The Staff Analytics screen provides a comprehensive view of district staffing and workforce data across the selected facilities and fiscal years. Users can analyze employee counts, wages, vacancies, turnover, and staffing distributions through interactive charts, KPIs, and supporting data tables. The dashboard includes breakdowns by facility, position, job title, gender, ethnicity, and accounting strip categories, allowing administrators and staff to identify workforce trends, monitor staffing patterns, and support data-informed personnel planning and decision-making.
This feature requires the purchase of the add-on Analytics module.
The Overview tab in Staff Analytics provides a high-level summary of district staffing and workforce data for the selected facilities and fiscal year. This tab includes interactive KPIs, charts, and data tables that allow users to analyze employee counts, wages, turnover, staffing distributions, and accounting strip data across the district. Users can interact with charts and filters to quickly identify staffing patterns, workforce trends, and personnel distributions to support operational and staffing decisions.
1. In the Human Resources menu, click Staff Analytics.
2. Select the fiscal year in which to run the report.
3. Select the facility or facilities for which you'd like the report run.
4. Select the metrics from the pull-down to determine which staffing charts and workforce breakdowns are displayed throughout the report. Available options include:
- Facility: Displays staffing data grouped by facility.
- Pay Type: Displays staffing data grouped by employee pay type classifications.
- Job Title: Displays staffing data grouped by employee job titles.
- Gender: Displays staffing data grouped by employee gender.
- Ethnicity: Displays staffing data grouped by employee ethnicity.
- Fund, Function, Project, etc.: Displays staffing data grouped by accounting strip categories configured by the district.
5. Click the settings icon to add numbers and to sort data visuals alphabetically.
a. Select the Display Numbers check box to display numeric values directly on supported charts and graph visuals.
b. Select the Sort Alphabetically check box to sort chart labels and visual data categories alphabetically. When cleared, visuals return to their original data order.
6. The screen defaults to the Overview tab.
The report displays Number of Employees, Average Wages, Total Wages, Turnover, and Vacancies.
The following reports are also included depending on your metric selections:
Facility, Pay type, and Job Title:
Hover over any of the bar graphs in the displayed reports to view staff details, such as Pay Type: 015 - PARAPROFESSIONAL: 15 Employees, indicating that 15 employees at the selected facilities are assigned to that pay type classification.
Gender and Ethnicity:
Hover over any of the bar graphs in the displayed reports to view staff details, such as Gender: Male, indicating that 853 employees at the selected facilities identify as male.
Accounting Strip data:
Hover over any of the bar graphs in the displayed reports to view staff details, such as Function 5200 - EXCEPTIONAL, indicating that 749 employees at the selected facilities are assigned to that accounting strip function category.
The last report is broken down by employee and includes the following columns (including any filters selected to generate all reports): Employee name, Staff ID, Facility, Position, Job Title, Status, VTE, Hire Date, Years of Service, Annual Wage, Gender, and Ethnicity.
7. Click the Employee name to open the Employee screen.
The Vacancies tab in Staff Analytics provides a detailed view of open staffing positions for the selected facilities and fiscal year. This tab includes interactive charts and supporting data tables that display vacancies by facility, position, and job title. Users can interact with charts and filters to identify staffing shortages, review vacancy distributions, and analyze open positions across the district.
1. In the Human Resources menu, click Staff Analytics.
2. Select the fiscal year in which to run the report.
3. Select the facility or facilities for which you'd like the report run.
4. Select the metrics from the pull-down to determine which vacancy charts and staffing breakdowns are displayed throughout the report. Available options include:
- Facility: Displays vacancy data grouped by facility.
- Position: Displays vacancy data grouped by position classifications.
- Job Title: Displays vacancy data grouped by job titles associated with open positions.
- Gender: Displays vacancy data grouped by employee gender associated with open positions.
- Ethnicity: Displays vacancy data grouped by employee ethnicity associated with open positions.
- Fund, Function, Project, etc.: Displays vacancy data grouped by accounting strip categories configured by the district for open positions.

Hover over any of the bar graphs in the displayed reports to view vacancy details, such as Vacancies by Position: SUPPLEMENT-DIFF: 1000 Employees, indicating that 1000 employees at the selected facilities are associated with that vacancy position grouping.
The last report is broken down by facility and includes the following columns: Facility, Position, Job Title, Authorized, Filled, and Vacancies.
The Staff Analytics reports are interactive. Clicking on any data point or metric (such as a bar in a chart) updates all charts, KPIs, and tables to reflect the selected criteria, allowing users to quickly refine and explore staffing and workforce data across facilities, positions, and employee attributes.
1. In the Human Resources menu, click Staff Analytics.
2. See Staff Analytics: Overview and Staff Analytics: Vacancies for steps on generating the reports.
3. When viewing any of the reports, click a bar in the chart to filter the data. All reports displayed, such as the Pay Type report, regenerates to reflect the selected criteria. In this example, the reports are currently filtered to display data for Job Title: SUB PARAPROFESSIONAL.
4. To update the reports, click a value value in any chart, such as Female in the Gender report. This applies a filter and refreshes all reports to display data only for the selected group. Any previously applied filters (such as Job Title: SUB PARAPROFESSIONAL) will remain in place until cleared.
5. To remove a filter from the staff reports, click the applied filter again, such as Female in Gender. The selection is cleared, the bar returns to light blue, and all reports update to display all genders.

You can add as many filters as you'd like and clear them as you go to customize student reports.

6. Click Clear Filters to remove all filters at once.
