FOCUS-59936- Warehouse | Add Option to Define Date for Inventory Adjustments

Warehouse: Inventory Adjustments Now Support Fiscal Year and Journal Date

Warehouse teams can now accurately post inventory adjustments to the correct accounting period, even when the adjustment needs to reflect a date other than today -- supporting proper fiscal year-end and period close processes.

  • A Fiscal Year selector is now available on the Inventory Adjustments page, allowing users to select the applicable fiscal year when creating or managing adjustments.
  • A Journal Date field is now available when submitting an adjustment. The selected Journal Date is used for the related GL/accounting transaction, replacing the prior behavior of always defaulting to the current date.
  • Journal Dates are validated to fall within the selected Fiscal Year and within an open fiscal period -- invalid dates are rejected at save time.
  • The Adjustment History tab can now be filtered by Fiscal Year, including an "All" option to view adjustments across all years.
  • A new profile permission controls whether a user can modify the Journal Date or select a prior Fiscal Year. Without this permission, the date and fiscal year default automatically and are not editable.
  • Completed adjustments are immutable -- the Fiscal Year and Journal Date cannot be changed after an adjustment is finalized.

See Warehouse > Inventory Adjustments for more information.

FOCUS-59094- Setup | New Profile Permission for Internal Accounts

Internal Accounts -- Granular Permission Controls & Manager-Only Import

This update introduces fine-grained permission controls for the Internal Accounts module, giving districts the ability to limit what users can see and edit at the column level. A new "Edit Manager" permission role has also been added to support scoped account management.

Two new profile permissions are available:

  • ia::edit_account_configuration - Grants full editing access to Internal Accounts configuration fields.
  • ia::edit_manager - Allows a user to manage account assignments (Manager column only) without the ability to modify underlying account configuration.

Users assigned only the Edit Manager permission can:

  • View the full Internal Accounts grid
  • Edit the Manager column
  • Modify any other account configuration fields

Users with the Edit Manager permission can now use the Import tool to update manager assignments in bulk. The system will:

  • Automatically reject any rows that attempt to modify restricted configuration fields
  • Generate a detailed skipped-rows report for any records that fail validation
  • Provide a CSV download link of skipped records for easy review and correction

See Setup > Profiles > Permissions Explained > Menu > Admin > Setup and Setup > Internal Accounts for more information.

FOCUS-60384- Setup | Bank Reconciliation Improvement

Bank Reconciliation--Configurable P-Card Check Filtering

A new Finance Miscellaneous setting, "Filter out P-Card checks from bank reconciliation," gives administrators control over whether checks linked to P-Card transactions are excluded from Bank Reconciliation.

When enabled (default for existing installations), checks associated with P-Card transaction batches are filtered out of:

  • The Outstanding Debits list
  • The Cleared Debits list
  • Related Bank Reconciliation summary totals

This preserves the previous system behavior--no action is needed to maintain your current workflow.

When disabled, P-Card repayment checks will appear in the debit lists and be reflected in Bank Reconciliation totals, giving districts that process P-Card repayments through their bank account full visibility of those transactions during reconciliation.

See Setup > Settings > Miscellaneous > Bank Reconciliation for more information.

FOCUS-58399- Profiles | Add "Unlink PCard Request" Sub-Permission

New "Unlink PCard Request" Permission for  PO P-Card Requests

A new Unlink PCard Request permission has been added for Internal Purchase Requests/Orders.

  • A dedicated Unlink PCard Request permission is now available under Purchasing/AP profile permissions for both regular POs and Internal POs.
  • When the permission is enabled, users see the Unlink button on linked P-Card Requests.
  • When the permission is disabled, the Unlink button is hidden and the action is blocked.

Profiles that previously had Edit Approved POs enabled will automatically receive the new Unlink PCard Request permission--no manual setup is required.

See Setup > Profiles > Permissions Explained > Menu > Admin > Purchasing/Accounts Payable, Purchase Request/Orders  > Creating a Purchase Request/Order > The General Section, and Internal Purchase Request/Orders  > Creating a Purchase Request/Order > The General Section.

FOCUS-60268- ESS > Cancel Leave | Prevent duplicate cancel request for the Same day

In the Employee Self Service module, the Cancel Leave request screen now prevents duplicate cancellation requests from being submitted for the same leave day. When a cancellation request is already pending for a leave date, the system displays a validation message and excludes that leave entry from the available selections, ensuring only eligible leave dates are presented for cancellation.

FOCUS-60157- HR | Employee Agreements Profile Criteria

The Employee Agreement Maintenance screen now includes a multi-select Profile dropdown on the View/Create Agreements tab. When creating an agreement, administrators can select one or more profiles to target, and the agreement will be distributed only to employees who match the selected profiles. If no profiles are selected, existing behavior is unchanged and agreements continue to distribute based on previously configured criteria.

See HR > Employee Agreement Maintenance > View/Create Agreements for more information.

FOCUS-59899- T&A | Add "updated by" / "updated at" columns to record auditing

The Time and Attendance Approval screen now includes a Last Updated column in both the Timekeepers Report and Approval History tabs, making it easier to identify when records were modified and who created them for auditing purposes.

See Time & Attendance Approval > Reviewing Timecard Requests (Approvals), Timekeeper Report, and Approval History for more information.

FOCUS-59366- Applicant Tracking | New "Show All" Setting in Job Posting Setup

Applicant Tracking: New "Show All" Setting in Job Posting Setup

Applicant Tracking now includes a new setting in Job Posting Setup under the Miscellaneous tab that controls the behavior of the "Show All" option on the Applicants tab.

  • Status mode - When the setting is configured to Status, users can toggle "Show All" to include or exclude applicants with denied or filled statuses.
  • Finalize mode - When configured to Finalize, the "Show All" option is available to users who have the Finalize permission and filters applicants accordingly.
  • Blank (default) - If the setting is left blank, the "Show All" checkbox does not appear.

Additionally, the Status column on the Postings tab now displays Pending and Denied values, consistent with the Approval Status column -- ensuring uniform status visibility across Applicant Tracking.

See HR > Job Posting Setup > Miscellaneous and HR > Applicant Tracking > Review Postings and Applicants for more information.

FOCUS-59284- Travel Reimbursement | Add cancel button

A Cancel button is now available on the Approval History tab in Employee Self Service for Travel Reimbursements with an Approved status. Selecting Cancel returns the reimbursement to the employee's Drafts, allowing the employee to make corrections and resubmit. If the associated invoice has already been paid, the cancellation is blocked and an informational message is displayed. This Cancel button applies to Travel Reimbursements only and does not appear for other ESS request types.

See ESS > Employee Requests > Pending Approval & Approval History and HR > View ESS > Employee Requests > Request Employee Information Change for more information.

FOCUS-59971- HR | Leave Maintenance > Manual Leave > Execute Leave change default behavior

On the HR > Leave Maintenance > Manual Leave > Execute Leave page, unposted leave records no longer appear pre-selected when the page loads. Additionally, the Select All option now selects only the records currently displayed based on active filters, rather than all unposted records regardless of filter state.

See HR > Leave Maintenance > Leave Maintenance: Manual Leave > Executive Leave for more information.

FOCUS-58352- HR>W4 Information | W-4 Non-Resident Alien

Payroll now supports federal income tax withholding for employees designated as Non-Resident Aliens (NRA) on their W-4 form (Box 4c). When an employee's W-4 information is marked with Non-Resident Alien withholding status, the system automatically applies the applicable IRS Publication 15-T wage adjustment amount before calculating federal income tax withholding, in accordance with IRS requirements. The NRA wage addition amount can be configured by pay frequency under Payroll Maintenance. Employees without NRA status are unaffected, and their federal withholding calculations remain unchanged.

See Maintenance By Calendar Year > Non-Resident Alien Withholding for more information.

FOCUS-60129- Pay Stubs | Identify Pre/Post Tax Deductions

ESS Pay Stubs: Pre-Tax vs. Post-Tax Deduction Flags

Pay stubs viewed in Employee Self Service now clearly indicate how deductions affect taxable income. Four new columns--Reduces Federal Withholding, Reduces Social Security, Reduces Medicare, and Reduces Retirement--display a clear "Yes" or "No" next to each deduction line item. This gives employees instant transparency into their pre-tax and post-tax benefits on both current and year-to-date statements.

See ESS > View Pay History, HR > View ESS > View Paystubs and Pay History, and View Pay History (Teachers) for more information.

Expand or collapse content SIS

FOCUS-60585- Assessment Studio - Answer Key and IDs

The Assessment Studio Answer Key printout now supports an optional Item ID column. When printing an Answer Key, users can select the Item ID option to include each question's unique identifier alongside the question number, text, answer, and other existing fields. This column appears in both PDF and Word export formats under Batch Print. The Item ID option is available only when Answer Key is included in the print output.

FOCUS-60470- Take Attendance > Active Schedule Query Optimization

Improves the performance of the Take Attendance page when loading hall pass status for students. Pages with large rosters now load more quickly, and hall pass indicators -- including active, upcoming, and recently ended passes -- display accurately without delays or errors.

FOCUS-60354- Attendance > Teacher Completion: Paginates on 1000 Records

The Teacher Completion page now displays up to 1,000 teachers per page, reducing the need to navigate across multiple pages when viewing staff attendance completion records.

FOCUS-60345- Guided Address - middle school zoning

When a student's grade level is available at more than one zoned school, the application enrollment process now correctly identifies and assigns the highest-level school as the zoned school. For example, a sixth-grade student whose address is zoned for both an elementary school and a middle school will be directed to the middle school rather than the elementary school.

FOCUS-60341- Add Grade Level column to Parent Absence Requests admin view

The Parent Absence Requests grid now includes a Grade Level column positioned after the Action column. Staff can sort and filter requests by grade level directly within the table, making it easier to manage absence reviews when attendance responsibilities are divided by grade.

See Parent Absence Request for more information.

FOCUS-60311- Communication: Processing Message When Sending Large Message

When sending a message to more than 5,000 recipients, the system now provides feedback if processing takes more than 20 seconds. A popup notifies the user that the message is being processed for delivery in the background, allowing them to close the window and continue working in other areas of Focus while the send completes. Results can be reviewed in the Communication report once processing finishes. If the message processes in under 20 seconds, behavior is unchanged.

FOCUS-60290- Nightly Immunization Import Job: Includes Future Enrolled Students

The Nightly Immunization Import Job now includes students whose enrollment start date is in the future, as long as they have an active or open-ended enrollment in the current school year. Previously, students whose enrollment had not yet reached its start date were excluded from the nightly import.

See Scheduled Jobs > IIS Nightly Immunization Import for more information.

FOCUS-60273- Communication - Process email replies more frequently

The email replies process now runs on a recurring 3-minute interval instead of executing once with a delay of up to 15 minutes. Development environments continue to run the process immediately without delay.

FOCUS-60265- Grades: Support Additional Custom GPAs

The system now supports up to ten custom GPA configurations, expanding the previous limit of five. Districts that define custom GPA values in their configuration can now utilize up to five additional custom GPA fields, bringing the total available to ten.

FOCUS-60254- CA Discipline Analytics: Support Multi-Select Referral Codes for Infractions and Severity Charts

Discipline Analytics now correctly displays the Infractions and Severity charts for California districts. California uses a multi-select referral code field, which previously caused both charts to show only "Unknown" or "N/A" values. The charts now reflect actual referral types, with referrals that have no type assigned continuing to appear under an "Unknown" category. Referrals with multiple types selected will appear in each applicable chart category, while the accompanying data table lists all selected types together for that referral. Districts outside of California are unaffected by this change. This feature requires the Purchased Built-In Analytics setting to be enabled.

FOCUS-60231- Add a Student: Preferred First Name Student Search

The Add a Student search now includes the preferred first name field when matching on a student's first name, so students who go by a nickname or preferred name will appear in search results even when the name entered differs from their legal first name. This improvement applies when the preferred first name custom field is configured.

See Add a Student for more information.

FOCUS-60216- Parent Absence Request: Display Student Alert Icons for Admins

Student alert icons now appear next to student names in the Parent Absence Request list when alerts are configured to show on student lists. This display respects the alert icons system preference and is visible to staff users only; parent and student users do not see alert icons in this view.

FOCUS-60190- Perf: fix N+1 queries in CustomFormRequest permission checks when listing custom forms

The custom forms list page loads significantly faster for sites with large numbers of forms.

FOCUS-60136- Insert a Field: include computed table fields for referral fields

Computed table fields defined on Discipline Referrals now appear in the Insert a Field picker when composing Communications, building Advanced Reports, and in other supported Insert a Field areas. Previously, these fields were excluded from the Discipline Referrals section while all other referral field types remained available. Note that a computed table field must be assigned to an active referral category to appear in Insert a Field options.

FOCUS-60099- Ed-Fi: Update FL StudentLanguageInstructionProgramAssociation

For Florida Ed-Fi reporting, the StudentLanguageInstructionProgramAssociation resource now populates language instruction program services using the English Language Learner Instructional Model values from Student Schedule records. A new descriptor mapping supports the Florida DOE ELL Instructional Model values, allowing this data to transmit correctly to the Ed-Fi ecosystem.

FOCUS-60045- Student Info Search: Add Username search option

Student Search now includes a Username field in the More Search Options panel under the Name, Student ID, Address, & School section, allowing users to search for students by their system username.

FOCUS-60024- Parent Portal: Prevent parents from re-registering students with the same name

When a logged-in parent attempts to add a student whose name and date of birth match a student already linked to their account, the portal now displays an informational message and provides direct links to the Applications & Forms page and the View Student Information page for that student, preventing unintended duplicate registrations.

FOCUS-59606- Password Recovery - additional improvements

The password recovery flow has been updated to streamline the experience for all user types. Clicking a password recovery email link now takes users directly to the password reset form, removing the intermediate page that previously required an extra button click. The district logo on the password recovery page has been resized so it displays at an appropriate scale within the page header. Additionally, the system no longer applies a forced password change state at the moment the recovery link is clicked, preventing unexpected portal behavior if a user logs in before completing the password reset.

FOCUS-59578- Limit Request Grade Changes Terms by Grade Posting Averaging

The Term dropdown in Request Grade Changes now reflects the hidden terms configured in Setup under Grade Posting Averaging. Terms marked as hidden in the applicable Grade Posting Averaging scheme will no longer appear as options when teachers submit grade change requests or when administrators submit requests on behalf of teachers. This applies to standard grading schemes as well as configurations using double-blocked schemes or progress period weighting.

FOCUS-59505- Assessment Studio - section and items

Assessment Studio edit pages for Banks, Assessments, and Items now include quick access buttons at the top of the page for faster navigation and adding content. A new Move button with a section selection dropdown replaces drag-and-drop for moving items between sections. Selecting a section highlights it, and any items added or picked while a section is highlighted are assigned to that section automatically.

FOCUS-59368- Export to Google Drive - ListOutput in ERP

Users can now export lists to Google Drive and OneDrive from ERP screens, such as Employee Search, without needing to sign in to those services each time they log into Focus. Once a user links their Google or Microsoft account through My Preferences, the connection persists across Focus logins. If the linked account is not yet connected, the user is redirected to the Linked Accounts setup in My Preferences. This functionality requires Single Sign-On to be configured for the applicable provider.

FOCUS-59197- Communication - Messaging Warning Improvements

The Communication module now displays confirmation warnings when sending or scheduling priority or emergency messages that contain insert fields or file attachments, informing users that these elements may slow down delivery and allowing them to proceed or return to the editor. These warnings now appear consistently for group recipient sends as well as standard sends. Group sends also now evaluate the configured call window the same way standard sends do, notifying users when calls and SMS will be held due to quiet hours or offering an override option when the user has that permission. Additionally, scheduled messages now correctly assess overnight call windows, so users are only warned when a scheduled send time genuinely falls within the quiet period.

See Communication > Composing Messages for more details.

FOCUS-59040- Fields: New Optional Custom Field Alias Updates

Enhances Custom Fields by adding a confirmation step when changing the alias of a newly created custom field that still uses its default database column name.

When editing the alias for these fields, users are prompted to choose whether to update only the display alias or to also rename the underlying database column. Selecting the new "Also change the column name" option updates both the alias and the physical database column, helping districts maintain meaningful field names while preserving the existing option to change only the alias when desired.

See Fields, Custom Screen Setup, and Employee Fields for more information.

FOCUS-58939- District Dynamic Scheduling job

The District Assessment Dynamic Scheduling job has been updated for the Assessment Studio module. Running this scheduled job automatically synchronizes assessment audiences for assigned assessments, removing students who have been dropped from a course section. Students who have already completed an assessment retain their assignment record even after being dropped from the section. This behavior requires Assessment Studio to be enabled and the District Assessment Dynamic Scheduling job to be configured and run.

See Scheduled Jobs for more details.

FOCUS-58491- Mobile App: add quarter selection to Grades tab

The Grades tab in the Focus Community mobile app now includes a quarter selection option when viewing course assignments. Students and parents can select a specific marking period to filter the assignment list, rather than viewing all assignments across the entire school year at once. This option follows the same quarter choices available in the app's schedule view and does not include future marking periods for the selected course.

See Using the Mobile App for Parents/Students > Parents > Viewing Course Information and Students > Viewing Course Information for more details.

sandbox.focusschoolsoftware.com/writerscurrent/mobileApps/community/?&preview=mobile&locale=EN&color_scheme=light

FOCUS-58384- Ed-Fi Update to new version

The Ed-Fi integration now supports version 6 of the Ed-Fi data model, introducing new resources for staff and student data including directory, demographic, and identification code records. Several fields previously submitted through the Staff and Student Education Organization Association resources have been reorganized into these dedicated resources to align with the updated Ed-Fi specification. A Load from Metadata button is now available in Ed-Fi setup, which connects to the Ed-Fi instance to detect the data model version and automatically applies the appropriate resource configuration for your environment.

See Ed-Fi Setup for more information.

Ed-Fi Setup

FOCUS-57831- School Choice Analytics Attendance

The School Choice Analytics dashboard now includes an Unexcused Absences chart, available on Florida sites with School Choice configured and Purchased Built-In Analytics enabled. The chart displays a vertical bar for each attendance code classified as absent and unexcused, showing the count of students with that code for the selected school year. Codes with no students are omitted from the chart, and if no students have any unexcused absence codes, the chart displays as an empty container. Clicking a bar filters the dashboard and data table to show only students with that code; clicking multiple bars applies an OR filter across those codes, and combining a selection from this chart with a selection from another chart applies an AND filter. Clicking a selected bar again removes that filter.

See School Choice Analytics for more details.

FOCUS-57179- 2FA preference not shown or locked when permissions are granted at the user level

The Two-Factor Authentication preference in My Preferences now correctly reflects permissions granted at the user level, in addition to those granted through a profile. Previously, if a user was individually granted access to Two-Factor Authentication but their profile did not include that permission, the option would not appear in My Preferences. Similarly, if Two-Factor Authentication was required for a user individually rather than through their profile, the preference would appear editable, allowing the user to disable it. Both behaviors are now resolved: users granted Two-Factor Authentication access at the user level will see the preference, and users for whom it is required at the user level will see it checked and locked. This requires that the system preference for overriding permissions for individual users is enabled.

Expand or collapse content New Applications Module

FOCUS-60402- Add Cancel Unsubmitted Applications

Users with the Cancel Applications permission can now cancel unsubmitted applications directly from the gear icon on the Unsubmitted Applications tab in Online Enrollments. Cancelled applications move to the Cancelled tab. The Cancel option does not appear for applications in Processed, Sent Back, Denied, or Cancelled statuses. Existing cancel functionality for unprocessed applications is unchanged and continues to require the same permission.

See New Application Editor and Online Enrollments for Students > Using the Unsubmitted Applications Tab for more information.

Online Enrollments

FOCUS-59972- New Online Applications: Merge Data Improvement

When merging two student records through Students > Delete a Student > Merge, online application data including uploaded documents, family documents, and parent signatures from the record being deleted are now carried over to the surviving record. Previously, this data was omitted during the merge, requiring manual re-entry.

Expand or collapse content SSS

FOCUS-60555- Display Event trigger/Form trigger errors

When an SSS event trigger encounters an error during a lock or unlock operation, the event now remains in its current state rather than completing the transition, and an informative error message identifying the failed trigger is displayed. The error is also recorded in the exception log. This applies to lock and unlock primary condition triggers only; form, custom screen, and alert triggers are not affected.

FOCUS-60432- SSS > Event System Setup: Adds 'Display All Events' Field

A new Display All Events option is now available on the Programs setup page under Student Support Services. When enabled for a program, the All Events tab appears on the Manage Student screen, giving users a consolidated view of active, inactive, and locked events for that program in one place. When disabled, the All Events tab is hidden for that program. The setting is enabled by default for all programs. Parent users do not see the All Events tab regardless of this setting.

See Setup > Setting Up Programs for more information.

Setup

FOCUS-60062- SSS: Display Header/Footer for CFS Steps When Configured

Headers and footers configured in SSS Setup Sequences now display on screen when viewing custom field category steps and form builder forms, appearing above and below the step content respectively. Previously, these headers and footers were only visible when printing. No configuration changes are required; existing sequence header and footer assignments will display automatically on screen.

FOCUS-59128- Trying to create a form trigger between two different form types - multi-select dropdown and checkbox

The Set Field Value action in form triggers now supports checkbox-group, radio-group, and drop-down field types as target fields. Administrators can configure form triggers to update these field types when specified conditions are met, enabling automated cross-field updates across a wider range of form configurations.

See SSS Technical Information for more information.

Setup

FOCUS-58865- PSD SSS: Student Portal - Publish SSS Events & Add Student Ready to Sign Permission

Students can now view published Student Services (SSS) events and sign SSS documents directly through the Student Portal. A new Student Services option in the student profile menu controls portal access for SSS, and a corresponding "Student Signature Ready to Sign" permission is available in SSS User Profile Permissions for each program category. On the Active Events tab, a Student Signatures column now appears between the Parent Signatures and Status columns, giving staff a Ready to Sign button to send an event to the student for signature; when selected, the student receives a portal alert and can sign directly from the event. The SSS Events setup table also includes a new Publish to Student Portal checkbox alongside the existing Publish to Parent Portal option. When locking an event, staff are prompted to publish it to the Student Portal, which notifies the student with access to a PDF version of the document; choosing not to publish locks the event without sending it to the portal. This functionality applies to custom screen events and requires the Student Services menu option to be enabled on the student profile, along with the appropriate Student Signature permission set to Allow.

See Profiles, User Profile Permissions, Setup, Manage Student > Sending an Event to Students for Signatures, Manage Student > Publishing Forms from a Locked Event to the Student Portal, and Student Services (Parent/Student) for more information.

FOCUS-56157- SSS: Migrate Progress Monitoring from Laravel to module class

Updates IEP and EP Goals Progress Report handling within the SSS module. The separate Save button has been removed from the Goals Progress Report step; changes are now saved using the Save & Validate button, consistent with other steps in the event workflow. This update also resolves an issue that could prevent the Progress Monitoring report from printing correctly.
