ADA Report

The Average Daily Attendance report (found under the Attendance menu) gives calculations for common attendance variables based on the report method. 

  • This can be run with any selected timeframe. 
  • Data can be viewed By Grade Level, By School, By Month, By Student, or By Section. Additional options (depending on the data view) include All Schools, State Reportable Schools Only, Separate By School, and Include Secondary Enrollments. 
  • There is an additional option to use the Advanced Search, which allows the user to view attendance data for things like demographics, course type, etc.

Regular Period Attendance  

  • Any attendance taken by the teacher or entered/edited by staff through the Administration screen, Late Check In / Out screen, or Attendance Chart 
    • Data for a specific section will only be included in the calculation if the school date is within the report timeframe AND the section is NOT marked as Exclude from ADA
    • Sections marked with Exclude from State Reporting are now included in the ADA Report  the Exclude from State Reporting option on the Master Schedule Report is reserved for ONLY marking the course/section as exclude from the Course extract 
  • If any attendance was edited, the Recalculate Minutes and Recalculate Daily jobs will need to be run in order to update the report
  • Minutes edited in the Absence Summary are NOT reflected  attendance must be edited in one of the other screens to count

Special Additional Attendance

  • Any attendance entered in Special Additional Attendance that is not marked as Remedial, ESY, or Exclude from State Reporting is included in the overall attendance calculations if the date is within the report timeframe
  • Remedial attendance is not included in the overall attendance - it is only for reporting Remedial Hrs in the state reporting extract; same with ESY - it is only for reporting Extended School Hrs in the state reporting extract
  • Special Additional Attendance marked as Exclude from State Reporting will also be excluded from the ADA Report

Virtual Attendance

  • If the student earns a grade for the Course History Term, then the attendance for that course will be added to the ADA report AFTER the end of the marking period
  • Attendance for the section will only count if the Virtual section is marked as Instruction Method = Virtual, Takes Attendance = Y, and Exclude from ADA = N

By Grade Level

Grade: The grade level of the students included in the report.

Days Possible: The total number of school days within the report timeframe, based on the Default Calendar.

Percent of Students Chronically Absent: Calculated as (# of students with Hours ADA < 0.9)  (# of students in the grade level during the report timeframe). Note: This calculation is not weighted by enrollment record.

Hours Present: The total number of Hours Present for all students in the grade level during the report timeframe.

Hours Absent: Calculated by taking (Hours Possible) - (Hours Present) for all students in the grade level during the Report Timeframe

Hours ADA: Calculated as (Hours Present  Hours Possible) for all students in the grade level during the report timeframe.

Percent at 90%: Represents [1  (Percent of Students Chronically Absent)].

FTE: The total of all student FTEs for the grade level during the report timeframe, based on each students enrollment record.

Weighted FTE: The total of all students weighted FTEs for the grade level during the report timeframe, where each student's Weighted FTE = (Enrollment Line FTE × (Days Enrolled ÷ Days Possible)).

ADA x Weighted FTE: Calculated as (Hours ADA × Weighted FTE) for all students in the grade level, representing the average number of students in attendance on any given day within the reported timeframe.

FTE 90%: Displays the number of students with an FTE-based ADA at or above 90%.

Hours Possible: The total number of hours students were scheduled to attend, based on the Calendar, Rotation Days, Student Schedule, and FTE.

Days [Absent code]: The total number of days within the report timeframe that students in the grade were absent with the specified absent code, exceeding the thresholds defined in System Preferences > Attendance > Minimum Minutes Attended to Count as Full-Day Present and Minimum Minutes Attended to Count as Half-Day Present.

By School

School Name:

  • The report can be filtered by All Schools, State Reportable Schools, or Include Secondary Enrollments.
  • Only active schools appear in the report.
  • Note: The report results are limited to the schools the user has permission to access. The district total at the bottom reflects only the totals of those accessible schools, not the true district-wide total.

Grade: Displays data by grade level for each school, with a school total at the end of each section and a district total at the bottom of the report.

Days Possible: Total number of school days within the report timeframe, based on the schools default calendar.

Percent of Students Chronically Absent: Calculated as (# of students with Hours ADA < 0.9)  (# of students in the grade during the timeframe).

Hours Present: Total hours students were present during the report timeframe.

Hours Absent: Calculated as (Hours Possible – Hours Present).

Hours ADA: Calculated as (Hours Present ÷ Hours Possible).

Percent at 90%: Represents [1 – (Percent of Students Chronically Absent)].

FTE: Total of all student FTEs for the school during the report timeframe, based on enrollment record FTE values.

Weighted FTE: Total of all students’ weighted FTEs, where

Weighted FTE = (Enrollment Line FTE × (Days Enrolled ÷ Days Possible)).

ADA x Weighted FTE: Calculated as (Hours ADA × Weighted FTE), representing the average number of students in attendance on any given day during the report timeframe.

FTE 90%: Displays the number of students with an FTE-based ADA at or above 90%.

Hours Possible: The total number of hours students were scheduled to attend, based on Calendar, Rotation Days, Student Schedule, and FTE.

Days [Absent Code]: Displays the total number of days within the report timeframe that students were absent with the given absent code. This can include:

  • Days Out of School Suspension
  • Days Absent Unverified
  • Days Absent Verified
  • Days Cut/Truant

Breakdown By School:

When the By School option is selected, an additional Breakdown By School sub-option becomes available. This setting displays each schools data broken down by grade level, with individual school totals listed, followed by a District Total section at the bottom of the page that is also broken down by grade level.

Note: In the District Totals section, Days Possible represents the average number of Days Possible for each grade across all schools included in the report timeframe.

By Student

The By Student view displays attendance and enrollment data for each individual student within the selected report timeframe.

Student Name: Displays each student’s full name.

Grade: The student’s current grade level.

Days Possible: The total number of school days within the report timeframe, based on the student’s schedule and calendar.

Percent of Students Chronically Absent: Indicates whether the student’s Hours ADA falls below 0.9, identifying them as chronically absent.

Hours Present: The total number of hours the student was present during the report timeframe.

Hours Absent: Calculated as (Hours Possible – Hours Present).

Hours ADA: Calculated as (Hours Present ÷ Hours Possible).

Percent at 90%: Represents [1 – (Percent of Students Chronically Absent)].

FTE: The student’s Full-Time Equivalent value from their enrollment record.

Weighted FTE: Adjusted based on the student’s enrollment duration, calculated as

Weighted FTE = (Enrollment Line FTE × (Days Enrolled ÷ Days Possible)).

ADA x Weighted FTE: Represents the average number of students in attendance during the timeframe, calculated as (Hours ADA × Weighted FTE).

FTE 90%: Displays whether the student meets the 90% attendance threshold based on FTE.

Hours Possible: The total number of hours the student was scheduled to attend, based on the Calendar, Rotation Days, Schedule, and FTE.

Days [Absent Code]: Displays the total number of days within the report timeframe that the student was absent for the given code, which can include:

  • Days Out of School Suspension
  • Days Absent Unverified
  • Days Absent Verified
  • Days Cut/Truant

By Section

The By Section view displays attendance and enrollment metrics for each course section during the selected report timeframe. Sections are identified by Start Period  End Period  Section #  Teacher Name.

Section: Identifies the course section with its start and end periods, section number, and teacher name.

Hours Present: Total hours present for all students scheduled in the section during the report timeframe.

Hours Absent: Calculated as (Hours Possible – Hours Present) for all students in the section.

Hours ADA: Calculated as (Total Hours Present ÷ Total Hours Possible) for all students scheduled in the section during the report timeframe.

Percent at 90%: Represents [1 – (Percent of Students Chronically Absent)] for the section.

FTE: Total Full-Time Equivalent for students in the section, calculated by summing each student’s enrollment line FTE.

Weighted FTE: Adjusted FTE for each student based on the percent of days the student was enrolled in the school during the report timeframe. Note: This calculation considers overall enrollment, not the student’s specific start date in the section.

ADA x Weighted FTE: Calculated as (Hours ADA × Weighted FTE) for all students in the section to represent the average number of students in the seat on any given day during the report timeframe.

FTE 90%: Calculated as (FTE × Percent at 90% for the section) to show the number of students in the section meeting the 90% attendance threshold.

Hours Possible: Total number of hours scheduled for all students in the section during the report timeframe.
