The SSID Match & Import module is used to upload a CALPADS Results file to match potential candidates with students from Focus. After students have been matched, a new SSID SENR file is generated, and can be downloaded and then processed through CALPADS to import the matched SSIDs. Once the SENR file is validated and posted, an SSID Extract can be created in order to import the newly matched SSIDs back into Focus under the SSID Import tab.
Ensure View and Edit profile permissions are enabled for the SSID Match & Import screen for the appropriate profiles.
1. In the CA Reports menu, click SSID Match & Import.
2. In the SSID Match tab, click Choose File and select a .txt or .csv Result SENR Match file.
You must generate the SENR file in CALPADS and upload the file from your computer.
3. Click Upload.
The matches are found by comparing the student's first name, last name, and birth date for students with an active enrollment.
| SENR File Columns | Focus Columns |
|---|---|
| SUBMITTED_SENR_STUDENT_LEGALFIRSTNAME | students.first_name |
| SUBMITTED_SENR_STUDENT_LEGALLASTNAME | students.last_name |
| SUBMITTED_SENR_BIRTHDATE | students.custom_200000004 |
If no matches are found, the following message will display:
In the View History tab, the record will indicate that no matches were found.
If matches are found, you will need to make a selection for each student. The Focus student information is displayed in the first column and the CALPADS candidate information from the Results file in the subsequent columns, sorted by the highest Match Percentage.
4. Click the Focus student ID next to the “Match Results for Student ID” header to view the student's data in Focus.
5. Select the different Filters to view additional data for the student.
There are 3 match categories available in the SENR file: Single Match, Multiple Match, and No Match.
a. Single Match - Only one candidate was found in CALPADS for that student.
i. Only one column will be shown for CALPADS Candidate.
b. Multiple Match - Two or more candidates were found in CALPADS for that student.
i. If one of those records has a value of Y in the Selection column, only that record will be displayed as the CALPADS Candidate:
ii. If all of the records have a value of N in the Selection column, all records will be displayed as CALPADS Candidates:
c. No Match - No candidates were found in CALPADS for that student. Only the Focus Student information column will be displayed.
6. Select an option. The available options are No Match, New SSID, or Select.
a. No Match - Click No Match when there are no CALPADS candidates and a new SSID is not needed. No action will be taken for this student.
b. New SSID - Click New SSID when no CALPADS candidates are appropriate matches and a new SSID is needed.
c. Select - Click Select if the candidate is a match to the Focus student. This will immediately update the SSID for the Focus student (students.custom_l1006). Deselecting a candidate will revert the Focus SSID back to its original value.
7. To view a summary of the selections that have been made during the match process, click the View All Matches button.
The All Match Results screen allows you to review the selected matches. The Focus SSID (Original) column displays the SSID of that student in Focus before a selection was made. If you want to jump to a student to view or change your selection, click the blue arrow under View for that student.
8. Once a selection has been made for each student, click the View History tab, where a file will be available for download.
The Status will show Completed and there will be an orange download button to save the file to your computer. The file name will be prefixed with SENR_SSID_ followed by the match job ID and the date: SENR_SSID_2_20260626.txt
This file will then be processed through CALPADS to update those students with the selections that you made. Once processed, an SSID Extract file will be created and you can then import that data via the SSID Import tab.
If there are no records of previous SSID Match processes, the below message will be displayed:
If an SSID Match process was started but not completed, click the blue arrow for the file you’d like to finish matching.
- Students Submitted - The number of students in the uploaded file.
- # Found - The number of potential matches found in Focus.
- # Processed - The number of students (of potential matches that were found) that have already been processed (No Match, New SSID, or a candidate was selected). The selections can be modified until every student that was found has been processed (Status = Completed).
Completed match job:
1. In the CA Reports menu, click SSID Match & Import.
2. Click the SSID Import tab.
3. Click Choose File and select a .txt (caret-delimited) SSID Extract file.
You must generate the extract file in CALPADS and upload the file from your computer. The extract file does not contain headers. The file layout can be referenced here.
4. Click Import.
Columns that will be updated:
