The School/Department Review screen provides a centralized workspace for managers and timekeepers to review, manage, and approve employee time-related records, including Timecards, Overtime, Leave, and Misc Pay. The screen filters results based on user role and assigned facilities, ensuring users only see records they are authorized to act on. From this view, users can drill into employee batches, review detailed entries, and complete approvals in a streamlined workflow designed to improve visibility and reduce processing time.
To use the School/Department Review screen, Manager and Timekeeper functionality must first be enabled in Setup > Settings > Employee Self Service, including the Managed By and any required Timekeeper options. In Human Resources > Position Control > Positions, applicable positions must be marked as Manager and linked to employees via the Managed By pull-down, and Timekeeper roles must be enabled with an assigned user selected in the Timekeeper Assigned field. Once configured, users with the appropriate profile permission (Payroll > School/Department Review) can access the queue, where employees appear based on these assignments and can be reviewed and approved as either Manager or Timekeeper.
1. In the Payroll menu, click School/Department Review.
2. Select the Facility from the pull-down to filter the School/Department Review queue and display only employees and pending approval records associated with the selected facility. The pull-down defaults to All Facilities.
The Payroll Approval Queue displays pending and processed payroll-related records for employees and includes key details such as Employee name, EIN, Role Scope, assigned Facilities, and counts for Timecard, Overtime, Leave, and Misc Pay entries. The queue also shows total items per employee, along with approval status indicators for both Manager and Timekeeper workflows (e.g., Pending, Approved, etc.).
3. Click Review to open the Employee Batch Review, where you can view employee details including Employee Name, EIN, Facility, Source, Job, Date, Hours, Entry Details (Pay Amount and Type), Approval Status (Timekeeper Approver), and any associated Notes.
4. In the pop-up window, click Approve as Manager to approve the selected employee batch records under the manager approval workflow and update the approval status accordingly.
