags to questions

Users can now add tags to questions in Assessment Studio. When creating or editing a question, a Tags field is available between the Depth of Knowledge and Banks fields, allowing staff to apply tags directly to individual questions. Questions can then be filtered and searched by tag from the Questions screen.

FOCUS-59873- Export: Effective Date Uses Syear Start Date First

In Advanced Report and Print ID Badges, the Schedule Effective Date now defaults to the first day of the school year when that date is in the future, rather than defaulting to today's date. If the first day of school has already passed, the effective date continues to default to today. This change ensures that course and section fields such as Period Teacher and Room correctly reflect scheduled assignments when running reports or printing ID badges before the school year begins.

FOCUS-59789- Student Schedule: Adds Clear Button to Insert Row

In the New Student Schedule, a clear button now appears in the add-row at the bottom of the schedule grid for users with edit access. Clicking this button removes any unsaved entries from the add-row and resets it to its default state, allowing scheduling staff to start a new course section search without manually clearing each populated field. Any unsaved changes made to existing schedule rows are preserved, and the save button remains active if other pending changes are present.

FOCUS-59720- Ed-Fi: TN add Student language descriptors from native_language field

The Ed-Fi Descriptor Maps for Language fields now correctly pull language descriptor values from the native language field, ensuring the language mapping is populated as expected.

FOCUS-59711- School Choice: Add Start Date Column to Magnet/Special Assignment

Enhances the School Choice section of the Magnet/ Special Assignment screen by adding a read-only Start Date column.

The Start Date records when a School Choice application status was originally created and remains unchanged throughout the lifecycle of the application. Displayed alongside the existing Status Date, this provides administrators with a clear distinction between when a status was first assigned and when it was last updated.

FOCUS-59584- Community Mobile App Login Page Links

Improves navigation for custom links on the Community Mobile App login page.

Links configured to open in a new window, such as account registration, password recovery, language-specific registration, and app download links, now open their intended destinations correctly in the Community Mobile App. This resolves an issue that could redirect users through the district's single sign-on process when Login Redirect was enabled for SSO profiles, while preserving existing behavior in standard desktop browsers.

FOCUS-59573- Graduation Requirements Report: Double Blocked Courses Displaying Incorrectly

The Graduation Requirements Report now correctly displays and counts double-blocked courses as 1.00 credit. Previously, students enrolled in double-blocked courses were shown 0.50 credits for those courses, which affected credit totals on the report. The active enrollment hourglass indicator also now appears correctly for double-blocked courses.

FOCUS-59572- Add Profiles on Validation Edit Rules & Add Criteria for File Uploads

The Profiles column is now available on the Validation tab within Edit Rules and Workflow, allowing validation rules to be configured for specific profiles, including the Parent profile.

FOCUS-59565- Assessment Report: Filter Teachers by Relevant Course Enhancement through Standardized Tests

Enhances Assessments > Standardized Tests by adding Teacher Courses and Teacher Graduation Subjects configuration options to each Test Part. These settings are used by Assessment Reports and the Florida FAST Report to determine the teacher associated with each assessment.

Administrators can configure one or more courses and/or graduation subjects for each Test Part. When either option is configured, Teacher Breakdown, student-level Assessment Reports, and the Florida FAST Report identify teachers based only on the selected courses or graduation subjects, rather than all teachers associated with students who took the assessment. When multiple qualifying teachers exist, the most recent teacher is displayed, with previous teachers available through the existing hover indicator. If neither option is configured, the existing teacher assignment logic remains unchanged, preserving current behavior.

FOCUS-59465- Assessment Studio - assessment scores not populating in gradebook

When students complete an assessment in Assessment Studio that has been imported into a gradebook assignment, their scores now automatically populate in the gradebook upon submission.

FOCUS-59452- Communication: New "Show Staff Photos" Permission for Students

A new "Show Staff Photos" permission is now available for student profiles. When disabled, students will not see staff photos, such as those displayed in messages from teachers. Users without this restriction, including administrators, continue to see staff photos as before.

FOCUS-59410- API: Add Section Number to Section Title in Courses End Point (OneRoster)

The OneRoster courses endpoint now includes the section number in the section title. The title format is Course Title, Period Short Name, Room, and Section Short Name. This update ensures that third-party integrations receiving course data through OneRoster display the section number alongside other identifying details, making it easier to distinguish between sections.

FOCUS-59276- Fields: Historical Enrollment Select Options

Enhances Student Enrollment custom select fields by preserving historical values that are no longer available for new records.

When a select option has become inactive or has exceeded its configured Max School Year, existing enrollment records continue to display the historical value as read-only while preventing it from being selected for new enrollments. Enrollment validation also now evaluates options based on the enrollment's school year, ensuring only valid options can be saved for each enrollment record.

FOCUS-59087- Lunch Rules: sort teacher dropdown alphabetically by last name

The teacher selection dropdown on the Scheduling > Lunches > Lunch Rules page now sorts alphabetically by last name, consistent with other teacher lists throughout Focus. The sort is also case-insensitive, so names with different capitalizations appear together in the correct alphabetical position.

FOCUS-59040- Fields: New Optional Custom Field Alias Updates

Enhances Custom Fields by adding a confirmation step when changing the alias of a newly created custom field that still uses its default database column name.

When editing the alias for these fields, users are prompted to choose whether to update only the display alias or to also rename the underlying database column. Selecting the new Also change the column name option updates both the alias and the physical database column, helping districts maintain meaningful field names while preserving the existing option to change only the alias when desired.

FOCUS-58955- Safety Management: New Teacher Enhancements

The Safety Management module includes several new capabilities for teachers during active safety events. Two new profile permissions, Account for Staff Members and Filter by Teacher, control access to the features described below.

Teachers with the Account for Staff Members permission can use a new button on the Check-In Status tab to account for other staff at their school, updating staff status, location, triage level, and notes. Teachers with the Filter by Teacher permission gain access to a dropdown on the Student Check-In Status tab to view and manage another teacher's student roster.

A new Add to Roster button on the Student Check-In Status tab lets teachers pull students from another teacher's class by period into their own custom roster, which is useful when a teacher takes responsibility for students from a nearby room during an event. The Custom Roster popup now includes a Location dropdown sourced from Safe Locations, defaulting to the current user's assigned location and reflected in reporting. A student-count confirmation step has also been added before marking a custom roster, consistent with the existing mark-all-accounted-for flow. Additionally, absent students now remain in their original position in the roster rather than moving to the bottom of the list.

FOCUS-56806- Discipline Referrals: Adds Print Template Option in Referral

Printing for Discipline Referrals has been streamlined into a single Print menu. Staff can now choose to print the current screen, generate a form or letter, or, if they have access to the Referral Log, generate output using the Referral Log's saved print settings. Parent and student printing options remain unchanged.

FOCUS-45820- Transcripts: "Year and Course Descending" Sort Option

Transcripts now include a "Year and Course Descending" sort option, allowing coursework to be displayed with the most recent school year listed first. The existing "Year and Course" ascending sort remains available, and all other grouping options are unchanged.

FOCUS-59428- Processed Application Guided Address Editing

Enhances New Online Applications by allowing administrators to update Guided Address information on processed applications.

When viewing a processed application, authorized users can edit Guided Address fields and save their changes. A notification reminds administrators that the application has already been processed, while updates are applied to both the application and the student's record without changing the application's processed status. Parents continue to be unable to modify processed applications.

FOCUS-59132- New Apps: Guided Address School Year Support

Enhances the Guided Address block in New Online Applications by using the selected Application School Year when validating addresses and determining school zoning.

When the Use Address Catalog for Validation system preference is enabled, address suggestions and zoned school assignments are now based on the school year selected for the application. This ensures applicants see the correct addresses and school assignments for future school years during the enrollment process.

FOCUS-58674- Online Enrollment: Automatic Sibling Linking Improvements

Enhances New Online Applications by improving the automatic linking of siblings when new students are enrolled by an existing parent.

When the Automatically Link Students Created by Parent Profiles system preference is configured, newly enrolled students are now correctly linked to the parent's existing students after enrollment. The update also prevents duplicate sibling relationships from being created, ensuring existing sibling links are reused when appropriate. Existing behavior is unchanged for parents whose profiles are not included in the system preference.

FOCUS-59482- SSS Collaborative Editing & Manual Save (Custom Screens)

Enhances SSS Custom Screen collaboration by replacing automatic saving with an explicit Save & Validate workflow while preserving multi-user editing.

Users can continue working on the same SSS event step simultaneously, with real-time indicators showing which fields are being edited by other users. Changes are committed only when Save & Validate is selected, helping prevent accidental updates while preserving each user's unsaved work. If another user saves while edits are in progress, notifications inform users when the latest changes will become available, and rule-related fields are temporarily locked as needed to prevent editing conflicts.

FOCUS-59017- SSS: Mass Image Batches - Add Resume Button for Stuck Mass Image Batches

The View Mass Print/Image Batches page now includes a Resume button for mass image batches that are incomplete and no longer actively processing. Clicking Resume resets any unfinished items back to the queue and restarts the imaging process, allowing batches that previously stalled mid-run to complete without requiring a new batch to be created.

FOCUS-54940- Add All Events tab and sss_event_instance.title

The Student Support Services module now includes an All Events tab, which displays active, locked, and inactive events together in a single view. A new Duplicate Event permission is also available, allowing users with the appropriate access to duplicate existing events. Additional configuration settings have been added for the PMP screen. This release also restores the Disable Watermark option in the print dialog, which was not appearing for users with the required permission in version 12.0.143.

FOCUS-59594- Improvements to New Schedule for Post Secondary Schools

Enhances the Student Schedule experience for Florida Postsecondary schools by improving how section information is populated and displayed.

When a section is added to a student's schedule, section-specific values are now populated automatically, reducing manual updates and improving data consistency. The schedule interface has also been updated to display additional section information, including WDIS dates and postsecondary course times where applicable, while streamlining WDIS-specific fields so they are editable only when appropriate. In addition, Estimated Program Completion Dates are now calculated more accurately for students who enroll in program courses over time rather than scheduling all courses at once.
