• SESIR API Export: Grants access to the SESIR API Export menu option
• Generate Staging Records: Grants access to the Generate button, allowing a given user to generate records for review
• Mark Records Ready/Pending: Grants access to the Mark Ready and Mark Pending buttons
• Export to API: Grants access to the Export to API button, allowing user(s) to transmit data to FSTMP that has been marked Ready
• API Settings: Grants access to the API settings tab for proper district configurations

1. In the Florida Reports menu, click SESIR API Export.

2. Select to run for Production or Test, depending on the district’s API settings.

3. Click Generate.

This essentially runs the Student Demographic, SESIR, Student Discipline, and Fed/State Indicator Status reporting formats as of the current date.

Once you have generated your SESIR data, you can review the generated data in the Staging Records tab prior to exporting. See Staging Records for more information.

4. Once the Staging Records tab has been reviewed, and the appropriate records have been marked as Ready, click the Export to API button to manually transmit to the FSTMP.

1. In the Florida Reports menu, click SESIR API Export.

The Staging Records tab is opened by default.

2. Select the desired options at the top of the screen.

• All Schools: This allows users to search records across all schools 
  • Note: This will only appear if the current user has access to all schools
• Errors Only: This will list only records that have been determined to have errors, for review 

• Click the red X records with errors to display all records returning with errors for review. Focus will enable the Errors Only check box by default when the red X records with errors is clicked.
  • Note: Records that are indicated as having errors for review will remain in Ready status. Focus will attempt to transmit the given record(s) regardless of the error status. The send history will capture every transmission attempt and the errors (if any) that are returned. The only exception to this is that if the district’s API Settings tab is not properly configured, the district will see Pending records with errors, indicating that the API settings have not yet been configured.

Status Options

• Pending: Record(s) generated for review
• Ready: Indicates that the record has been reviewed and is ready to be transmitted; either manually or to be picked up by the scheduled job
  • Records that are marked Ready but are indicated as having errors will be kept in Ready status until the error has been resolved.
• Sent: Record was sent to FSTMP; either manually or by the scheduled job, and the record was error-free
• Invalid: Record was generated (never sent to FSTMP), and record no longer exists in Focus

3. Records will be considered Pending after the initial generation of records. To indicate a record as Ready, select the desired record(s) and click the Mark Ready button. If you would like to set the record(s) back to pending status, select the given record(s) and click on the Mark Pending button. 

4. For users with permission, click the Export to API button to transmit any Ready records directly to the FSTMP.

When reviewing a given record, you can link directly out to the incident from the Staging Records tab for further review of the SESIR incident. The below two buttons are also available for further information regarding the record(s) when expanding upon the record using the arrow in front of the Incident ID.

• Preview API Payload: This will show the raw data that will  be or was sent for the given record; click Hide API Payload to hide this raw data.

• Send History: This will show the history of transmissions for a given record; click Hide History to hide this history.

2. Click the Search FSTMP tab.

3. Enter at least two search parameters and click Search FSTMP.

2. Click the Drift Report tab.

3. Select the desired options at the top of the screen.

• All Schools: This allows users to search records across all schools

Status Options

• Matched: Indicates that the record was previously sent successfully to the FSTMP, and no changes were detected since the record was transmitted
• Drifted: Indicates that a change was detected since the record was sent to the FSTMP
  • When a record is indicated as Drifted, the district must review the changes and make any necessary adjustments on the FSTMP side (see below for more information)
• No Longer Qualifies: Indicates a record that was previously transmitted to the FSTMP that is no longer generating in Focus 
  • This could be due to the record having been deleted in Focus or the below district option being changed after a record has been transmitted
    • Discipline Referrals - Select whether to exclude Minor Infractions and/or Unprocessed Referrals

Above the Filter toggle, there is a summary count of records for each status category.

4. Once a Drifted record has been resolved on the FSTMP, you can mark the drifted record as resolved in Focus by expanding on the incident by clicking the arrow in front of the Incident ID. Upon resolution, the record will be considered a Matched record.

• Mark as Resolved: Once the appropriate data has been recorded on the FSTMP, click this button in Focus to record the record as resolved within Focus

• Resolved History: This will show the history of resolution, including when the record was resolved, who marked it as resolved, as well as what changes were indicated for adjustments; click Hide History to hide this history

1. In the Florida Reports menu, click SESIR API Export.

2. Click the API Settings tab.

3. Set the API settings:

• Production Settings: This is where the district can configure credentials for transmitting to the Production environment of the FSTMP
  • Required items include: 
    • Base URL
    • Username
    • Password
  • Send delay (days): Districts can delay the send of a Ready record by entering a number greater than ‘0’ in this field. This will tell Focus the number of days after original generation before a Ready record can be transmitted to the FSTMP (0 = no delay).
  • This delay will apply to manual transmissions, as well as transmissions via the
  • scheduled job.
• Test Settings: This is where the district can configure credentials for transmitting to the Testing environment of the FSTMP
  • Required items include: 
    • Base URL
    • Username
    • Password

4. Once the district’s appropriate credentials have been entered, click the Save Settings button to ensure the credentials have been saved for proper configuration.

Setup > Scheduled Jobs > SESIR API Export

The SESIR API Export scheduled job is used to transmit records to the FSTMP from Focus. Records indicated as Ready under Florida Reports > SESIR API Export > Staging Records, will be picked up and exported to the FSTMP.

• Mode: This will tell Focus which FSTMP environment to transmit the data to
  • Production
  • Test

The Mode option will only show if the district’s API Settings tab has been configured for the Test environment. If the Test environment API settings have not been set, Focus will default to the Production environment.

• Generate -- refresh staging records from the current extract
  • This tells the scheduled job to generate records that can be seen on the Staging Records tab of the Florida Reports SESIR API Export screen instead of a user having to manually click the Generate button
• Send -- submit READY incidents to the FSTMP API
  • This tells Focus to transmit any records indicated as Ready on the Staging Records tab of the Florida Reports SESIR API Export screen to the FSTMP
